The Operations Manager - Venues and Programming will operate with a  
( z8 h/ C# G. m+ ~( @! N' adirect line reporting relationship to the SU´s Manager of Programming  # Y3 c0 j8 n3 p1 F
and Venues.

The duties of the Operations Manager - SU Venues are diverse and  
  _& e( B, Q9 n) E/ K# t; Rextensive, and are targeted at the all round smooth operation and  5 H8 f" E  A1 b% c; x8 D: G
financial and operational success of the Horowitz Theatre as well as  # {. [' Z8 p, v1 z/ A, l2 L
the logistical organization and smooth rental of the additional  ' m$ f& R: q* T7 X. f
venues within the realm of the Students´ Union.  In the light of that  
7 A* i. |* B9 D8 H1 V0 rbreadth and complexity, it is not possible to fully define or  
# O& B) ~0 |& T& q; Ldescribe all roles and responsibilities in a document of this kind.   
# p& T3 D6 ~0 T* r5 l: d0 @$ JHowever, the main roles and responsibilities of the Operations  7 C, R' K; P4 r: _- F! {# ^

$ M, c5 s+ n6 @2 S9 [a.   To ensure, at all times, that the venues listed below meet the  
; X! M6 _* v% O" k0 [* C9 uappropriate standards, requirements and needs, and contributes in a  , R. }% _! S: R$ l- P( s
positive way to the smooth operation and success of the individual  ! H3 d0 ]. Y/ K* k5 v
renter.
2 t( ^1 O' Y) Z/ [! _·     Myer Horowitz Theatre+ E- _: \  ?5 ^
·     Dinwoodie Lounge7 p- j+ G" o. m
·     SUB Stage

b.   This includes, but is not limited to, the following:7 V9 p' a- r5 V5 X5 q; U2 q% i
·     To plan the capital and supply expenditures to meet the  " r! v, b" A! K

·     To ensure the day-to-day compliance of the venues with existing  1 B3 E' L' l, I3 g; G* X& [9 t% F
safety regulations and building policies.

2.        Marketing and Promotion
! d) e! g+ F, p1 m
3 E$ u0 g, @$ t* c) ha.   To develop and implement a marketing plan for the venues that  
- A3 o( T7 }" H2 A" ?: ], c- lfocuses upon advertising and promoting the venue to faculty,  , {- \2 i! M" v
students, and internal and external clients on an on-going basis.  - ~5 ^4 ?; ^1 I% k5 i
This strategy will include implementing and/or delegating the following:
1 r2 m, `4 h/ I  F' q- t·     To develop and maintain promotional materials, the Horowitz  
0 I2 J+ d3 ?2 ?: N3 r$ u0 zTheatre and SU Venues home page, newspaper and other advertising; to  4 ~* I0 `3 r* z' Y- C, x
take advantage of other internal and external advertising  
+ p7 M7 ]% q4 v) h+ ^; ^& |opportunities; and to develop press releases and other promotional  + `: Y$ y- a( F. u" S. P
literature on an ongoing basis.! j- g1 l9 b: U
·     To coordinate tours of the venues for potential renters.
* _* N' T% Y% ?4 q) t- r·     To promote upcoming events in the Horowitz Theatre through the  
; a7 Y" F( f3 p, D% R; wuse of the Horowitz Theatre Home Page and the SU Events Calendar.
" U2 X! q0 R+ S1 }" X·     To develop new external clients for the venues.

: {4 g5 O+ M' B. y/ R6 Z' I' M, c3.        Staff and Supervisory Roles and Responsibilities
  K: A& k( \7 k( k( ?/ r0 W: F; Y6 M% T) ^3 A/ C
a.   To ensure, at all times, that the venues are adequately and cost-
% ?" m* ^1 y, r. k- s9 K( X$ p- ?effectively staffed, and that the staff utilized by or within the  . t7 u+ y7 h7 f% V
venues meet the appropriate standards, requirements and needs, and  ) t* h+ z8 R* f2 B
contribute in a positive way to the smooth operation and success of  
- P5 c: S0 l8 ythe renter´s events. This includes, but is not necessarily limited  . ?: c: Q# T3 \  B3 a
to, the following:6 [3 I: M, g3 k  S. o+ ?7 f
·     To be responsible, under the direction of the Manager of Venues  
# r$ P7 h4 @5 U. c: vand Programming, for all staff issues including hiring, disciplining,  
& k1 o% q0 p* z. _% e7 Eevaluating and terminating, as necessary.6 E& [/ J- P: m) ~9 K# H. J% a
To ensure that the Horowitz Theatre is adequately supervised at  ( v( Q% _; h1 f% s* {0 T, z$ Z/ v0 c5 @
all times, this includes the development and implementation of such  + {* f4 j1 ?8 a4 e- p7 Z$ q
schedules and rosters as may be necessary to ensure the effective and  : I  ~( q; U& d  \1 d8 e
cost-effective supervision of the venues at all times during which it  
- \5 j/ F3 U! j, M7 T/ Jis in operation or needs to be in operation.
2 b, G6 S4 C4 _8 _·     To work with the Technical Director, when necessary, to ensure  % K9 r* p; k6 a% N1 u- z
that an adequate and appropriate level of part-time staff exists to  1 b9 X' @  t( _$ Y* J4 X% V- M
facilitate the smooth operation of the venues and to ensure all  
+ o& A6 T# }- F8 T7 wrenters needs are met.
+ D4 j5 k# t2 V- T; g·     To work with the Technical Director to ensure that the skills  $ J, V3 _8 {% Q9 R5 I( N0 C8 K
and attitudes of all subordinate staff are appropriate in light of  
' b" r2 N4 ?9 _5 v# pthe roles they must perform. This includes providing adequate and  
1 R; i% G! F8 a; C' c/ H. peffective training (and re-training) in all applicable and  
. F" g6 b9 F7 ?appropriate areas, and ensuring that the Policy and Procedures manual  : W+ L) s1 h2 n$ m6 g
is kep up-to-date at all times.
( n# w- \1 d4 K- `% ^8 l·     To ensure all staff are trained in and committed to providing  / U0 i2 N; ?1 \+ I7 K
excellent customer service to all renters.
3 `! \# j' M$ l·     To work with the Technical Director to arrange staff  ' l# Q4 o! S. _. R
scheduling.  To handle payroll related matters, under the guidance  
6 L0 Q# o6 }( B" s0 aand direction of the Manager of Venues and Programming, concerning  . _1 n. M0 U+ k. t; P" K2 [
the staff of the venues.
& Q: F7 @3 r& Q3 a1 X·     Working with the Manager of Facilities and Operations to ensure  # ~9 B: W% q7 b% j& K$ l' ?8 \$ n+ N
the appropriate setup/tear down of each venue.
1 v9 X4 |) r* ?7 D+ ~·     Working with the Manager of Programming and Venues to ensure  % ^' `# b( K! w' L
that additional requests such as licensed receptions are arranged.1 _5 A0 K# E! |, a4 b

6 e, E6 u# m: O4.          Overall Financial Performance) ?5 W" v4 T+ h! z1 Y- Y9 }

/ D& D2 @% |/ rsystems and processes utilized by or within the venues meet the  % P4 v1 n, a+ I1 Z' P
appropriate standards, requirements and needs, and contribute in a  * M4 J" c$ `+ A
positive way to the smooth operation and success of the venues. This  
  M% z$ r/ `$ r: z$ A5 lincludes, but is not necessarily limited to, the following:% r4 z) j$ _9 L  z$ _3 w
To provide input and expertise in the formulation of appropriate  $ v. N5 f+ Z" H6 E5 I
operating budgets covering the venues to the SU´s Manager of  
* `: p1 Y: [1 J2 k. oProgramming and Venues and to discuss and refine those budgets  + |/ E6 x9 A8 U5 h) ?  H
Manager of Programming and Venues, and Manager of Finance &  3 J% j$ `# B$ M9 X
Administration prior to their submission for final approval.2 o8 y% c+ Y' a3 W* a- H+ w
·  To manage the venues in a manner which adequately and effectively  2 |; Z. P: q- R' F  P6 I) c0 v% _8 F
reflects the budgets approved for the venues and/or which reflects  ( X2 b$ i! n5 d1 W8 ^6 E$ u2 J
the best interests of the venues and the Students´ Union.; P8 s7 a1 y0 C- |9 p) {
·  To function as the key player in the submission of financial and  0 ?8 g, g! i! a4 Y5 T
administrative documentation covering the venues to be used in the  * ?  u. [3 f2 X4 J
compilation of monthly and annual financial statements, and such  
" b. v9 b7 r& t1 Eother reports as may be necessary.
  a. H. B/ W, h# j) c* ]·  To discuss those financial statements and other reports, together  
+ g" g2 b4 Q3 P6 x9 D) Awith all financial and administrative procedures, with the SU´s  
2 \9 j8 n, q' e  A+ U1 ^9 rManager of Programming and Venues and Manager of Finance &  
% d1 L# f: G) n& K4 B. `8 U, c# OAdministration with a view to determining and implementing action  
3 k" M) j: i5 p. X8 Caimed at improving the financial and/or functional effectiveness of  $ I7 d- F0 `% @4 \
the Horowitz Theatre.+ ~6 H) p6 p* B3 E
·  To ensure the existence of adequate, effective and accurate job  
# h! i. d6 ?9 j" [- G; D0 ncosting systems to be used in connection with the determination and  
( X. p6 s% \" U+ t! `setting of appropriate prices for rental and staffing rates for  
" u  f1 T0 I9 m0 Qevents held in the Horowitz Theatre.
9 _- Y1 [1 q6 P9 [! y, A' G·  To develop accurate documentation to be used in connection with  
; N+ F) Y) a0 H$ ^the billing clients, and to forward such documentation in a timely  # O/ s1 o' b" k- T- C6 Q
manner to the Accounting Department.  x/ l$ M% |9 O! o, e' s" `6 o
·  To recognize, address and handle all matters relating to financial  
+ x, P5 _& R0 @" S8 A1 Kand administrative procedures and systems in a manner which reflects  
# H3 p& @( x2 ~. n4 k2 {the requirements of the SU´s Manager of Programming and Venues and  
) I) K6 L$ g" t4 j- {4 UManager of Finance and Administration, and in a manner which  
# `& o# M$ w+ M, I1 b0 Ccontributes positively to the smooth operation and success of the  " s% R" Y" ?( E! V# R; \1 ]

a.   To ensure, at all times, that the systems and processes used in  * Z2 m$ M$ R1 H& A" Z% {1 g
renting the venues meet the appropriate standards, requirements and  2 o! d/ L) \6 P; ^4 Y; `4 K
needs, and contribute to the smooth operation and success of the  $ _2 j5 e$ X" O$ q. _) s
venues. This includes, but is not limited to, the following:8 W% T  o! z7 V& Q* T' `* K

% f- {2 E2 f: }2 l* L$ ~! [·  To recognize, develop and set in place such rental procedures as  
7 i2 ]) ]- m! w4 wmay be necessary to ensure the smooth operation of the venues, this  
' g( M4 k8 y5 r; i. Tis to include but not necessarily be limited to systems and processes  
" J0 E# q/ T2 G$ D. A2 ~8 S9 Cin the areas of contracts, inventory management, contract evaluation,  
1 q& T5 p, D+ u& z: G9 _pricing, costing, equipment usage, rental/contract invoicing,  : t. B3 Y; i8 q) T3 W. O# n' i+ c
together with such other systems and procedures as may be necessary  - y# \5 t8 Z7 @  g
to ensure the smooth, secure, efficient, cost-effective and  
+ _( u- T7 [! I# \1 Efunctionally-effective operation of the Horowitz Theatre.
& R# Q: t! M8 l; B·  To recognize, develop and set in place such operational procedures  
. I# ^( [1 z: C9 eas may be necessary to ensure the smooth, efficient and cost-
2 i6 A4 Q* o1 r# U: F& Yeffective operation of the venues.+ B# T- O/ c) q
·  To negotiate rental lease agreements (contracts) relating to  4 v' G! [4 N1 M. D) T  l0 S
dates, rates, staff and miscellaneous charges.$ |) K# S) b% W2 ?5 g- Q: X# s/ C
·  To ensure that adequate inventory is available at all times and  
' W- J2 j# t3 g6 |1 M# xthat such inventory is stored and issued in effective and secure ways.
5 p. Y1 c* X' I  C) [" p! _( b6 o·  To consult with renters as to facility issues in producing their  
' z$ \+ M) O1 c/ O: g, |0 ?6 h% Wparticular event in the venues.5 G7 z. o. r4 o" P
·  To provide the venues on-site staff with such documentation and  
! j9 c# _( Q- \; a! Q+ l' gsupporting information as it may need to effectively fulfill the  
5 R8 o8 M+ b. d/ e$ {* y; O0 \roles they are to perform to ensure the success of the renter´s event.. g, b8 t- s4 i/ g& ~6 @
·  To produce quotes in respect to staffing costs for a particular  * t% z: h7 _: X6 ~3 ?) S5 [0 l
rental with consultation with the Technical Director.: r! U* u$ _- x: z$ g) p
·  To ensure that all queries raised with the venues whether from the  
- k7 k/ |- y$ YSU or renters, are promptly and effectively handled and adequately  : H/ ~. z- `' Q0 t' S
answered, and to ensure that such action as may be necessary in  
4 e  U( c  m6 y- |- b/ Afollow-up to such queries is taken in a timely manner.# Y$ I  V; [$ N. x7 t2 F' D- M3 B1 R
To ensure that the venues and its capabilities are adequately,  
2 u6 L2 s- R1 z& _; C$ Heffectively and cost-effectively advertised and promoted, and that  " f* Y! z3 _/ n1 W: G8 }
the cost of such endeavors does not exceed the budgetary provision  * v& Q6 S- ?5 j+ ^  x/ J! l; A- {
made for them unless prior approval is given by the Manager of  4 T$ E! ]  t1 \# `. Y) c* w1 q
Programming and Venues.
% V+ x* M, f! Z- Z5 ?+ {·  To act as an informed and knowledgeable resource in the case of  5 Y+ }5 O. ^2 d. D
significant challenges and/or problems surrounding the tasks of  
, ]" M' y. i; E: I7 F+ b7 W8 w- p+ Y5 xmarketing, administration, operations, and any such other matters as  6 n5 M" k, @/ ~5 P' F9 m
may provide such challenges and/or problems.9 E$ g: I0 T+ U5 ~4 d
·  To attend such meetings as may be required to support the smooth  
% G/ g- g0 q8 h; ^operation of the venues or the Students´ Union as a whole.
2 F  ~* F% ?5 {( D- |# ]·  To perform other job-related duties as may be required by the  * J# B8 c" ]6 N- K1 ]) r( o" ?6 z
Manager of Programming and Venues in order to ensure the smooth and

·  To recognize, address and handle all matters relating to overall

1)             Minimum two years related post secondary education, or  
3 ?7 Q: x. t& p5 h# I( Kan acceptable combination of education and experience.
