The Operations Manager - Venues and Programming will operate with a

7 C* K" N5 U( A& K. |The duties of the Operations Manager - SU Venues are diverse and  5 Q$ ?7 j; S- q: F: H
extensive, and are targeted at the all round smooth operation and  4 K6 C5 H1 l. R, J* d
financial and operational success of the Horowitz Theatre as well as  
9 p/ J! B* d+ R$ _the logistical organization and smooth rental of the additional  ; c7 m! B: J* E& N1 I
venues within the realm of the Students´ Union.  In the light of that  ( X/ x% I: F% }; N( ?6 D' R
breadth and complexity, it is not possible to fully define or  5 l. V) \7 V! z2 ^* c
describe all roles and responsibilities in a document of this kind.   
* v6 a0 J3 i- H# fHowever, the main roles and responsibilities of the Operations  ) b! U' p: {4 I+ _6 r( q

a.   To ensure, at all times, that the venues listed below meet the  / n/ s  c- i8 d8 C
appropriate standards, requirements and needs, and contributes in a  
. n. Y7 f0 x; A& X& dpositive way to the smooth operation and success of the individual  + E+ j0 b* E. \; _$ [' r
renter.

·     Dinwoodie Lounge

  C! V: O0 O" L* x$ N( g2 G, B: lb.   This includes, but is not limited to, the following:
  c2 W$ u! {, h& [2 N* H2 W% Y·     To plan the capital and supply expenditures to meet the  
$ x1 `; q: c, S* vproduction and facility requirements.9 H5 x! g" q% g- w" P* x8 @0 V
·     To ensure the day-to-day compliance of the venues with existing  0 b1 L; K+ f) ~4 V  N3 E
safety regulations and building policies.
: T- r) x# m( y2 TTo ensure that the maximum potential of renters is met.

% q0 t+ F6 m! Q) a2.        Marketing and Promotion/ I& _) U1 K$ a$ A( W3 G5 y5 Z  }

- i/ ~( L7 ~8 Ua.   To develop and implement a marketing plan for the venues that  / M. s4 I% n1 z3 z  i  p. W* V
focuses upon advertising and promoting the venue to faculty,  
0 h" r# t& G( fstudents, and internal and external clients on an on-going basis.  8 k" ]3 C7 O, u* Q" k& Y8 t
This strategy will include implementing and/or delegating the following:4 O% Z% m8 Q' x5 z* B4 y: P
·     To develop and maintain promotional materials, the Horowitz  7 @) l& R" p! m; X. B
Theatre and SU Venues home page, newspaper and other advertising; to  
1 v# e$ W. i2 ~$ ttake advantage of other internal and external advertising  
- M9 o6 g8 U* F7 d0 \opportunities; and to develop press releases and other promotional  + J% S4 A& C- {) z
literature on an ongoing basis.
8 z$ O' H6 U" e+ z8 j·     To coordinate tours of the venues for potential renters.
& ^: a) p" J) ~" C# R. c1 w·     To promote upcoming events in the Horowitz Theatre through the  * D/ K: n( t5 d9 g* ]. I: h$ ~1 e8 O
use of the Horowitz Theatre Home Page and the SU Events Calendar." q, u' Y! J, p) R' F/ e0 _+ W( ^
·     To develop new external clients for the venues.- [  d% L8 m/ |* `6 I" O6 m

/ n4 s! U* `* ~* k/ y8 a- a1 ^3.        Staff and Supervisory Roles and Responsibilities  h$ o9 ?/ r$ M2 [

. n  p% b/ s0 Ha.   To ensure, at all times, that the venues are adequately and cost- 2 [* {7 y. Z3 g9 v
effectively staffed, and that the staff utilized by or within the  / U7 c7 D! ?0 }/ X( y# T' H
venues meet the appropriate standards, requirements and needs, and  % e  I5 ?$ s9 ^" @% j2 d% X
contribute in a positive way to the smooth operation and success of  
5 F( }5 j" d% Rthe renter´s events. This includes, but is not necessarily limited  
2 w9 T0 r) \7 N/ N3 N# ?to, the following:
  }1 l6 _- a; A. j) l& `·     To be responsible, under the direction of the Manager of Venues  
$ J( d) X7 A9 i1 g: K8 Eand Programming, for all staff issues including hiring, disciplining,  - B* x7 g5 ~. T
evaluating and terminating, as necessary.9 x; V" O$ g# A; b7 i8 F. }
To ensure that the Horowitz Theatre is adequately supervised at  
" C# {8 _/ p- _7 M0 b) q8 Yall times, this includes the development and implementation of such  
/ @, }+ `, R; n, Rschedules and rosters as may be necessary to ensure the effective and  ! U3 m( w4 K, [  ]0 G5 X% p
cost-effective supervision of the venues at all times during which it  
$ m3 K+ c1 e6 vis in operation or needs to be in operation.4 V- X6 F, S  j3 s- n+ |8 V1 H3 ~
·     To work with the Technical Director, when necessary, to ensure  9 T) m4 A, t( [- Y4 X2 R
that an adequate and appropriate level of part-time staff exists to  , w) Q# d, T0 K0 S
facilitate the smooth operation of the venues and to ensure all  0 b' M1 b  p7 O% `) ~
renters needs are met.7 }) G+ I$ h# v, x8 C/ `3 a, n# r
·     To work with the Technical Director to ensure that the skills  & L% Z/ g3 l5 e; \: z) m
and attitudes of all subordinate staff are appropriate in light of  3 r0 Y3 v) K9 `$ M7 L5 w
the roles they must perform. This includes providing adequate and  
5 j- Q* o' e; Y$ Heffective training (and re-training) in all applicable and  
+ z0 V$ k3 g: k9 J: ]- [# T- yappropriate areas, and ensuring that the Policy and Procedures manual  
, N% q% h% V3 T6 K, vis kep up-to-date at all times.
( }5 b1 ^/ E0 x9 D·     To ensure all staff are trained in and committed to providing  
( D* _# M' I/ H9 a7 H+ W8 o7 mexcellent customer service to all renters.
4 Y/ v) G0 i4 O, G& O! _/ ^; W1 S·     To work with the Technical Director to arrange staff    r) i# O4 ~$ c3 f
scheduling.  To handle payroll related matters, under the guidance  
* X) u7 ]7 i2 Z+ z7 J! ?and direction of the Manager of Venues and Programming, concerning  % q' V. r; U9 M2 B) P
the staff of the venues.1 g: @4 E) i$ L7 g. R  H
·     Working with the Manager of Facilities and Operations to ensure  
7 k! O! K2 l6 @the appropriate setup/tear down of each venue.
; I: {+ K6 k1 x3 I·     Working with the Manager of Programming and Venues to ensure  - H5 t3 B9 S; r* d* R
that additional requests such as licensed receptions are arranged.

5 E# o8 B) i1 ]' d0 }1 m' O8 @4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  5 `+ ~2 o- p( A4 _
systems and processes utilized by or within the venues meet the  $ {, h6 f5 r0 f) t
appropriate standards, requirements and needs, and contribute in a    j1 `8 U& y: ?8 ?9 o
positive way to the smooth operation and success of the venues. This  
+ x7 n5 i, i# I: F$ y0 z6 }8 J0 ]includes, but is not necessarily limited to, the following:
% ]) ^$ b( T( o  `- `0 c To provide input and expertise in the formulation of appropriate  
9 e8 T( ^3 F! Z: W9 J. ?2 xoperating budgets covering the venues to the SU´s Manager of  
3 H1 j0 c2 T2 u' N9 R2 ?2 q* JProgramming and Venues and to discuss and refine those budgets  
8 Y" V- H, Y0 k* x5 a+ A4 BManager of Programming and Venues, and Manager of Finance &  ! n9 O9 p: `) [
Administration prior to their submission for final approval.
* G. L6 O/ n. }' H4 s3 V2 r·  To manage the venues in a manner which adequately and effectively  & v0 a7 F% C5 y/ m6 l  H
reflects the budgets approved for the venues and/or which reflects  6 X# a" }6 h0 J' ^* c5 j/ ?
the best interests of the venues and the Students´ Union.
) {9 f* B4 M- Z* e4 B7 |2 Q·  To function as the key player in the submission of financial and  0 C- i( V6 F/ W( s
administrative documentation covering the venues to be used in the  
) t4 Q1 E! c# b7 x! g, R4 Ycompilation of monthly and annual financial statements, and such  : u. L. k3 I" b! _: E* H
other reports as may be necessary.
4 S* y3 F. `7 X/ _( R% _; x# j& ~; q9 o9 p·  To discuss those financial statements and other reports, together  
, M9 }" a( ~. z2 C8 g( Q" d+ Bwith all financial and administrative procedures, with the SU´s  
# |) `2 |# ?8 N5 \& ?) ZManager of Programming and Venues and Manager of Finance &  
: b- V. x+ z( D, D% j, dAdministration with a view to determining and implementing action  
" @4 D& H9 U9 m( h4 k# c, ^aimed at improving the financial and/or functional effectiveness of  
8 V8 \7 u2 I$ L2 Pthe Horowitz Theatre./ `& e+ ?1 V6 b1 b' ]# x/ U- l
·  To ensure the existence of adequate, effective and accurate job  4 }. o7 k$ Z8 m' T- g9 [9 \. C& K; g
costing systems to be used in connection with the determination and  # g  H# |- k. q' I! W6 ]# \
setting of appropriate prices for rental and staffing rates for  
: |  d" F( h+ P; Nevents held in the Horowitz Theatre.2 J( b' c5 ^) D/ t
·  To develop accurate documentation to be used in connection with  
: C# \$ d7 i& [2 a5 R+ Xthe billing clients, and to forward such documentation in a timely  ' V4 f, Z% G0 i9 L5 t( B
manner to the Accounting Department.
7 k$ `0 d) [4 V- m2 n·  To recognize, address and handle all matters relating to financial  
6 R/ e$ F% I( T/ r7 N/ Qand administrative procedures and systems in a manner which reflects  
/ o7 Q3 \3 v+ }3 a  O- f2 dthe requirements of the SU´s Manager of Programming and Venues and  
& Q1 K- I0 d- d" M* iManager of Finance and Administration, and in a manner which  3 I  e6 P* a; y7 H1 O, s: ~
contributes positively to the smooth operation and success of the  * @" Z7 T! m/ g; M
venues.
) K* O. @  M7 x3 Q4 `9 z4 `9 a; `" ~$ \
5.          Overall Roles and Responsibilities5 _, G8 P: w; ^, ~
a.   To ensure, at all times, that the systems and processes used in  + _+ T( t  D* m9 r' O" Y
renting the venues meet the appropriate standards, requirements and  " J) u( R+ g2 E: F# |; N- l$ o$ [
needs, and contribute to the smooth operation and success of the  
1 L' G5 I) Y0 b5 Kvenues. This includes, but is not limited to, the following:# L1 A5 A: E, C9 S  N7 @

·  To recognize, develop and set in place such rental procedures as  1 A' [( V6 |8 M5 I/ H
may be necessary to ensure the smooth operation of the venues, this  7 s: H9 m+ V6 q7 F( x3 _# |
is to include but not necessarily be limited to systems and processes  ! m5 W4 b- }, M3 V2 ?/ u
in the areas of contracts, inventory management, contract evaluation,  
( k' A) q8 f% J: r  P- ~pricing, costing, equipment usage, rental/contract invoicing,  " @' `1 |0 ?  o# _0 B
together with such other systems and procedures as may be necessary  
* D% Y% P+ K) e3 s& Yto ensure the smooth, secure, efficient, cost-effective and  % @7 O" j3 S+ _( P
functionally-effective operation of the Horowitz Theatre.# k" \6 ~+ t5 i5 ~* a8 a: l
·  To recognize, develop and set in place such operational procedures  : J" S$ S7 E. S* o3 m8 a
as may be necessary to ensure the smooth, efficient and cost- 9 v! F9 p  ]3 ]) A9 X6 m
effective operation of the venues.
2 a: X/ F+ g0 C·  To negotiate rental lease agreements (contracts) relating to  
& d. {4 M# S  U3 G5 E. e" ~dates, rates, staff and miscellaneous charges.
8 N3 C3 g+ K# X2 h·  To ensure that adequate inventory is available at all times and  
: u5 y5 ~1 M6 j, Q! l! uthat such inventory is stored and issued in effective and secure ways.
! p2 i; U7 H% u, @6 [& S·  To consult with renters as to facility issues in producing their  
) z6 ?( P+ W4 _6 ~* P) E. Vparticular event in the venues.3 d% m& ^5 B' L7 Z( N
·  To provide the venues on-site staff with such documentation and  
- e$ e1 u- T+ J! c/ f2 N( r( Csupporting information as it may need to effectively fulfill the  
1 K1 ?4 R4 L# _  ~" zroles they are to perform to ensure the success of the renter´s event./ Y; l1 R% i, b+ \# S3 J7 }2 [
·  To produce quotes in respect to staffing costs for a particular  
, B! e" `, |7 Y" h9 h2 Orental with consultation with the Technical Director.1 q( l7 `# o# p8 H0 X
·  To ensure that all queries raised with the venues whether from the  7 ?: @1 ~5 Q4 _; \5 w0 ~" }1 G
SU or renters, are promptly and effectively handled and adequately  - j* A( s4 M* t, \
answered, and to ensure that such action as may be necessary in  / B  x" \! E$ n1 E: M; _' s+ {
follow-up to such queries is taken in a timely manner.
& p& v. b/ F, \6 J: Q- c0 E, F To ensure that the venues and its capabilities are adequately,  
7 M( a, g+ S! R' Ieffectively and cost-effectively advertised and promoted, and that  2 W( E, q( ?) T' w, G9 w
the cost of such endeavors does not exceed the budgetary provision  ' }- A  C' s( q/ o2 B$ }
made for them unless prior approval is given by the Manager of  ( N/ P, m) Y$ F/ C$ x  a
Programming and Venues.5 S+ t5 \9 \- i; }& s8 @' b5 r
·  To act as an informed and knowledgeable resource in the case of  
9 r: p7 E9 m; w4 R' m/ Psignificant challenges and/or problems surrounding the tasks of  
# N8 e1 j5 A% q" B1 E+ Umarketing, administration, operations, and any such other matters as  4 t$ V9 n" c8 X# [: v  k
may provide such challenges and/or problems.7 W" `) Z4 F$ ^) Z/ V
·  To attend such meetings as may be required to support the smooth  4 S2 Y2 _! w% S' e4 Y
operation of the venues or the Students´ Union as a whole.; ^, h+ ?' |  X. R8 A: Y
·  To perform other job-related duties as may be required by the

1)             Minimum two years related post secondary education, or  6 O: z, T' P& H( @5 @' ]9 K
an acceptable combination of education and experience.0 X7 ]0 W) A# g, ?2 L+ z/ `4 V
2)             Supervisory experience.
1 R9 {! A3 a4 m2 I8 s0 B* S) k; V3)             Ability to create new initiatives with little or no
