The Operations Manager - Venues and Programming will operate with a  ( {1 U% ~  e( W  ]% G
direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
( m' k* @' Q* ]The duties of the Operations Manager - SU Venues are diverse and  , O# s6 F1 \- h& b" B6 t9 h, W8 h
extensive, and are targeted at the all round smooth operation and  0 s8 z6 V# q! `* g
financial and operational success of the Horowitz Theatre as well as  9 m& m: C6 s* V, V0 f
the logistical organization and smooth rental of the additional  
' @" u' C# n" L' E. G+ o, w8 Mvenues within the realm of the Students´ Union.  In the light of that  & W3 C( z  O2 {# b
breadth and complexity, it is not possible to fully define or  
4 d1 L% a. W3 F6 x( Vdescribe all roles and responsibilities in a document of this kind.   & c4 z% _( \& Y- a0 [
However, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  
1 X8 p* y+ O. S5 T! u5 S) {6 E9 P' lappropriate standards, requirements and needs, and contributes in a  
; k* l+ `3 J# J' C0 @positive way to the smooth operation and success of the individual  
- `- w  a$ n( L* _$ w8 v" ~' rrenter.8 Q0 _( m* B: Q2 I
·     Myer Horowitz Theatre( ?+ J& l  D2 ~
·     Dinwoodie Lounge

·     To plan the capital and supply expenditures to meet the  
- C8 A5 y4 _( n3 lproduction and facility requirements.
9 B  a7 ?: F4 E·     To ensure the day-to-day compliance of the venues with existing  
$ X  @( F* f3 T, t' u& g5 n6 Vsafety regulations and building policies.
9 c! l" }' x: Q# S$ @, g* E* cTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion2 v& p/ s+ F+ X

a.   To develop and implement a marketing plan for the venues that  
0 F7 V& w: s) N# Z) L: u8 ^+ i1 `focuses upon advertising and promoting the venue to faculty,  ! {  a' A: i/ s/ z' u0 k
students, and internal and external clients on an on-going basis.  # [5 x- @" P7 [8 q- J/ A5 R
This strategy will include implementing and/or delegating the following:
/ Z9 h% W1 @  j/ c6 \# m1 G·     To develop and maintain promotional materials, the Horowitz  4 h' w% P/ Z: I' N
Theatre and SU Venues home page, newspaper and other advertising; to  
9 H9 Q# B, c) |- {( Ltake advantage of other internal and external advertising  
( B  H* S: {! E' o8 o4 Oopportunities; and to develop press releases and other promotional  
- q( F, R! A( xliterature on an ongoing basis.5 Q+ a- j2 d- G. K' R) Q, H
·     To coordinate tours of the venues for potential renters., m* }- D; T4 f1 \  L/ \1 f
·     To promote upcoming events in the Horowitz Theatre through the  & _" C) x# d& b$ U7 Z7 j; t
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3.        Staff and Supervisory Roles and Responsibilities+ }* U5 ^5 e4 I; w1 @5 I& V2 {" |! N9 Y

" i6 W( k9 T( A# ^/ `/ m; Na.   To ensure, at all times, that the venues are adequately and cost- , ]7 C& s) C& E# G: B  O) Y7 @& w
effectively staffed, and that the staff utilized by or within the  4 P. `) z; G) N! y  T: u
venues meet the appropriate standards, requirements and needs, and  ! T: i! Y. ]( Y. v& J: p+ Q
contribute in a positive way to the smooth operation and success of  
. q$ D. ^. v4 L  k! N  Q6 ethe renter´s events. This includes, but is not necessarily limited  4 h9 _" n- N( T
to, the following:6 S8 ?8 x9 d( x" d" e
·     To be responsible, under the direction of the Manager of Venues  
! N3 F. U: z3 q# ?7 _$ F  G% `and Programming, for all staff issues including hiring, disciplining,  
& W7 Q/ s8 }) U9 {7 x1 wevaluating and terminating, as necessary.
# J" H8 O% M( g7 r$ J To ensure that the Horowitz Theatre is adequately supervised at  
0 {) X3 ?0 F- A& Xall times, this includes the development and implementation of such  ; E5 Y0 a% I7 X6 n
schedules and rosters as may be necessary to ensure the effective and  
$ e  b* M& e! n5 zcost-effective supervision of the venues at all times during which it  
5 i# P' X4 ~# Y- c  c# d% mis in operation or needs to be in operation.* e1 l0 g1 z/ ?3 F* e: S
·     To work with the Technical Director, when necessary, to ensure  
6 m" u3 l% d" u" H9 ~# f8 athat an adequate and appropriate level of part-time staff exists to  
0 X3 f% D$ q- }' Sfacilitate the smooth operation of the venues and to ensure all  ; O% D! P, c4 F5 Q$ L
renters needs are met./ Q+ b0 ]1 Y, {8 L$ E+ `- b
·     To work with the Technical Director to ensure that the skills  . z; W7 G$ x9 i- w! c
and attitudes of all subordinate staff are appropriate in light of  
6 _2 E& C5 @/ F1 N& Qthe roles they must perform. This includes providing adequate and  
5 ?4 v& d+ i4 [' m/ _1 Eeffective training (and re-training) in all applicable and  : V7 s8 \0 x# i! A+ `  |" r' Y" h
appropriate areas, and ensuring that the Policy and Procedures manual  
( E5 u* x0 z0 U9 vis kep up-to-date at all times.2 O" e" l- p* r5 O  O
·     To ensure all staff are trained in and committed to providing  ( z6 n& I  Z0 j/ z. }
excellent customer service to all renters.$ X( g; L& {3 G
·     To work with the Technical Director to arrange staff  & \" {1 g! w) z6 N$ Q# |: C
scheduling.  To handle payroll related matters, under the guidance  
- I0 J" m% |. D9 tand direction of the Manager of Venues and Programming, concerning  ' M. C: L4 c. c/ J; e) ]3 a
the staff of the venues.& m# N6 w  w+ D- Z; T7 p- O8 a
·     Working with the Manager of Facilities and Operations to ensure  % `) Q  p& @6 E& v
the appropriate setup/tear down of each venue.
4 X1 A- U$ |" l+ u, J# b·     Working with the Manager of Programming and Venues to ensure  
- j) v% B0 v3 g  p' ?5 uthat additional requests such as licensed receptions are arranged.- r: o8 D/ L5 [+ t, N: B

a. To ensure, at all times, that the Financial and Administrative  - k: b( Q  _+ b* b0 {) ]0 b0 e
systems and processes utilized by or within the venues meet the  - s, j5 D; C0 h  {
appropriate standards, requirements and needs, and contribute in a  
" Y8 W8 K9 z. C! C$ G3 F( j$ Kpositive way to the smooth operation and success of the venues. This  / O) T# }. c$ o7 z0 S$ N
includes, but is not necessarily limited to, the following:; t! y% ]  D/ l7 N9 z
To provide input and expertise in the formulation of appropriate  
1 M; j  ^# d( ^, T+ ?operating budgets covering the venues to the SU´s Manager of  
7 Z: S1 k# ?0 wProgramming and Venues and to discuss and refine those budgets  
0 W! M1 F+ {  s, EManager of Programming and Venues, and Manager of Finance &  
0 p- N: \; r) X: @5 vAdministration prior to their submission for final approval.* L: U& j3 ]% N4 t
·  To manage the venues in a manner which adequately and effectively  
% P; k' k# o1 o2 S( @reflects the budgets approved for the venues and/or which reflects  
+ P) E$ B& j3 M+ R" Q! u7 gthe best interests of the venues and the Students´ Union.* i4 L  f2 ?! X
·  To function as the key player in the submission of financial and  : H3 `% r) |/ o* t
administrative documentation covering the venues to be used in the  
* @4 B. f2 Q1 t5 O$ i: R; V# z- hcompilation of monthly and annual financial statements, and such  
. ~% C5 }6 e% ^other reports as may be necessary.
7 N5 R8 Z, e: n) R·  To discuss those financial statements and other reports, together  ! {+ h( U/ u! a
with all financial and administrative procedures, with the SU´s  , C8 G* U- y  p5 m) |: u$ ^
Manager of Programming and Venues and Manager of Finance &  5 f* K0 X2 T/ ]+ W: ]7 @- i
Administration with a view to determining and implementing action  
  k% e# u+ ~- A3 c. m8 D" e) {aimed at improving the financial and/or functional effectiveness of  
+ N# N5 A2 ?1 b( x) d0 lthe Horowitz Theatre.
3 X- R1 y, r# V' N+ @; ^·  To ensure the existence of adequate, effective and accurate job  
( P7 S4 h, w$ J# {costing systems to be used in connection with the determination and  % K4 }& ^7 C6 z5 m2 T2 G
setting of appropriate prices for rental and staffing rates for  
, Z! @; O/ W% X8 |events held in the Horowitz Theatre.
2 y+ e2 {5 j% G6 V. Y- Z' ]9 D& J·  To develop accurate documentation to be used in connection with  
+ I4 v7 ]% z+ [! W2 R- R, fthe billing clients, and to forward such documentation in a timely  
1 b9 q# s% k9 l  gmanner to the Accounting Department.& W3 e+ x6 ]: w. _3 V
·  To recognize, address and handle all matters relating to financial  
) W2 W% G/ N. O' A8 Fand administrative procedures and systems in a manner which reflects  ) X4 i$ d4 F* g; O- A
the requirements of the SU´s Manager of Programming and Venues and  0 _" I- K# Y) }1 i8 t
Manager of Finance and Administration, and in a manner which    i& G; L! |/ o6 v
contributes positively to the smooth operation and success of the  4 X5 K- l' Z! I% l
venues.  C) d1 l* r" S4 w# J- S

8 q1 l. y% q( Y6 F6 S, ~' |5.          Overall Roles and Responsibilities
5 J3 _4 B" N6 \1 b; Ma.   To ensure, at all times, that the systems and processes used in  1 d$ g1 y5 C& W7 f) n5 ]
renting the venues meet the appropriate standards, requirements and  
+ G4 B1 G$ w- k8 f, r/ yneeds, and contribute to the smooth operation and success of the  
, d* r9 y2 F; {5 r+ Z! t- a+ N/ h( z% Mvenues. This includes, but is not limited to, the following:
, w" A1 h7 N1 c. s8 }& S; W" J/ V: q. o7 p$ j  q
·  To recognize, develop and set in place such rental procedures as  
9 [4 {7 G& \7 b4 emay be necessary to ensure the smooth operation of the venues, this  % s" V. w7 C4 {. j: b. c: ?, I# g
is to include but not necessarily be limited to systems and processes  ' x( q: B" }1 c6 S9 l" G; P4 A
in the areas of contracts, inventory management, contract evaluation,  
# [4 r& M0 @$ S) D8 ?pricing, costing, equipment usage, rental/contract invoicing,  " v  J' \3 W5 s( n: w
together with such other systems and procedures as may be necessary  - V; Y4 }- B) F9 B% c  y
to ensure the smooth, secure, efficient, cost-effective and  
4 c- `0 i3 B2 w' s. m$ Efunctionally-effective operation of the Horowitz Theatre.
- c2 M# \. E3 `8 Q# A·  To recognize, develop and set in place such operational procedures  0 K. b7 g- t! Z& t* t
as may be necessary to ensure the smooth, efficient and cost- : G+ ]6 B! H% j9 K9 l9 Q2 c
effective operation of the venues.
2 C  d/ d( C7 ?  z. D' r·  To negotiate rental lease agreements (contracts) relating to  4 G) q; ^! R0 G7 U, d9 s" P
dates, rates, staff and miscellaneous charges.
6 Y' z- r5 }- I- g·  To ensure that adequate inventory is available at all times and  
0 J/ u  {8 E$ B8 O- m- R3 f; [that such inventory is stored and issued in effective and secure ways.) {% I: \# q  n
·  To consult with renters as to facility issues in producing their  
! k" ]$ d/ e7 }4 e, E% m8 t: sparticular event in the venues.
8 K7 a5 w7 z( J·  To provide the venues on-site staff with such documentation and  
% {4 ~8 i& ~2 _4 v! S1 k# @supporting information as it may need to effectively fulfill the  
* o, t, m, r5 A0 ?roles they are to perform to ensure the success of the renter´s event./ d0 n. H6 V5 v  z0 O
·  To produce quotes in respect to staffing costs for a particular  . x3 t/ D$ J! r
rental with consultation with the Technical Director.* c2 J# E! n0 w1 X% g
·  To ensure that all queries raised with the venues whether from the  
. G! w9 R! I4 @3 P: ?4 `& TSU or renters, are promptly and effectively handled and adequately  
" w, D" O; M  l6 B; g: N& \4 j6 ^answered, and to ensure that such action as may be necessary in  ! `  }) p) l" P3 X6 Y
follow-up to such queries is taken in a timely manner./ f  |* ?5 Y/ p$ M
To ensure that the venues and its capabilities are adequately,  
( U# |" m$ X5 m0 P  L- o" R& T8 |effectively and cost-effectively advertised and promoted, and that  
1 z- @; \6 _; s- M, ethe cost of such endeavors does not exceed the budgetary provision  
. Q! F5 ?6 X& I2 R0 O2 Vmade for them unless prior approval is given by the Manager of  : k9 M5 G$ U$ m4 M% u  i- x
Programming and Venues.
4 U& l, }0 m, ^·  To act as an informed and knowledgeable resource in the case of  4 y; W1 H" Q* `. T1 T# b
significant challenges and/or problems surrounding the tasks of  
; {; \4 d; ~& o. G$ {" Pmarketing, administration, operations, and any such other matters as  , K! o# [8 c5 K( f; V: w" ?) U! p
may provide such challenges and/or problems.
2 r- C" s9 O* |0 F- Y) x% d·  To attend such meetings as may be required to support the smooth  
2 Z1 C/ j5 s% S2 Qoperation of the venues or the Students´ Union as a whole.9 |) j" `" ?& l
·  To perform other job-related duties as may be required by the  6 |  h8 q$ S. ^& L
Manager of Programming and Venues in order to ensure the smooth and

·  To recognize, address and handle all matters relating to overall  3 a. x- F& k2 U
operations in a manner which reflects the requirements of the SU´s  ! l5 t7 z& s' q' H  J

Administration, and in a manner which contributes positively to the  % h& d2 T* A* E2 H  K  I7 U; k

QUALIFICATIONS:

3)             Ability to create new initiatives with little or no
