Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.; l2 Z, i/ y! E- p' ^1 x( i/ S

• Complete data entry in various programs.

8 t& i  H; a5 n2 _: F- w* \+ q• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

4 g& \, ?% W( s. L, i) p+ }8 {• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.0 [0 P1 r' u/ A4 d3 \" {  ~' i

5 w5 r& j9 f+ a' ]6 F3 r* ~• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

6 L( H, R6 r$ S+ W8 D• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.& j+ R! r- D  M' E( X

9 c8 g& s8 B( U. l9 R• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

$ a7 u9 j% _' b' I$ ]+ x• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the management of requests for CFCA information and resources at public events.. ^8 Q8 \$ i. ?/ w/ e

• Compile information packages for fundraising and promotional purposes.9 H! q" O1 K2 n+ t

( x, U! E" [; e  r• Manage database and support distribution of print publications.

8 c, m1 D3 u" m1 u2 Y4 {• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

( V1 u; b, ?) r4 {& t• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.5 V2 H5 e6 l9 A9 e* G% h8 k0 j

• Support logistical work required for CFCA’s Annual General Meeting1 Y/ O* r0 O+ _1 ^- L1 ?/ f' M9 Z

: z+ Z) G  O, M& H! dSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
