The Operations Manager - Venues and Programming will operate with a  1 n) Q# a3 w7 `3 ]% W$ |' d% g. t2 Q9 V7 C
direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
7 k# G/ K) l1 s0 [4 H& ^The duties of the Operations Manager - SU Venues are diverse and  9 u5 t- n: z! E; z. x* M
extensive, and are targeted at the all round smooth operation and  4 f0 A: W: _7 Z, H9 {! r. f
financial and operational success of the Horowitz Theatre as well as  
8 C: s0 z4 d; K. @4 i) B) {, r+ othe logistical organization and smooth rental of the additional  
8 O$ T( T. P% q4 U5 R+ Wvenues within the realm of the Students´ Union.  In the light of that  ( L+ h* x4 i, a0 K5 p% B& f
breadth and complexity, it is not possible to fully define or  
) G. j" V% D  `$ Qdescribe all roles and responsibilities in a document of this kind.   
0 r7 X9 ?$ F* x! @However, the main roles and responsibilities of the Operations  $ @$ h4 j: j; D3 Z0 w  d
Manager are as follows:

+ g( W  x6 u# T  p! T# Ka.   To ensure, at all times, that the venues listed below meet the  
' B1 I' \9 |! K5 ~5 W  U3 r( P6 G# qappropriate standards, requirements and needs, and contributes in a  
! J1 R3 m2 m; u! A8 D) p: Lpositive way to the smooth operation and success of the individual  
! u" k' K( Y9 ^+ ~! hrenter.6 _/ R0 S% [+ a; G0 P6 i: s
·     Myer Horowitz Theatre2 q  A: F2 P* b: G% O" W
·     Dinwoodie Lounge
% V  Z) D( R7 A·     SUB Stage4 W( B8 x/ v* J- _

b.   This includes, but is not limited to, the following:
9 G0 I$ l3 A1 w: R3 e" L# P·     To plan the capital and supply expenditures to meet the  
  z) B0 I5 j, b3 n2 eproduction and facility requirements./ x2 v; \/ H( a
·     To ensure the day-to-day compliance of the venues with existing  
) u2 i" @) i+ C% `3 _0 T& D" Rsafety regulations and building policies.
$ i+ A7 o5 z, ]: E& F) m4 XTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion. O3 I, o) S. _5 x% k8 n

# ]. k7 X' ?$ @$ o2 ~a.   To develop and implement a marketing plan for the venues that  
& L# S# q+ c% I- Y! Ufocuses upon advertising and promoting the venue to faculty,  
) q9 `* F0 f( q% c4 m( f8 Istudents, and internal and external clients on an on-going basis.  ' X& m% y; b" x  q& o
This strategy will include implementing and/or delegating the following:
) E: p* W+ ^$ R( s  b4 t. D·     To develop and maintain promotional materials, the Horowitz  / n! T; G, {$ @7 C! F% [5 e# D! x
Theatre and SU Venues home page, newspaper and other advertising; to  " ]6 O* V1 F3 k
take advantage of other internal and external advertising  
" o2 d1 D9 X- y  D( ]opportunities; and to develop press releases and other promotional  
; G6 c$ N$ j. ~7 xliterature on an ongoing basis.
1 k" b1 M, v, e: d  h$ h·     To coordinate tours of the venues for potential renters.* Z. D  M8 I4 s
·     To promote upcoming events in the Horowitz Theatre through the  % X3 D2 ~0 ^7 ^$ j- y
use of the Horowitz Theatre Home Page and the SU Events Calendar.+ n: [: V3 `3 B! p/ E) L  T
·     To develop new external clients for the venues.% a+ H& q3 [0 C  g! A9 x" r

# [, O8 T" I% s  I4 U+ M2 f3.        Staff and Supervisory Roles and Responsibilities
" I. l: @6 y8 {' G7 y6 S  Q7 C$ i+ B8 }
a.   To ensure, at all times, that the venues are adequately and cost- ; _8 u: D7 l/ s
effectively staffed, and that the staff utilized by or within the  
) f( b4 E9 r/ z. ]  }" _venues meet the appropriate standards, requirements and needs, and  
3 N6 ^6 s% ^- P! k1 ~contribute in a positive way to the smooth operation and success of  
8 y; k7 g$ P2 ^9 u, _% W+ Ythe renter´s events. This includes, but is not necessarily limited  
* m6 }$ Y9 m: Y. g  E* Cto, the following:
. w! ]  \0 p# Z1 ?5 t·     To be responsible, under the direction of the Manager of Venues  , c+ Z9 Z+ R- g" J1 g% R
and Programming, for all staff issues including hiring, disciplining,  
7 G( n+ T/ \4 l, |evaluating and terminating, as necessary.; e& v; I7 S+ p" L) l' [
To ensure that the Horowitz Theatre is adequately supervised at  
) c, r' Q* E4 g; E7 ^all times, this includes the development and implementation of such  
9 v2 x6 ?# N& k+ m2 eschedules and rosters as may be necessary to ensure the effective and  
% }7 B' Y( @0 H1 r# g, B  \' a7 L8 Lcost-effective supervision of the venues at all times during which it  
" q' a* ]0 _9 o5 G/ K& _is in operation or needs to be in operation.* \/ ^! w  x! V* U
·     To work with the Technical Director, when necessary, to ensure  + P( l  Z7 w: J" K
that an adequate and appropriate level of part-time staff exists to  
6 B+ G; m4 J5 S8 _! z# E1 f3 e% Pfacilitate the smooth operation of the venues and to ensure all  & H5 d- ]$ Z: f$ `
renters needs are met.8 @, h0 C* E* I4 P
·     To work with the Technical Director to ensure that the skills  4 @6 a6 J+ ?2 I1 @! f$ d( T
and attitudes of all subordinate staff are appropriate in light of  
  i5 v, V( A$ \( @3 bthe roles they must perform. This includes providing adequate and  
# X% L5 K4 \3 Meffective training (and re-training) in all applicable and  
! h2 H9 n5 \/ H) c. b' Iappropriate areas, and ensuring that the Policy and Procedures manual  
) N8 S7 G- G2 o. t6 k. ~& q5 F& x+ Yis kep up-to-date at all times.0 g3 w3 b7 s! X+ m
·     To ensure all staff are trained in and committed to providing  , |* E  }4 d2 f0 _  u. y
excellent customer service to all renters.# E7 p/ K! b* [
·     To work with the Technical Director to arrange staff  
: U# f9 V3 U7 n4 `/ ischeduling.  To handle payroll related matters, under the guidance  5 j* A' @, e% f
and direction of the Manager of Venues and Programming, concerning  
( S* u. z9 a/ D' U" O9 R! ^the staff of the venues.
+ G- P6 `. b: ~1 C6 y- `·     Working with the Manager of Facilities and Operations to ensure  
8 n6 F6 i, Y- g; mthe appropriate setup/tear down of each venue.
3 f* M) F: k; ~% e9 ?% Y, A·     Working with the Manager of Programming and Venues to ensure  
1 i- N% M  X0 w: J! ^that additional requests such as licensed receptions are arranged.

. ]" A+ z0 j' F& k# Z& ?: X8 z; J8 r9 ?# a
4.          Overall Financial Performance
6 v( M  {- _6 ~, i
; _: c8 w1 l- ]6 C, ?a. To ensure, at all times, that the Financial and Administrative  7 O2 d5 M* U7 I2 [  ?
systems and processes utilized by or within the venues meet the  
( S3 H# U2 j- Gappropriate standards, requirements and needs, and contribute in a  
; x3 q" `7 R4 a/ [positive way to the smooth operation and success of the venues. This    P: Z/ B7 i& U) @8 `9 r# J6 x
includes, but is not necessarily limited to, the following:, o  f4 [- ^5 E6 K! v! `
To provide input and expertise in the formulation of appropriate  
1 i7 v, E* v" Q4 w5 Uoperating budgets covering the venues to the SU´s Manager of  " Q* f4 p: Y; A) G: {; C
Programming and Venues and to discuss and refine those budgets  ( M- q6 y2 x6 x+ Y
Manager of Programming and Venues, and Manager of Finance &  3 q! @% D0 G7 }0 E2 q( I
Administration prior to their submission for final approval.
& s$ J% k6 y2 y4 F. D·  To manage the venues in a manner which adequately and effectively  9 |* n, d: e3 U# l$ B9 n8 s
reflects the budgets approved for the venues and/or which reflects  ' _8 }" B* e+ p; K- O
the best interests of the venues and the Students´ Union.# K4 S# S0 \+ a4 @
·  To function as the key player in the submission of financial and  
6 S$ k. w! o: N* j8 u; a' Gadministrative documentation covering the venues to be used in the  : z7 J% q! }6 c1 z0 c6 b4 H
compilation of monthly and annual financial statements, and such  : a" Q, R" q; m7 L; j4 O) q
other reports as may be necessary.
' U) d/ C' n9 q8 T: R* u·  To discuss those financial statements and other reports, together  
* R/ R- Q8 l4 F6 H& Q5 Ewith all financial and administrative procedures, with the SU´s  ; O+ M) s5 b5 K
Manager of Programming and Venues and Manager of Finance &  
: U. G4 K' ^. V1 {& LAdministration with a view to determining and implementing action  " K, D9 U! _9 Z9 V4 {( e
aimed at improving the financial and/or functional effectiveness of  * Y) u( L! [& t- Q7 Q
the Horowitz Theatre.
& Z2 J! u6 S6 Q. ^·  To ensure the existence of adequate, effective and accurate job  
. N! {# B* g9 Y) p- ucosting systems to be used in connection with the determination and  
: H" L# ?$ n( r0 F9 Hsetting of appropriate prices for rental and staffing rates for  
0 M9 V& v4 H' ~6 jevents held in the Horowitz Theatre.: @" ^! L6 \2 i8 |9 W" p) e6 t
·  To develop accurate documentation to be used in connection with  
, X( D( j" h& u, d6 u5 g2 k- Qthe billing clients, and to forward such documentation in a timely  
7 P" t$ j: d. C: ^" Tmanner to the Accounting Department.
0 S4 N* W6 Z8 z/ p- D·  To recognize, address and handle all matters relating to financial  ; ^7 b7 T: P( z5 ?9 Q2 d
and administrative procedures and systems in a manner which reflects  ( y1 R% B4 M+ {  h3 \
the requirements of the SU´s Manager of Programming and Venues and  
# L8 \. r* y) g* d9 h' gManager of Finance and Administration, and in a manner which  
. u& B$ g- o* }  P# Z; Ccontributes positively to the smooth operation and success of the  
- T! T; P/ ?5 V) g; x/ @# gvenues.
% D- ]- d. \4 b) J# L1 _5 t; l( v. f5 b, \' B  e+ c! X0 v: _" j  J( D& Y
5.          Overall Roles and Responsibilities
% z5 ?/ }+ W) s4 _" |a.   To ensure, at all times, that the systems and processes used in  
7 x5 ], [+ f# T. M& Y: [4 F  Q: xrenting the venues meet the appropriate standards, requirements and  3 @, ]7 x# {' A) Z0 `0 E& O
needs, and contribute to the smooth operation and success of the  # R2 S+ L8 W" j* w% E' |/ ^; }  t
venues. This includes, but is not limited to, the following:* c% r& H: ?: |$ I  `6 R

& O' q1 C8 F  o1 f* O; [; Y: J  d: ]·  To recognize, develop and set in place such rental procedures as  
1 s% x2 p+ L9 i4 a7 P# J( {, }may be necessary to ensure the smooth operation of the venues, this  % j- ^6 f$ R! J5 `% }  L! u# E. |& P" D
is to include but not necessarily be limited to systems and processes  
( ?2 B  a$ c7 X% A3 L" q* `8 g. Uin the areas of contracts, inventory management, contract evaluation,  6 j( G3 D' z+ r# T: G/ C4 M- [3 C0 ^
pricing, costing, equipment usage, rental/contract invoicing,  5 m& K6 l0 X# p& l- p
together with such other systems and procedures as may be necessary  ( k, K% Y4 _5 W* E5 a1 ^# B! `
to ensure the smooth, secure, efficient, cost-effective and  7 }! n! {; V* l1 h% A5 S4 j
functionally-effective operation of the Horowitz Theatre.
5 M( n4 ?- @! `/ `, C/ Q·  To recognize, develop and set in place such operational procedures  7 c& S% P/ @# x6 @2 E; |
as may be necessary to ensure the smooth, efficient and cost- ; j1 H0 g8 W: o& i1 L1 i
effective operation of the venues.
9 D& {7 D, i5 N# y·  To negotiate rental lease agreements (contracts) relating to  
5 L4 C. y$ j2 i, M2 |. j7 h, gdates, rates, staff and miscellaneous charges.
8 z7 j4 x/ N. Z+ u  j9 q·  To ensure that adequate inventory is available at all times and  
, J1 O, J+ q, D# v4 k& Dthat such inventory is stored and issued in effective and secure ways.
. q& w4 c) x1 m/ S1 E4 k8 \·  To consult with renters as to facility issues in producing their  / E6 V# ~$ t" P) ^4 {% Q5 Q
particular event in the venues.4 D3 b! B- }0 N1 |
·  To provide the venues on-site staff with such documentation and  / o/ t. _5 e% v& o
supporting information as it may need to effectively fulfill the  5 S# a' L" q4 h2 B
roles they are to perform to ensure the success of the renter´s event.
8 o% B; Y9 S+ }/ a7 f- v* s# j·  To produce quotes in respect to staffing costs for a particular  
) i6 {2 q* @% D$ a4 ^rental with consultation with the Technical Director./ K: `* r- ~1 [  T, T. N) b% `( y
·  To ensure that all queries raised with the venues whether from the  ! z4 l  P" F% L+ e- m
SU or renters, are promptly and effectively handled and adequately  6 \8 W( e5 j! S- `6 c2 {
answered, and to ensure that such action as may be necessary in  4 k( i1 N' T2 z/ M" l
follow-up to such queries is taken in a timely manner.* L  s: D3 ~  [
To ensure that the venues and its capabilities are adequately,  
* G! ?  D- j) R6 K; W. ~+ @effectively and cost-effectively advertised and promoted, and that  % S; J* h2 D5 K, v* C$ |. W
the cost of such endeavors does not exceed the budgetary provision  ! S  C) G* N% n2 K
made for them unless prior approval is given by the Manager of  
0 \4 ]9 w" a; dProgramming and Venues.
+ E: ^2 a. L7 g$ E9 K5 _·  To act as an informed and knowledgeable resource in the case of  
. |! }. e" `" Esignificant challenges and/or problems surrounding the tasks of  
- P2 g. ?$ T( C( lmarketing, administration, operations, and any such other matters as  0 l" R5 y1 y$ Q& S
may provide such challenges and/or problems.3 l' Z. V% R4 S' r
·  To attend such meetings as may be required to support the smooth  4 X* L1 k; N( ?! G  U: N
operation of the venues or the Students´ Union as a whole.7 U, U) \9 Y1 Y
·  To perform other job-related duties as may be required by the  6 R9 @8 M8 G" Z+ W1 h3 w
Manager of Programming and Venues in order to ensure the smooth and  1 U1 Y0 |/ _4 H  v: I
secure operation of the venues.
! U5 o( y! J/ R; b( h$ C# K·  To recognize, address and handle all matters relating to overall  
! D; t5 t4 \# H' N1 `2 |* Noperations in a manner which reflects the requirements of the SU´s  0 J% j" D+ d, U) {9 h" C( x
Manager of Programming and Venues, and Manager of Finance and  : k( _& ~4 P% o" G
Administration, and in a manner which contributes positively to the  * ~* C  j+ v5 }
smooth operation and success of the Horowitz Theatre.! B% L0 q$ o$ F

4 `8 ^4 W8 s$ |' t0 K8 TQUALIFICATIONS:
! t/ {" G5 `  D3 P, ~  {1)             Minimum two years related post secondary education, or  + h  O" K3 I2 h
an acceptable combination of education and experience.$ `7 a" {/ z6 S: v
2)             Supervisory experience.) }- c$ e6 s7 V! C8 z
3)             Ability to create new initiatives with little or no  , O! y8 }; h/ D8 ]- l
supervision.

5)             Knowledge of budgeting and staffing procedures.
