The duties of the Operations Manager - SU Venues are diverse and

financial and operational success of the Horowitz Theatre as well as 3 S2 H4 P, e. S) ^. b) C
the logistical organization and smooth rental of the additional S# f+ h1 P4 d; E0 J5 n" g
venues within the realm of the Students´ Union. In the light of that 8 q' i4 }- ^4 z# h' }& q; x( \
breadth and complexity, it is not possible to fully define or

2. Marketing and Promotion. N. v; y3 O( X0 O

a. To develop and implement a marketing plan for the venues that
v; }3 P9 l* x4 m0 E( M5 Zfocuses upon advertising and promoting the venue to faculty, O- z$ `7 F E6 S$ Q: Q! q7 v
students, and internal and external clients on an on-going basis. 1 M6 k$ A! n9 _8 O
This strategy will include implementing and/or delegating the following:2 R$ l5 T. Z3 E3 E
· To develop and maintain promotional materials, the Horowitz
9 _" T h- m% A6 j6 C3 fTheatre and SU Venues home page, newspaper and other advertising; to
, I' g: I1 W- h# z8 L3 rtake advantage of other internal and external advertising ; R* [- A4 g% V& G# |9 |3 i
opportunities; and to develop press releases and other promotional
3 K+ R4 O4 k/ ~& ^+ F" }) g; Rliterature on an ongoing basis.9 L. B4 A6 a( W+ L& S j
· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar., A# j& O6 F* T8 Y0 H; y6 Z

% w0 i4 a, _3 ?3. Staff and Supervisory Roles and Responsibilities6 C+ C0 d' T, ?7 o+ E, m: a9 _

a. To ensure, at all times, that the venues are adequately and cost- 7 e3 S# q' P8 B \& e5 F
effectively staffed, and that the staff utilized by or within the ' e. T& z9 ^2 B" Z2 O- C! e
venues meet the appropriate standards, requirements and needs, and 1 }5 {8 x9 v4 K
contribute in a positive way to the smooth operation and success of % c6 I' M7 X U
the renter´s events. This includes, but is not necessarily limited
n/ q) w. R5 j# Jto, the following:
% Z6 M# i& d* D8 o, v· To be responsible, under the direction of the Manager of Venues
3 t( f# A* F8 d8 _; H, h w3 Uand Programming, for all staff issues including hiring, disciplining,
4 ~9 {5 N# q" l4 T, `' o: Uevaluating and terminating, as necessary.
/ T" B/ v2 ~4 t* Y+ j3 Z3 ` To ensure that the Horowitz Theatre is adequately supervised at - w- q3 A1 F$ k
all times, this includes the development and implementation of such % b! _( `; u' m. q# V4 m
schedules and rosters as may be necessary to ensure the effective and
: D f& [" c5 x+ o B: h1 Pcost-effective supervision of the venues at all times during which it
1 G' l- A2 [8 R9 s! Ris in operation or needs to be in operation.
0 E; n' |6 u Z) k; o M& m1 T· To work with the Technical Director, when necessary, to ensure
1 ]+ t+ R1 w- D0 u5 G5 }: Qthat an adequate and appropriate level of part-time staff exists to . d( D$ O$ v) L! l8 n/ u
facilitate the smooth operation of the venues and to ensure all * P U# i, s! D
renters needs are met.
( f0 J+ {) j' d& k) k. d· To work with the Technical Director to ensure that the skills
" D) e4 j9 X+ vand attitudes of all subordinate staff are appropriate in light of
! m* } }" j5 `2 athe roles they must perform. This includes providing adequate and ) b8 Q0 _4 B# M( m( D1 h
effective training (and re-training) in all applicable and 8 Y( ]$ l- V% [2 ]6 F1 Q
appropriate areas, and ensuring that the Policy and Procedures manual

( W0 N, L" o1 Q; m· To ensure all staff are trained in and committed to providing & ~" P' J) c, g9 p5 O4 V, @- G) G% l3 l' ?8 i

· To work with the Technical Director to arrange staff
( C8 c' T @" i( y. B) rscheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Facilities and Operations to ensure % |* I) C9 ~$ ^, j

· Working with the Manager of Programming and Venues to ensure

4. Overall Financial Performance
! v& J0 g' F% O3 t E" d+ c) U" }& |4 M0 W& G0 t
a. To ensure, at all times, that the Financial and Administrative
6 ?$ E4 j- ^" wsystems and processes utilized by or within the venues meet the
: O1 N3 J% `9 o0 bappropriate standards, requirements and needs, and contribute in a ! c6 K" s1 ]* V$ @
positive way to the smooth operation and success of the venues. This ; {+ _' Y1 _) I" x/ N" Z. P
includes, but is not necessarily limited to, the following:
; L% S" f+ O4 A' \1 e To provide input and expertise in the formulation of appropriate
3 [8 u2 R" k W/ v1 @operating budgets covering the venues to the SU´s Manager of 8 r* A9 [6 i6 N$ z, V
Programming and Venues and to discuss and refine those budgets

( Z) R- q* }4 \/ I# IAdministration prior to their submission for final approval.
) i9 Q3 b5 B, Q- @3 I· To manage the venues in a manner which adequately and effectively 4 K( p t1 w' N4 g
reflects the budgets approved for the venues and/or which reflects " s( L9 O- Q4 o4 X) ?- ^4 v
the best interests of the venues and the Students´ Union.
+ i' `+ p: W; A$ ]0 G' Z· To function as the key player in the submission of financial and
/ C) J: ]/ M' i: Iadministrative documentation covering the venues to be used in the
& h" a* p% M# N. _8 ]' p, [* O. z5 ncompilation of monthly and annual financial statements, and such $ H9 S1 N2 |) B) F3 j% w, w$ N/ t- ]
other reports as may be necessary.6 ?! p' J, A B& @. f/ j
· To discuss those financial statements and other reports, together
) W" D- Q, C+ q6 x& ?( xwith all financial and administrative procedures, with the SU´s ( F6 r. N' \/ n' z) t

the Horowitz Theatre.
6 Q3 P5 p2 C; T# y& F· To ensure the existence of adequate, effective and accurate job 8 ^; H. \ R9 J/ J" Z; l3 u+ M
costing systems to be used in connection with the determination and 4 i. @" w( \( _$ g
setting of appropriate prices for rental and staffing rates for 7 S& e7 I) |8 X- q/ E4 j
events held in the Horowitz Theatre.
/ k% H& S7 O9 u8 g" w· To develop accurate documentation to be used in connection with
3 N5 p1 z5 k2 jthe billing clients, and to forward such documentation in a timely " v% U0 T9 K( J M& s1 Z
manner to the Accounting Department.3 e. p" }( k, X0 I
· To recognize, address and handle all matters relating to financial + Q! o4 w" y& i- l4 p6 V
and administrative procedures and systems in a manner which reflects 1 P0 t3 d# O. o! c$ a1 B! j
the requirements of the SU´s Manager of Programming and Venues and
$ M' [9 t0 c$ l, C) H" W! KManager of Finance and Administration, and in a manner which

a. To ensure, at all times, that the systems and processes used in " B+ U, j p6 q! c, R/ W8 z) F/ P
renting the venues meet the appropriate standards, requirements and
$ ]0 d E. i; Pneeds, and contribute to the smooth operation and success of the
" e: @, ^5 |" q/ T7 Tvenues. This includes, but is not limited to, the following:. ^. h, o, |* w9 z3 \* X" K% n

· To recognize, develop and set in place such rental procedures as
) y1 L7 t& \$ Rmay be necessary to ensure the smooth operation of the venues, this 2 s( u$ X' h( @7 u0 W, E3 d
is to include but not necessarily be limited to systems and processes 2 U7 d1 U- p4 m+ K2 J& ]! Q0 h5 w: r! I
in the areas of contracts, inventory management, contract evaluation, * U% y$ y p. F* G4 U
pricing, costing, equipment usage, rental/contract invoicing, . R. i5 O( y3 a
together with such other systems and procedures as may be necessary
M! ]# t: z9 E6 y. ~to ensure the smooth, secure, efficient, cost-effective and ; L( _8 U' g# x; W& Y5 U6 I
functionally-effective operation of the Horowitz Theatre.
( a5 O P F: u }; o5 c( z· To recognize, develop and set in place such operational procedures , w: k, [/ h! Q
as may be necessary to ensure the smooth, efficient and cost-
, j$ L6 I. K- m) s f( g! {effective operation of the venues.* S$ p: |( u4 R" k# x, t% A3 a: |
· To negotiate rental lease agreements (contracts) relating to
8 ?8 ?+ Z" J- W v: _( j ]+ J1 sdates, rates, staff and miscellaneous charges.0 i4 |+ i+ m4 R7 S# s: h
· To ensure that adequate inventory is available at all times and g' H4 z0 \ L) \; i, W" c4 t; T
that such inventory is stored and issued in effective and secure ways.6 X+ o1 B1 N3 e; U3 @% e, d9 r
· To consult with renters as to facility issues in producing their
! q0 z; B0 R, A! V$ Kparticular event in the venues.
7 \/ m0 I- A4 s· To provide the venues on-site staff with such documentation and

· To produce quotes in respect to staffing costs for a particular
/ w% G' X$ {8 I0 X& C* [/ T& Q. Crental with consultation with the Technical Director.
8 k1 y, b y+ x· To ensure that all queries raised with the venues whether from the
: E, I/ t+ l, q5 D' Q7 ESU or renters, are promptly and effectively handled and adequately , }% s8 A4 n5 u6 Z6 I
answered, and to ensure that such action as may be necessary in
4 [& F9 e* W- }* D# R) }+ [follow-up to such queries is taken in a timely manner.
) _# }6 H( g n( R* M4 \ To ensure that the venues and its capabilities are adequately, 4 F5 \# ?- ]4 g7 O/ ^
effectively and cost-effectively advertised and promoted, and that 6 x- l8 }* _& I9 y8 f7 A. B ^9 F
the cost of such endeavors does not exceed the budgetary provision Y8 ?; O9 B( t1 P
made for them unless prior approval is given by the Manager of s; z; s+ l0 y
Programming and Venues.
& a! \* U3 W. N3 |% s+ M; z· To act as an informed and knowledgeable resource in the case of 5 Y$ M/ f. }! j7 l# K8 ^ f" m
significant challenges and/or problems surrounding the tasks of ' c j* g4 q. U& U
marketing, administration, operations, and any such other matters as
+ ^0 Q9 [' M9 G, ?may provide such challenges and/or problems.
