The Operations Manager - Venues and Programming will operate with a  ; G2 _. s8 e+ X
direct line reporting relationship to the SU´s Manager of Programming  $ ?% ?9 W* d# Z+ V' W7 F
and Venues.

ROLES AND RESPONSIBILITIES  T1 _  c5 @6 F) b# Z& ^6 f) q8 x
The duties of the Operations Manager - SU Venues are diverse and  
1 H" R  r' Z3 o& C+ T4 Xextensive, and are targeted at the all round smooth operation and  
  O( r7 F0 W# M7 g2 [financial and operational success of the Horowitz Theatre as well as  # r& n5 {. v6 }+ Y% V
the logistical organization and smooth rental of the additional  $ _" D4 F6 a" n* R: w; \
venues within the realm of the Students´ Union.  In the light of that  
. J* a+ V& ?2 L6 B7 |1 Dbreadth and complexity, it is not possible to fully define or  
$ K, x/ u' N0 n$ {' a" U% ddescribe all roles and responsibilities in a document of this kind.   
; k& k& i* O; Z. X. X" wHowever, the main roles and responsibilities of the Operations  
8 Z/ `% p3 d/ N4 d5 ?3 C" t% Y& Z. hManager are as follows:

appropriate standards, requirements and needs, and contributes in a  7 h5 P8 q  S. p- C
positive way to the smooth operation and success of the individual

b.   This includes, but is not limited to, the following:

·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.& o9 ?/ `5 ^; a) F. Q

a.   To develop and implement a marketing plan for the venues that  
/ E, R" @# w3 c% Dfocuses upon advertising and promoting the venue to faculty,  : Z8 t- X9 k: Z) i4 [/ {: S- G. [
students, and internal and external clients on an on-going basis.  9 q7 @$ @- c" I! a6 \5 m
This strategy will include implementing and/or delegating the following:' x- O+ y+ a! z( @; Q
·     To develop and maintain promotional materials, the Horowitz  4 w. u6 l6 m, w* ?
Theatre and SU Venues home page, newspaper and other advertising; to  
) R. \: u( @6 R' x* {+ J- Y* C7 dtake advantage of other internal and external advertising  * S$ h# T* D" R4 p! M
opportunities; and to develop press releases and other promotional  
8 M/ K: m: d3 F; m  ]literature on an ongoing basis.: Z5 O* q6 H$ y- C, T+ M1 |
·     To coordinate tours of the venues for potential renters.# _+ q. [8 A1 F4 I- c9 \9 z7 `
·     To promote upcoming events in the Horowitz Theatre through the  ( J9 s+ o- r" A# O1 j6 C- R
use of the Horowitz Theatre Home Page and the SU Events Calendar.' w* I+ {8 X& G- u4 G" K1 G  e
·     To develop new external clients for the venues.; j6 k4 I+ l+ |$ j

) }" Z) j% ^, L) J. r% o
/ \: |: R8 L; \# [0 }6 t7 J5 d3.        Staff and Supervisory Roles and Responsibilities$ O1 a4 W; S+ N: K; j8 o

* T+ S* }' e0 K/ M9 o+ ~a.   To ensure, at all times, that the venues are adequately and cost- & C( }3 j9 u, o( t9 `8 ?
effectively staffed, and that the staff utilized by or within the  
' k7 g6 }* W  P* @6 gvenues meet the appropriate standards, requirements and needs, and  3 O' P" h# P$ W# W- V- E
contribute in a positive way to the smooth operation and success of  
) ^# R5 ]5 o2 |0 X( Kthe renter´s events. This includes, but is not necessarily limited  + r+ }% M7 d- \7 q4 f* k6 x
to, the following:9 [6 J: q+ m3 O" ]" q* o) C% E
·     To be responsible, under the direction of the Manager of Venues  
% B: s& n& _3 Zand Programming, for all staff issues including hiring, disciplining,  
! M1 W' r. H; Wevaluating and terminating, as necessary.# |/ `' f' Z' O/ R% p/ B
To ensure that the Horowitz Theatre is adequately supervised at  
+ Z$ d7 e( P% P! x4 D+ Tall times, this includes the development and implementation of such  ( ~+ u; x' N$ v
schedules and rosters as may be necessary to ensure the effective and  - r" ~6 h" {9 B2 J6 }  [7 j; ^
cost-effective supervision of the venues at all times during which it  
% `2 }7 @+ D" G  bis in operation or needs to be in operation.
8 d) ]8 x, o0 O$ r9 O1 U# L·     To work with the Technical Director, when necessary, to ensure  " S% `+ x& ]' Q9 R
that an adequate and appropriate level of part-time staff exists to  # O5 M: P0 r: Q
facilitate the smooth operation of the venues and to ensure all  
4 a2 I5 f! V% }4 k5 {4 nrenters needs are met.8 T, b8 e0 g) w, `- ^8 U* Y% e- t
·     To work with the Technical Director to ensure that the skills  + ^/ A2 x' W- b" Z
and attitudes of all subordinate staff are appropriate in light of  
  a' x1 [0 {1 d3 a% q- S* @1 Ithe roles they must perform. This includes providing adequate and  
. u8 ?; o& U7 s9 o2 weffective training (and re-training) in all applicable and  : r; ?- |+ v' R$ x: [% D, f
appropriate areas, and ensuring that the Policy and Procedures manual  
6 V7 a0 a2 j8 q: O1 t% |- Ris kep up-to-date at all times.
0 i* e/ s! v1 u; w1 i7 ^" _) q·     To ensure all staff are trained in and committed to providing  
4 L: a& M* `, Y/ vexcellent customer service to all renters.
% N& O; w2 E$ ~·     To work with the Technical Director to arrange staff  
4 h. P& I" I1 g2 W& Oscheduling.  To handle payroll related matters, under the guidance  
  l" f* A$ v" p: |6 ]6 _- ^and direction of the Manager of Venues and Programming, concerning  
9 s6 }+ ~; W: j7 a+ Tthe staff of the venues.
! F# n! B9 f+ o/ u# u+ ]6 _* u·     Working with the Manager of Facilities and Operations to ensure  
9 t( j, r& N2 u# \: Tthe appropriate setup/tear down of each venue.# t- G, b# U1 m7 r- m- Q4 p8 ^4 f
·     Working with the Manager of Programming and Venues to ensure  - y2 F$ D9 i# }# d. ]  ^
that additional requests such as licensed receptions are arranged.

2 ]3 Y. k: W- I& h% s6 m. k1 K4.          Overall Financial Performance
$ J, ^$ ]% F  ?* R4 G! O7 E
+ T. u; H# \8 ~8 r. A" s* V5 ta. To ensure, at all times, that the Financial and Administrative  
1 k5 T6 d' l! ~& b- n8 nsystems and processes utilized by or within the venues meet the  3 A* f( J5 x; ^- @9 J
appropriate standards, requirements and needs, and contribute in a  ! t" s5 h5 ?* v" Y/ A' I! L0 d
positive way to the smooth operation and success of the venues. This  
& W1 W1 m2 I- E; |includes, but is not necessarily limited to, the following:) l- k, k3 F! ^6 E# k+ H
To provide input and expertise in the formulation of appropriate  * _1 ?' s5 C, o% |6 W
operating budgets covering the venues to the SU´s Manager of  
7 l6 a, q% k5 [2 h0 ~Programming and Venues and to discuss and refine those budgets  6 E" Y7 L( p2 a3 L4 w8 v8 e8 Q
Manager of Programming and Venues, and Manager of Finance &  
7 H7 |& N) b7 iAdministration prior to their submission for final approval.
4 E( k* W8 p$ z- U$ X·  To manage the venues in a manner which adequately and effectively  + B1 g6 e* \5 }7 r. s) P
reflects the budgets approved for the venues and/or which reflects  
# x0 D( [1 p# {the best interests of the venues and the Students´ Union.
' L% W! O" i+ o* v2 \% a5 f" T·  To function as the key player in the submission of financial and  - e: _+ v1 u9 P; _. S% {
administrative documentation covering the venues to be used in the  
, o  @" x* q" b- W9 s! K! mcompilation of monthly and annual financial statements, and such  
% V' e! \) j( U: E/ K. I  O; cother reports as may be necessary.2 L9 \9 X0 t* S
·  To discuss those financial statements and other reports, together  ! E" H1 P% _8 S. p: w% P
with all financial and administrative procedures, with the SU´s  
% B3 {: q2 A: k$ j" G  TManager of Programming and Venues and Manager of Finance &  
! [3 |* [' u$ I9 l+ r, X- E5 sAdministration with a view to determining and implementing action  9 e, B! P: X. r5 x
aimed at improving the financial and/or functional effectiveness of  4 a7 H8 K9 u0 ?3 b% h  j
the Horowitz Theatre.
) b( H; @8 `2 p$ L·  To ensure the existence of adequate, effective and accurate job  
4 l' r. a- {( W5 B( x( p* G1 S% M3 O. ~costing systems to be used in connection with the determination and  
2 F; d  B6 N9 U# Nsetting of appropriate prices for rental and staffing rates for  1 Z0 _5 y% \6 e# L. `' z5 H
events held in the Horowitz Theatre., H" }: D& L2 _, U1 N" i
·  To develop accurate documentation to be used in connection with  - N- j! m/ R5 q0 U5 f5 U
the billing clients, and to forward such documentation in a timely  % f1 y9 P# U; ~- e3 t
manner to the Accounting Department.8 \/ _9 n. I9 K7 v
·  To recognize, address and handle all matters relating to financial  6 q7 l/ M5 k) p* g
and administrative procedures and systems in a manner which reflects    q7 q& x/ U3 Z7 B& b5 g
the requirements of the SU´s Manager of Programming and Venues and  
1 }# S- s# s8 o( N8 jManager of Finance and Administration, and in a manner which  ! t7 D% d6 ~5 v& V$ {- U# `7 f
contributes positively to the smooth operation and success of the  4 a* N/ a) p, N
venues.0 k: e# n0 ]4 |( B7 V- X2 p/ N
0 x# ]( g4 o+ F# @; Y# w, r: N
5.          Overall Roles and Responsibilities
& \- D; {1 d6 b: R$ [- Ia.   To ensure, at all times, that the systems and processes used in  
: m0 n! y# P. e# S- @4 \2 qrenting the venues meet the appropriate standards, requirements and  
! d  W" K3 \! H; eneeds, and contribute to the smooth operation and success of the  
# T, Z3 y& a8 |0 A/ q- P* @venues. This includes, but is not limited to, the following:) ?7 {+ @: w" b. F9 l. R
0 z0 i6 M; B- K" L  a: S" a& U
·  To recognize, develop and set in place such rental procedures as  / H- a6 d+ Z% B5 O7 E
may be necessary to ensure the smooth operation of the venues, this  
: f+ z8 M' c% @) M, z3 l- e# a- a0 |is to include but not necessarily be limited to systems and processes    \% V9 ]! c3 Q4 x
in the areas of contracts, inventory management, contract evaluation,  ; D6 z, T: R6 U" ]0 N- j" U
pricing, costing, equipment usage, rental/contract invoicing,  
  h* i2 U& X* l; o7 T  ^together with such other systems and procedures as may be necessary  
0 O6 [  w6 P2 T% t; H0 Gto ensure the smooth, secure, efficient, cost-effective and  
. I8 \0 S; r+ u3 K# d5 ]' ^functionally-effective operation of the Horowitz Theatre.* W# ]( R* |/ K+ n3 A4 y; s5 |, t
·  To recognize, develop and set in place such operational procedures  
6 t; b" u. g1 a( das may be necessary to ensure the smooth, efficient and cost-
" J$ D9 y* H& {7 Eeffective operation of the venues.
( o; }7 ~5 k1 [" M  a! R·  To negotiate rental lease agreements (contracts) relating to  
: ^/ R" N2 M% r8 A( Bdates, rates, staff and miscellaneous charges.
4 W4 j$ s/ ]" ^·  To ensure that adequate inventory is available at all times and  ' G5 y+ }8 i' A- ?
that such inventory is stored and issued in effective and secure ways.) ^, n% O6 ]5 [8 x, p
·  To consult with renters as to facility issues in producing their  ; I( n- l) b9 m  B
particular event in the venues.
9 P; H% A7 t# q. _- ^, X·  To provide the venues on-site staff with such documentation and  ; e3 u" X! {0 y, j1 P8 P! ^
supporting information as it may need to effectively fulfill the  
0 J0 i* S8 s/ [' Oroles they are to perform to ensure the success of the renter´s event.
* y& w- t! `0 n# A' ~·  To produce quotes in respect to staffing costs for a particular  
& `2 U+ s1 u1 F/ a  E" w* _; Jrental with consultation with the Technical Director.
' O+ M9 j# f3 a·  To ensure that all queries raised with the venues whether from the  
2 K' e7 \9 L: ~  V4 z8 b6 \% ?SU or renters, are promptly and effectively handled and adequately  
7 `3 w9 q" g) G& b8 t! x$ E: D& m+ I9 Ranswered, and to ensure that such action as may be necessary in  ( e7 C5 J' i( _1 H
follow-up to such queries is taken in a timely manner.
! y* ~1 Q8 Z; [8 A To ensure that the venues and its capabilities are adequately,  
' A' ^" {$ d3 n& M1 @3 Z9 M8 ieffectively and cost-effectively advertised and promoted, and that  + n5 ^- J1 `, C2 N% [
the cost of such endeavors does not exceed the budgetary provision  # L( A% l: O+ t7 m
made for them unless prior approval is given by the Manager of  * o0 {5 J1 m# [. W
Programming and Venues., U3 u2 `2 V. m0 {7 r
·  To act as an informed and knowledgeable resource in the case of  # s2 d1 V8 ~- u% M( k) F5 W0 u
significant challenges and/or problems surrounding the tasks of  
' A) R: T# }3 ]marketing, administration, operations, and any such other matters as  ' o/ w+ ~9 i" _! {* p( T9 D+ Z8 Y
may provide such challenges and/or problems.
* J$ k2 s, t& J- W1 [·  To attend such meetings as may be required to support the smooth    L* o5 E9 y+ p) h- P" T0 S: c  K! ^! p
operation of the venues or the Students´ Union as a whole.
  Y, a, P! C& [& x2 _0 c·  To perform other job-related duties as may be required by the  9 ^1 s( `8 X: L/ d, _
Manager of Programming and Venues in order to ensure the smooth and  
( s6 x+ `" Z' {: ^$ x. Asecure operation of the venues.1 R  `5 Z) {8 Y7 n- n) y  m! l
·  To recognize, address and handle all matters relating to overall  % e/ L6 A$ p3 W& `
operations in a manner which reflects the requirements of the SU´s  
1 z/ y5 k  O' c- @1 KManager of Programming and Venues, and Manager of Finance and  8 b6 G) f4 _4 P# b/ [- l' {
Administration, and in a manner which contributes positively to the

1)             Minimum two years related post secondary education, or  
# M$ d% x2 _7 x8 w- V# Fan acceptable combination of education and experience.- F0 r) b2 Z, s

3)             Ability to create new initiatives with little or no
