The Operations Manager - Venues and Programming will operate with a  : k6 Y% `7 L0 c: m3 L
direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  " L" |( s; }3 B( v  q/ Q. U
extensive, and are targeted at the all round smooth operation and    o# ^7 ]7 P. [: j) x9 B
financial and operational success of the Horowitz Theatre as well as  
( t- n$ e/ z7 W0 l" O1 S+ }, }the logistical organization and smooth rental of the additional  6 ~7 @) e# n, F
venues within the realm of the Students´ Union.  In the light of that  : X" {$ h( t. v7 X+ t
breadth and complexity, it is not possible to fully define or  
: e% k& j3 f% l/ y4 m* t5 Odescribe all roles and responsibilities in a document of this kind.   
7 [9 @8 b/ \, n# X, `However, the main roles and responsibilities of the Operations  
/ d. l( F" V2 C# |Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  : m" Z8 d/ {5 Z: f4 L0 H
appropriate standards, requirements and needs, and contributes in a  
( w; Q8 E2 P3 f& Npositive way to the smooth operation and success of the individual  2 G' i6 V$ ~. x4 j8 @
renter.3 C8 ]) L- U7 G. A$ ~& o
·     Myer Horowitz Theatre9 d0 h# }+ ^4 L7 j  B' K0 |+ H
·     Dinwoodie Lounge; n2 t5 |0 j! n# L  }
·     SUB Stage3 |2 _+ L) `+ z% a9 J

# S* A/ Y0 U4 I+ [+ Z9 D/ vb.   This includes, but is not limited to, the following:
2 O  q; M+ e% o8 O6 g, N" o- }·     To plan the capital and supply expenditures to meet the  
# z4 M3 Y/ t/ _6 ?9 Aproduction and facility requirements.# M. X7 j' ?4 m# l0 o
·     To ensure the day-to-day compliance of the venues with existing  
  Y' g/ g! i) n) {6 m. |: Vsafety regulations and building policies.% p! Q& ]; n9 v1 L
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion2 J) t: i; W# M# ~: v

- ]( @2 e0 ?8 ^* s# Ha.   To develop and implement a marketing plan for the venues that  3 u# r: ]. E5 z/ ~  q8 C
focuses upon advertising and promoting the venue to faculty,  
" e- Y7 }! m- l6 o% w% ]$ @- xstudents, and internal and external clients on an on-going basis.  
8 j8 j3 @/ f. t6 W; j  q( |0 \This strategy will include implementing and/or delegating the following:
$ A7 X1 D" `% M·     To develop and maintain promotional materials, the Horowitz  * U1 q8 G& ^2 R! G3 X
Theatre and SU Venues home page, newspaper and other advertising; to  
$ N0 z4 \: P8 b) G/ wtake advantage of other internal and external advertising  
4 o/ K3 Y% ]1 Z3 Lopportunities; and to develop press releases and other promotional  ; I* u& V( Z9 l4 J- \
literature on an ongoing basis.4 ]3 e; _- Z5 B  S; y
·     To coordinate tours of the venues for potential renters.) g; H! n) y' _, d+ v. g
·     To promote upcoming events in the Horowitz Theatre through the  
9 s) }% x- @. c* b! B9 muse of the Horowitz Theatre Home Page and the SU Events Calendar.8 j8 c$ B1 H- _2 p
·     To develop new external clients for the venues.. C2 g& s- m% M( k. i* A- P& m  a

" Q% g1 i/ _. L2 X# k; {* f3.        Staff and Supervisory Roles and Responsibilities
/ ^# G* e/ J" A" Z! o. ~4 ~8 S( a- X+ x
a.   To ensure, at all times, that the venues are adequately and cost-
+ \- M- a6 y* y4 u" `! q+ x' `effectively staffed, and that the staff utilized by or within the  8 M4 t( s% P+ W) k) p/ D9 \
venues meet the appropriate standards, requirements and needs, and  
* `, d6 g5 s( [contribute in a positive way to the smooth operation and success of  
$ b8 @  v7 x$ ]- v5 U7 K8 ~% Mthe renter´s events. This includes, but is not necessarily limited  # z1 g3 s. H" f+ v& w
to, the following:3 t' S2 Y8 J* D- ]; b5 b) r
·     To be responsible, under the direction of the Manager of Venues  
2 l, g5 s0 ^% Z& pand Programming, for all staff issues including hiring, disciplining,  * C, g" p3 q0 u7 Q
evaluating and terminating, as necessary., u+ }1 _6 t" d
To ensure that the Horowitz Theatre is adequately supervised at  1 m3 Q; H7 M( O; v! ]  k
all times, this includes the development and implementation of such  
0 l; F: Y2 y( ]schedules and rosters as may be necessary to ensure the effective and  ; C0 E+ g( ?# t
cost-effective supervision of the venues at all times during which it  
% t. v3 o" V( K6 G* cis in operation or needs to be in operation.( z9 I, W; U! ]& Y; t
·     To work with the Technical Director, when necessary, to ensure  : b  s4 S+ U' \/ o$ T
that an adequate and appropriate level of part-time staff exists to  
' U  z1 G) i! h" E. c6 T+ F- Tfacilitate the smooth operation of the venues and to ensure all  # R' [( n; _# y) ?) k/ x$ ]9 p' c
renters needs are met.
# I) [6 `' Y# M" U) ]8 e; x·     To work with the Technical Director to ensure that the skills  
. z6 k! K/ L; Y5 x& q" A8 fand attitudes of all subordinate staff are appropriate in light of  : x- e5 O" u6 q* X! o$ M& I. n' I1 G& P
the roles they must perform. This includes providing adequate and  % y4 g& O9 W  y# F7 M
effective training (and re-training) in all applicable and  
+ o1 v% [. H3 K: I! `appropriate areas, and ensuring that the Policy and Procedures manual  * u& d( j( X& K" Z; q* {4 Y
is kep up-to-date at all times.7 z. `( n# K5 p0 O% H
·     To ensure all staff are trained in and committed to providing  
# ?+ `' A+ l5 D; o- sexcellent customer service to all renters.
& R6 U' B* {, Q! a4 _$ X·     To work with the Technical Director to arrange staff  $ W/ ]; c0 p, H
scheduling.  To handle payroll related matters, under the guidance  
5 k3 B4 {( N. uand direction of the Manager of Venues and Programming, concerning  
+ o+ H: ?# f' f( ]the staff of the venues.% A: L+ b$ v) U8 p) i/ m6 k. C! x8 C
·     Working with the Manager of Facilities and Operations to ensure  . C' b0 _. w4 s& t& E
the appropriate setup/tear down of each venue.- J! K8 @  ]5 ~! A
·     Working with the Manager of Programming and Venues to ensure  ; X/ V0 d3 I( T0 T
that additional requests such as licensed receptions are arranged.

; F* N. a$ d6 G! b4.          Overall Financial Performance# a- ^5 _4 X; p) k& Y

& O$ r6 r% S! f4 ?a. To ensure, at all times, that the Financial and Administrative  ) ^1 o2 e" X) k! z- W  D
systems and processes utilized by or within the venues meet the  ! v* F& ]8 D) r
appropriate standards, requirements and needs, and contribute in a  & }/ i8 {/ v0 C' i) s2 v" W
positive way to the smooth operation and success of the venues. This  
( t! e9 N% L/ p$ M0 N# i6 |includes, but is not necessarily limited to, the following:
4 H4 W5 j3 }  k To provide input and expertise in the formulation of appropriate  
" x0 x% k. F' J5 e( d( v( m- f3 {operating budgets covering the venues to the SU´s Manager of  
+ J8 I( E* S3 i, OProgramming and Venues and to discuss and refine those budgets  - l+ S3 M9 ^# V5 v8 `0 Y; W* m
Manager of Programming and Venues, and Manager of Finance &  5 L0 {" p& S) E1 S6 ]$ ~+ \
Administration prior to their submission for final approval.  j5 b8 V( ^: i) J: _" d
·  To manage the venues in a manner which adequately and effectively  & c- Q8 G7 K. m* W/ V; h- c
reflects the budgets approved for the venues and/or which reflects  
' i) t! t, N% w8 h, b; pthe best interests of the venues and the Students´ Union.
: Y, P: a5 |" `·  To function as the key player in the submission of financial and  & [/ }  k$ L% d# ^; Q0 {
administrative documentation covering the venues to be used in the  1 ]& O  e8 g8 F& _
compilation of monthly and annual financial statements, and such  
5 r0 f# h4 ?" T* ?; F: Yother reports as may be necessary.
0 h* }2 v. Z  L& J9 N·  To discuss those financial statements and other reports, together  ; ]0 ]7 |, l& G
with all financial and administrative procedures, with the SU´s    `; j+ w1 G$ @3 C& A
Manager of Programming and Venues and Manager of Finance &  - ]9 H" s  Z$ m5 E, J5 v
Administration with a view to determining and implementing action  
+ n3 N& v) m8 s! c; I8 naimed at improving the financial and/or functional effectiveness of  
) F8 \3 Y% w& G# A( Athe Horowitz Theatre.
, e( i& f7 z* n5 f/ @# N: T; F/ C$ Y·  To ensure the existence of adequate, effective and accurate job  ; x+ D+ |  h* x6 t1 t* V
costing systems to be used in connection with the determination and  8 o3 r: o! b6 x' _9 w8 H7 {9 F
setting of appropriate prices for rental and staffing rates for  % Y) o6 \7 ?$ u5 F+ y
events held in the Horowitz Theatre.
& L) H5 p4 {& l, Y  C# |·  To develop accurate documentation to be used in connection with  % c6 q1 H4 a( S; W
the billing clients, and to forward such documentation in a timely  
0 N/ ~9 f2 d+ e' nmanner to the Accounting Department.2 Q" g9 t; J( @
·  To recognize, address and handle all matters relating to financial  
+ R/ j' p4 r  t! Uand administrative procedures and systems in a manner which reflects  % M, U9 x. A0 ^) q, I5 X
the requirements of the SU´s Manager of Programming and Venues and  $ o: y/ v0 Z, p
Manager of Finance and Administration, and in a manner which  
- c9 W8 g: ]6 W# Z. ~contributes positively to the smooth operation and success of the  
" \& U$ m2 }- n; z0 y* e0 a* Jvenues.
/ a1 t6 c' r- ^# x, X* _3 a2 s2 s0 A: v* V5 F8 D, _
5.          Overall Roles and Responsibilities' P; E8 W9 s: F' @( C
a.   To ensure, at all times, that the systems and processes used in  
* I/ m0 ~8 m* Z) q' srenting the venues meet the appropriate standards, requirements and  2 k4 @9 t1 L# A/ T  G7 ]: _5 `
needs, and contribute to the smooth operation and success of the  
; o4 S1 p- I8 k/ ~  @) _1 avenues. This includes, but is not limited to, the following:6 B# b$ {  L, E! f: v8 [% Z
( l# ~1 v5 J" @6 f. t1 _
·  To recognize, develop and set in place such rental procedures as  
5 \1 \8 _2 d& k5 \may be necessary to ensure the smooth operation of the venues, this  6 V/ N/ {+ u& ]$ w
is to include but not necessarily be limited to systems and processes  8 V: J3 x* k' r: d: c) Y
in the areas of contracts, inventory management, contract evaluation,  ! C9 l- J* y# P, S* M( u. W
pricing, costing, equipment usage, rental/contract invoicing,  # y: X: l; N6 t+ L- P
together with such other systems and procedures as may be necessary  " v% R7 n; s; c) u1 f- U5 ~" {
to ensure the smooth, secure, efficient, cost-effective and  
3 q# K1 \* n2 ~2 x1 K( N" Cfunctionally-effective operation of the Horowitz Theatre.
9 W8 I5 d! d% \! l+ G·  To recognize, develop and set in place such operational procedures  
5 g, Y' K7 N1 A# {as may be necessary to ensure the smooth, efficient and cost- 9 ^! f  |) K* Q) x- |
effective operation of the venues.( ?' f. I% A6 x9 \
·  To negotiate rental lease agreements (contracts) relating to  . q+ H) x8 ?) }9 X* m% a
dates, rates, staff and miscellaneous charges.5 r! @4 Q) W6 h# |  O" g
·  To ensure that adequate inventory is available at all times and  + n6 n& Z" y6 d' Y* t; \, t6 U& I
that such inventory is stored and issued in effective and secure ways./ j. X- |4 h- I& g2 c. v  p. o
·  To consult with renters as to facility issues in producing their  
+ Y3 O8 ]0 p! q  X3 }6 Q- t! E9 f0 _particular event in the venues.
! ~* u7 r- @4 n6 B0 [·  To provide the venues on-site staff with such documentation and  
8 l( \6 W1 @. O+ e9 ?+ ^  Y1 Bsupporting information as it may need to effectively fulfill the  
/ T- N, K5 m3 ^% v7 E" Kroles they are to perform to ensure the success of the renter´s event.
( T. e$ s8 B4 R·  To produce quotes in respect to staffing costs for a particular  
9 w. Y0 b% s+ yrental with consultation with the Technical Director.
6 [4 G3 b+ g8 c·  To ensure that all queries raised with the venues whether from the  
# Y. ~, v; ~, h. WSU or renters, are promptly and effectively handled and adequately  
+ ^& K- d4 N8 xanswered, and to ensure that such action as may be necessary in  8 m9 c+ x7 \4 D. [! ]
follow-up to such queries is taken in a timely manner.
4 P+ ~+ y+ E# U+ d) T! f To ensure that the venues and its capabilities are adequately,  
. Y$ i/ m. ^4 z' E0 _: w, R: oeffectively and cost-effectively advertised and promoted, and that  & S( `* W3 p+ H8 F, V% J7 J: l
the cost of such endeavors does not exceed the budgetary provision  
) I* @4 b# I7 ]+ Cmade for them unless prior approval is given by the Manager of  
# i  g! Y7 b7 `, _Programming and Venues.
  N1 ]' t* @$ n; T0 f·  To act as an informed and knowledgeable resource in the case of    U4 I, @: K2 o4 [% U; }; E
significant challenges and/or problems surrounding the tasks of  
/ e3 A! i  C0 ~: Dmarketing, administration, operations, and any such other matters as  1 Z4 P  x3 a  s
may provide such challenges and/or problems.. a: Y" X* _" Z* v) m2 Y% }
·  To attend such meetings as may be required to support the smooth  
7 ]/ k; Q' X, V8 h+ Xoperation of the venues or the Students´ Union as a whole.
7 o" P! L, m  a2 G1 T& z·  To perform other job-related duties as may be required by the  
: D& O. K! ^* G! ], k: X1 M/ uManager of Programming and Venues in order to ensure the smooth and  7 K" n' T9 N& O' b6 M3 C* F  T" V
secure operation of the venues.
$ p7 W* b, e5 B0 N$ M·  To recognize, address and handle all matters relating to overall  8 I( L; G! U( @, H) o
operations in a manner which reflects the requirements of the SU´s  
1 r+ |( I0 F* a, vManager of Programming and Venues, and Manager of Finance and  
9 W7 [4 d2 j( {Administration, and in a manner which contributes positively to the  & f1 Q7 }* v8 V3 J  K' O) i

an acceptable combination of education and experience.
