and Venues.

The duties of the Operations Manager - SU Venues are diverse and  
6 ]' S7 L# ^" G" R. z* C; ?extensive, and are targeted at the all round smooth operation and  
1 l9 }$ f( N7 Jfinancial and operational success of the Horowitz Theatre as well as  " K' {1 l8 f+ f" D: S6 ?3 m
the logistical organization and smooth rental of the additional  0 K$ b+ X' z: D( V  \, A3 D' n
venues within the realm of the Students´ Union.  In the light of that  
/ [+ p( d3 k, J2 jbreadth and complexity, it is not possible to fully define or  + x9 ~# \0 K' A" k* G# ^
describe all roles and responsibilities in a document of this kind.     G3 O* E! w( l9 ?5 E0 N- j# d2 Y/ |. B
However, the main roles and responsibilities of the Operations  
9 u5 R' [' ^9 W6 ?( S# j% ~Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  
0 O3 V0 D0 g1 N+ D7 w/ {- ]! N! {appropriate standards, requirements and needs, and contributes in a  : r" [* j" I" @$ [) H! e2 Y  i: I
positive way to the smooth operation and success of the individual  0 A+ P/ e  Z# k
renter.

·     SUB Stage

, w, N$ [2 e! H% g3 @7 K7 L. hb.   This includes, but is not limited to, the following:
8 `  v8 a! j' s4 y! j! B) V) @& g# r·     To plan the capital and supply expenditures to meet the  
* V, h: K6 X) f( k; x0 x1 g' lproduction and facility requirements.
! o8 V( R- c( T·     To ensure the day-to-day compliance of the venues with existing  ) A' l( r+ E1 R& V. [) w! T# k
safety regulations and building policies.# d5 z4 n* Q9 H8 X3 d
To ensure that the maximum potential of renters is met.3 I6 Q- h  [3 l4 P1 g* v% a& O

2.        Marketing and Promotion, |, q, L6 j  j' `

- I8 z3 U2 w, A! q% Fa.   To develop and implement a marketing plan for the venues that  % s* i+ h. K9 }# T* l& ]
focuses upon advertising and promoting the venue to faculty,  % s/ X  _. v, _% b
students, and internal and external clients on an on-going basis.  
! z. R# `/ _8 C  }: vThis strategy will include implementing and/or delegating the following:
+ d0 }# {! |; a, L9 U5 L: z7 e. A·     To develop and maintain promotional materials, the Horowitz  3 a1 U- R3 G5 L: \# o- A; S9 t. f
Theatre and SU Venues home page, newspaper and other advertising; to  ; N( X$ T0 |* L4 W5 F
take advantage of other internal and external advertising  ' T; |* ]8 Y! c- K
opportunities; and to develop press releases and other promotional  # r/ T& N3 A: d( ]& l3 r+ s; x
literature on an ongoing basis.4 W! U2 o( K: x* W0 n8 J5 G7 |
·     To coordinate tours of the venues for potential renters.
5 |, C) }" t& Z  a* `8 d( Z·     To promote upcoming events in the Horowitz Theatre through the  
5 I: E5 H8 `# E. k& s5 puse of the Horowitz Theatre Home Page and the SU Events Calendar.4 ^( G8 b3 ]# h" f3 G1 B
·     To develop new external clients for the venues.* T2 e, c7 L% ~* U

8 I, T8 T1 Q& F# P1 @0 }3 u: _, t9 q3 a0 `
3.        Staff and Supervisory Roles and Responsibilities8 [" R2 f( {# ~) H, k: u

7 T( ^9 F6 w; {7 g+ M) [) ?5 da.   To ensure, at all times, that the venues are adequately and cost-
$ f( B" B% M- h1 aeffectively staffed, and that the staff utilized by or within the  
' y5 P+ B3 _% ]- }3 K; k1 V7 Kvenues meet the appropriate standards, requirements and needs, and  
# x( R. }! V. u4 w9 Qcontribute in a positive way to the smooth operation and success of  : P4 d# D: Z& W
the renter´s events. This includes, but is not necessarily limited  4 S' D, w: h* K1 c+ ?! ]
to, the following:
4 ~& z- l/ K0 k7 C5 B: x6 D5 [* z·     To be responsible, under the direction of the Manager of Venues  
' P. ~  j) e+ B! A: i' U/ band Programming, for all staff issues including hiring, disciplining,  
, X7 O8 X+ e$ Z$ A3 u9 O8 xevaluating and terminating, as necessary.
( ]6 Q7 j* Q+ Y: h' B9 S To ensure that the Horowitz Theatre is adequately supervised at  3 q# k' T6 S1 ]6 ~% X/ k
all times, this includes the development and implementation of such  / Z+ l$ ~1 S! E* R* {
schedules and rosters as may be necessary to ensure the effective and  7 A7 h! b$ j- \) i4 V5 o, E
cost-effective supervision of the venues at all times during which it  
  [1 E8 K% y! k( c) {$ Zis in operation or needs to be in operation.
, z( ^0 V& _  j·     To work with the Technical Director, when necessary, to ensure  
( v; i5 o& @. u3 l' ?; fthat an adequate and appropriate level of part-time staff exists to  ( Z3 A) j( ?; W3 Q& {. r$ A
facilitate the smooth operation of the venues and to ensure all  - \2 F9 `) h4 S0 n/ ^, V. H8 L3 w2 ]
renters needs are met.
  ^1 w: u6 z0 a/ Q) [·     To work with the Technical Director to ensure that the skills  
& D: S6 a3 E& N- |  a- y$ I: hand attitudes of all subordinate staff are appropriate in light of  
$ k# k6 q2 X% r0 i( X- Y8 H2 N# Kthe roles they must perform. This includes providing adequate and  
! R4 V1 f5 j% j3 Q( Q1 keffective training (and re-training) in all applicable and  
$ }- T$ b0 J" ^appropriate areas, and ensuring that the Policy and Procedures manual  
- u$ Y7 P/ |7 e# h' J! g# m4 d1 tis kep up-to-date at all times.6 Q/ l  Y, e0 b. V
·     To ensure all staff are trained in and committed to providing  & s* w5 p3 b2 e' a0 n! @: e
excellent customer service to all renters.
  P) Q6 G" T5 v7 P$ D* o, P3 R·     To work with the Technical Director to arrange staff  5 k+ l# Y0 W. M
scheduling.  To handle payroll related matters, under the guidance  " C: W( {3 o- Y8 a
and direction of the Manager of Venues and Programming, concerning  
9 ^+ e- S! R7 c+ v6 G, H, Bthe staff of the venues.
! r8 o. e8 K: Z·     Working with the Manager of Facilities and Operations to ensure  + T- X6 s0 Q6 E; Q1 q4 H% J' f2 K
the appropriate setup/tear down of each venue.( K/ A4 s# W, s% O' L" E, f
·     Working with the Manager of Programming and Venues to ensure  $ |# L' V9 M% i2 Q7 ]
that additional requests such as licensed receptions are arranged., E6 g: j+ N- ^' ?( \

4.          Overall Financial Performance

. J& K8 Q; j; u3 b5 Wa. To ensure, at all times, that the Financial and Administrative  , A$ o/ P! q, i8 n4 _
systems and processes utilized by or within the venues meet the  
+ T& a6 s. p+ i' E- T- Qappropriate standards, requirements and needs, and contribute in a  * E/ X  l- ~; I2 u9 K
positive way to the smooth operation and success of the venues. This  0 Y: S5 p3 F: z) V, y6 z9 h4 ^8 V" X
includes, but is not necessarily limited to, the following:
: ]& J# W, K1 } To provide input and expertise in the formulation of appropriate  / y( a. d( o5 G
operating budgets covering the venues to the SU´s Manager of  1 ~8 K6 ]' x1 X% @" @/ a' x1 C
Programming and Venues and to discuss and refine those budgets  
0 o5 S; F  t( FManager of Programming and Venues, and Manager of Finance &  
* X) @# o' K2 \1 M; A: cAdministration prior to their submission for final approval.
$ o% d! I$ D" l: q4 o·  To manage the venues in a manner which adequately and effectively  
9 s, z; R5 j. ?% t+ Z2 Kreflects the budgets approved for the venues and/or which reflects  
' ?1 `) \" Q/ H  e. Rthe best interests of the venues and the Students´ Union.
. q, ]# q( e: \" g3 U4 `$ m# {·  To function as the key player in the submission of financial and  
) x2 K4 v1 u2 Aadministrative documentation covering the venues to be used in the  
6 S6 ~) m. r, ~compilation of monthly and annual financial statements, and such  
% Y0 Q9 V" j8 v3 P: kother reports as may be necessary.& V; a- ?+ }+ b: u5 C
·  To discuss those financial statements and other reports, together  ) z% `6 ?, v( e+ p
with all financial and administrative procedures, with the SU´s  
4 S2 h( R6 z/ M" d# i7 l6 T5 bManager of Programming and Venues and Manager of Finance &  
' t4 @- a( U2 z0 g! Q2 V, S+ SAdministration with a view to determining and implementing action  8 n& n5 I5 k1 ^( U
aimed at improving the financial and/or functional effectiveness of  8 Z) W& [' W1 r2 r$ O) w
the Horowitz Theatre." ?% O, z& C' m3 l
·  To ensure the existence of adequate, effective and accurate job  ' E& O* F+ Y0 G! G8 ~+ v6 Y
costing systems to be used in connection with the determination and  . B( c0 V7 n* R! N$ g
setting of appropriate prices for rental and staffing rates for  
4 r5 Y1 z' U( X. revents held in the Horowitz Theatre.
- w; p; K1 m* O* c5 o9 ^3 u; W·  To develop accurate documentation to be used in connection with  
& a) d' F( J. y4 a( D# H6 W& f9 bthe billing clients, and to forward such documentation in a timely  
) F) V1 b, Q: r' Mmanner to the Accounting Department.7 q* [3 E+ y: X0 e. L) j
·  To recognize, address and handle all matters relating to financial  4 M9 @# e9 m9 N* d; L
and administrative procedures and systems in a manner which reflects  
0 @+ y' s% @. o& Kthe requirements of the SU´s Manager of Programming and Venues and  
6 S( `( [7 X! T. t  EManager of Finance and Administration, and in a manner which  
2 H* d1 {: m3 O) ~: {9 |contributes positively to the smooth operation and success of the  . N' `: H) U% G3 K1 T
venues.
$ R1 `% Y+ X. N$ k* U0 l3 K. X5 Y( p
5.          Overall Roles and Responsibilities3 k' S# s6 I) L, I
a.   To ensure, at all times, that the systems and processes used in  3 j6 u  J: \* T6 w
renting the venues meet the appropriate standards, requirements and  , [5 y1 D" H5 B' L: ?4 v
needs, and contribute to the smooth operation and success of the  ! \2 t, y1 p! T9 N1 @
venues. This includes, but is not limited to, the following:
3 i. C. j. U$ b% ^# T3 ^! n) \( u! R; P
·  To recognize, develop and set in place such rental procedures as  & _5 x7 P$ s3 u, R5 L9 v
may be necessary to ensure the smooth operation of the venues, this  : W" F6 W7 ^! D% T
is to include but not necessarily be limited to systems and processes  % n- B' _$ C, H( j* ~6 r; [4 @+ h
in the areas of contracts, inventory management, contract evaluation,  
: W& B- P' Q5 u6 s; `pricing, costing, equipment usage, rental/contract invoicing,  
" k: Z" V7 z# Ptogether with such other systems and procedures as may be necessary  
' ]& }, x( Q# f! ~& mto ensure the smooth, secure, efficient, cost-effective and  
4 o, k8 F& I$ E+ u( ?functionally-effective operation of the Horowitz Theatre.
7 ]* Q" O+ G4 I·  To recognize, develop and set in place such operational procedures  
: q& @+ j* R5 d& S; Q* a) P9 fas may be necessary to ensure the smooth, efficient and cost-
) j; D5 G: s$ g3 keffective operation of the venues.
7 }0 T) u  y' o8 Z" V! P·  To negotiate rental lease agreements (contracts) relating to  & B; Z4 X8 m9 m; Z
dates, rates, staff and miscellaneous charges.
1 x: J1 U9 i, F* D7 C6 t: a·  To ensure that adequate inventory is available at all times and  , o) R  }: c6 n( T, Q4 C; k
that such inventory is stored and issued in effective and secure ways.2 a+ q" _' O4 Q9 z( g9 c
·  To consult with renters as to facility issues in producing their  
0 \1 w' p& @  S9 z; F( s, \0 h. ~' V0 xparticular event in the venues.3 A/ R8 Y( f; K, R: K
·  To provide the venues on-site staff with such documentation and  
2 s% ~" ]3 _. Z$ m+ I! ]( @0 tsupporting information as it may need to effectively fulfill the  2 W- ]' j/ |. S
roles they are to perform to ensure the success of the renter´s event.
, x9 v6 F) Z8 L; P8 K; K! D$ i·  To produce quotes in respect to staffing costs for a particular  * `: b7 T5 W- `' o2 w
rental with consultation with the Technical Director.
. J3 i6 S* D2 T1 ?·  To ensure that all queries raised with the venues whether from the  - G& x. X8 s$ A
SU or renters, are promptly and effectively handled and adequately  * G' u" ^8 [8 G" R1 u: E
answered, and to ensure that such action as may be necessary in  
( s7 O+ |: B* P5 X; Q5 f6 a2 q: bfollow-up to such queries is taken in a timely manner.
$ {, D8 S0 t1 B4 s, H9 F9 m; F To ensure that the venues and its capabilities are adequately,  
7 x' M& l; ^- e8 U. r% ceffectively and cost-effectively advertised and promoted, and that  4 d& y2 y; R, J' `5 [3 O5 F; u/ I
the cost of such endeavors does not exceed the budgetary provision  
. ?( B  |/ k5 E1 g: o& qmade for them unless prior approval is given by the Manager of  
5 |- o% g$ L* d7 rProgramming and Venues.# L, p! Q- w" b7 L, _
·  To act as an informed and knowledgeable resource in the case of  5 P8 p  k- o% N' |1 q
significant challenges and/or problems surrounding the tasks of  : r0 X8 d  Y; O, H% u, j% y& `, M
marketing, administration, operations, and any such other matters as  : K2 A" J( ~: ]1 I, P" R, P* [; {
may provide such challenges and/or problems.
! V( p: J& W' F0 B# Q1 H/ \- @·  To attend such meetings as may be required to support the smooth  " q2 z8 [, T7 H/ ^7 h) l$ T1 {1 z# V
operation of the venues or the Students´ Union as a whole.% }( G  j+ U9 c/ a' ?
·  To perform other job-related duties as may be required by the  , _8 ^1 N: ?7 I- R( }& f
Manager of Programming and Venues in order to ensure the smooth and  1 u( K1 R; e, M( J2 Q
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  # n7 i* R; |7 t5 \# Q
Manager of Programming and Venues, and Manager of Finance and

1)             Minimum two years related post secondary education, or  ! q+ i" y- c6 t1 r, h- ?5 v2 q
an acceptable combination of education and experience.) Z# Y3 }5 |! l6 s5 U
2)             Supervisory experience.. i) {8 y% N% S5 M5 J9 Q
3)             Ability to create new initiatives with little or no
