The duties of the Operations Manager - SU Venues are diverse and % R5 G& e& }5 r [ i
extensive, and are targeted at the all round smooth operation and ) I0 `* X, P1 l. ]# X+ l) |
financial and operational success of the Horowitz Theatre as well as 0 Z( p7 w1 ~- ^7 c8 k( t
the logistical organization and smooth rental of the additional . s- l3 f: u' j" J1 Q1 f
venues within the realm of the Students´ Union. In the light of that " D0 ?& ]% g1 w( x8 E
breadth and complexity, it is not possible to fully define or 8 P% S' z9 N! T. \* i
describe all roles and responsibilities in a document of this kind. / n+ \ e5 ]# @
However, the main roles and responsibilities of the Operations

2. Marketing and Promotion

% K+ I7 c& ^$ n! N' Fa. To develop and implement a marketing plan for the venues that
: J2 H$ u( R4 w5 P; h4 x3 P) r6 I7 f- Rfocuses upon advertising and promoting the venue to faculty,
( G2 x- ^, ]: P) Q* O/ P7 \students, and internal and external clients on an on-going basis.
& }2 @! K* g* D; xThis strategy will include implementing and/or delegating the following:1 T+ |# }. V' T S1 w( W6 H5 I
· To develop and maintain promotional materials, the Horowitz 7 q5 Q- w+ {& E" d( |
Theatre and SU Venues home page, newspaper and other advertising; to + o) r% p6 O0 C! [" V
take advantage of other internal and external advertising

· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

& U/ c1 S+ w- @; d2 c" g, b3 `3. Staff and Supervisory Roles and Responsibilities% l L5 |1 n% _' {3 G0 e

a. To ensure, at all times, that the venues are adequately and cost-
6 t9 T; `9 X+ U! {effectively staffed, and that the staff utilized by or within the 4 u/ U7 s \3 Y6 ~
venues meet the appropriate standards, requirements and needs, and
; }9 h* I9 L$ Bcontribute in a positive way to the smooth operation and success of
% S2 W. ?6 \0 o8 n! U( A9 Tthe renter´s events. This includes, but is not necessarily limited
6 s7 [9 _( l4 G: Cto, the following:# f) q3 ^' e2 r. t! m! ?, ~/ F
· To be responsible, under the direction of the Manager of Venues
0 \, l; b) O& r9 h$ {8 Gand Programming, for all staff issues including hiring, disciplining, 3 N. @; E. G5 }) Q6 S
evaluating and terminating, as necessary.# x3 m2 A8 u* g$ p' K( v' w' P& @
To ensure that the Horowitz Theatre is adequately supervised at * l E1 x, c, a- X6 f; Z- R2 r
all times, this includes the development and implementation of such & X& u* R$ B' ?. T
schedules and rosters as may be necessary to ensure the effective and N h2 o4 Q8 b$ k4 ?* u/ {) p9 c
cost-effective supervision of the venues at all times during which it
6 Q, q# Q! D: Zis in operation or needs to be in operation.5 l" o. \1 m4 D% a; u4 G7 _5 K0 E7 f
· To work with the Technical Director, when necessary, to ensure
! ~* f3 c# J' L X6 K4 ~7 ]$ c" Ithat an adequate and appropriate level of part-time staff exists to . } w1 P! F; b0 u6 e9 w( A% q) _* q! {
facilitate the smooth operation of the venues and to ensure all , E( a) k' g: ^9 S p* U6 U
renters needs are met.
' |3 d4 X8 y; X% d9 }· To work with the Technical Director to ensure that the skills ~- F* ? y7 a: B
and attitudes of all subordinate staff are appropriate in light of # O- z- q" [6 T
the roles they must perform. This includes providing adequate and
, Q: s: Y; o' `0 veffective training (and re-training) in all applicable and
$ O7 t3 Z# q: D) Lappropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing 8 w% g( b: {9 F
excellent customer service to all renters., M& ]+ ]4 A q# s% u
· To work with the Technical Director to arrange staff
$ Z7 W+ d- y" g. Ischeduling. To handle payroll related matters, under the guidance ' N$ V5 n- r9 b; w
and direction of the Manager of Venues and Programming, concerning

the appropriate setup/tear down of each venue.+ M6 D2 E( A1 S1 ]# @& X) P, D
· Working with the Manager of Programming and Venues to ensure
& D* A$ O4 e; t3 F9 @that additional requests such as licensed receptions are arranged.& n g7 E7 I3 q

4. Overall Financial Performance

/ a$ ]+ ~1 s+ N2 Ea. To ensure, at all times, that the Financial and Administrative
: O( h. H5 e5 O7 f+ psystems and processes utilized by or within the venues meet the
, H, v( n; D; K: d+ T! t# r7 `appropriate standards, requirements and needs, and contribute in a % M& D J% S8 x( a+ W
positive way to the smooth operation and success of the venues. This 5 E- Y7 ]" |0 }
includes, but is not necessarily limited to, the following:
+ C \) L/ v$ D3 _0 b- [& }8 ? To provide input and expertise in the formulation of appropriate
~. R1 D& X8 ^operating budgets covering the venues to the SU´s Manager of

Manager of Programming and Venues, and Manager of Finance &

· To manage the venues in a manner which adequately and effectively
; I. g) {4 n# {9 ~) s: `reflects the budgets approved for the venues and/or which reflects 4 x! P: f! {3 b2 w* X
the best interests of the venues and the Students´ Union.* R; J4 `1 G( I& { r! }0 u3 \! K
· To function as the key player in the submission of financial and
$ F% t/ j( e4 madministrative documentation covering the venues to be used in the " T; e$ H: E1 r# X) a. {% R
compilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together 5 u3 ~1 f. o& S6 L( S
with all financial and administrative procedures, with the SU´s

( y+ u. o3 I. `' N2 T/ xAdministration with a view to determining and implementing action 1 w |" s. p7 t) m9 i/ O T
aimed at improving the financial and/or functional effectiveness of
7 T1 ]6 c Y4 c2 P6 f+ vthe Horowitz Theatre.
4 K$ G1 V- j8 L· To ensure the existence of adequate, effective and accurate job ! t6 L( e6 h& x, s" O' f, |) D3 I6 D
costing systems to be used in connection with the determination and 4 s* ^2 p9 Q; b# X. S! r
setting of appropriate prices for rental and staffing rates for
$ L3 J" j: E. ^' l0 t8 [6 h/ g# ?events held in the Horowitz Theatre.+ P& K0 y' @+ T1 C
· To develop accurate documentation to be used in connection with - ]4 A6 R a" B- M$ V, `
the billing clients, and to forward such documentation in a timely 6 _) [0 }( j" Z% L5 u! F
manner to the Accounting Department.

and administrative procedures and systems in a manner which reflects

1 B4 M" F( E( bManager of Finance and Administration, and in a manner which

venues.

5. Overall Roles and Responsibilities4 x& F2 `$ z$ m0 I
a. To ensure, at all times, that the systems and processes used in
- K: v% {3 x- ?$ R9 {renting the venues meet the appropriate standards, requirements and
_" g6 R- M9 i$ jneeds, and contribute to the smooth operation and success of the + _2 p3 K/ ~6 W! _; S' N+ E5 M6 h
venues. This includes, but is not limited to, the following:

/ v$ G/ V' k& ]6 W/ J· To recognize, develop and set in place such rental procedures as
$ @/ D- l! ]1 T8 cmay be necessary to ensure the smooth operation of the venues, this 8 l/ W. C: L/ `& V- }, X7 W' E$ |
is to include but not necessarily be limited to systems and processes
: t D; T" {( q" d1 W* H3 hin the areas of contracts, inventory management, contract evaluation,
( K) q, i' F$ P h1 m& ~/ C0 Lpricing, costing, equipment usage, rental/contract invoicing, 3 G5 v; L- V2 ]- J* B; n7 A6 S
together with such other systems and procedures as may be necessary
% G( v" W7 G" i. ~8 u) Y2 qto ensure the smooth, secure, efficient, cost-effective and : }& q0 C$ c- d
functionally-effective operation of the Horowitz Theatre.2 G* y0 |' J) q
· To recognize, develop and set in place such operational procedures * X9 L8 o4 q' s
as may be necessary to ensure the smooth, efficient and cost- / i- h: h& @: \! p; R
effective operation of the venues.) N0 H9 p$ Q5 C
· To negotiate rental lease agreements (contracts) relating to
$ R9 S/ b" X1 I3 ]+ e+ ~& v6 Fdates, rates, staff and miscellaneous charges.4 d2 L6 m4 }" i* c! Z7 R3 U
· To ensure that adequate inventory is available at all times and " L1 e( o! x* ^9 D
that such inventory is stored and issued in effective and secure ways.
# o3 k# U5 n+ Z4 g; E· To consult with renters as to facility issues in producing their
9 B1 @, _+ }9 M; ~% a0 G6 Nparticular event in the venues.
$ ]8 S1 M/ d0 r) D- o5 u· To provide the venues on-site staff with such documentation and
5 R6 V. j! R: Q6 K. C/ Z& Ssupporting information as it may need to effectively fulfill the $ g7 @* G) a3 |2 A7 P4 i2 D
roles they are to perform to ensure the success of the renter´s event.
+ u* F2 }, c* x! x! I6 ^· To produce quotes in respect to staffing costs for a particular
; y* E% _( `0 n. r) H1 b- G* |4 {rental with consultation with the Technical Director.- b! h: o0 d( S- C+ M- m
· To ensure that all queries raised with the venues whether from the - b5 P8 R% Y0 V$ y
SU or renters, are promptly and effectively handled and adequately 7 Z. K4 }! _) b7 G$ |
answered, and to ensure that such action as may be necessary in
- ?( b9 K1 l* e% k; }3 kfollow-up to such queries is taken in a timely manner.. t! x2 Z5 Y2 Y
To ensure that the venues and its capabilities are adequately,
6 H8 Y% m" Z7 U( u3 k# Xeffectively and cost-effectively advertised and promoted, and that . \( p) U8 ~6 O m1 t2 I
the cost of such endeavors does not exceed the budgetary provision
6 G6 v7 _% g7 Z L+ J: @) Vmade for them unless prior approval is given by the Manager of
: r) [9 N: I C" K6 `Programming and Venues.& A9 D" z9 f) Y/ G; O1 W
· To act as an informed and knowledgeable resource in the case of
. a- E1 I9 D$ ?- w! Y: h3 H8 msignificant challenges and/or problems surrounding the tasks of
9 p' `0 I$ S3 ^/ Xmarketing, administration, operations, and any such other matters as * e {" @8 N/ i; U) W
may provide such challenges and/or problems.
