The Operations Manager - Venues and Programming will operate with a  2 t0 C9 C+ a# N8 f: Z5 r
direct line reporting relationship to the SU´s Manager of Programming  5 \- B2 Y& k- r1 ~# i3 k
and Venues.

ROLES AND RESPONSIBILITIES
4 s' m& i% e1 E) ~2 v9 w# b" ^5 BThe duties of the Operations Manager - SU Venues are diverse and  . _( O4 b! i: p3 V. A% x2 v
extensive, and are targeted at the all round smooth operation and  % ^9 s" I) k; C5 I4 u4 s% v
financial and operational success of the Horowitz Theatre as well as  
- o; l0 X3 X3 o. U( n5 mthe logistical organization and smooth rental of the additional  5 i6 T- H1 f2 e+ n7 ~' N. [/ @
venues within the realm of the Students´ Union.  In the light of that  0 g- s2 Y0 x+ M/ L
breadth and complexity, it is not possible to fully define or  
! y# u# X3 Z$ F9 j9 V( ddescribe all roles and responsibilities in a document of this kind.   9 _8 \$ ^8 k8 g. y- c& u) a( R' `
However, the main roles and responsibilities of the Operations  5 P' I2 x8 M7 ~' U6 L1 ^
Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  8 ^, E0 r0 z$ ^& ?7 q/ ~
appropriate standards, requirements and needs, and contributes in a  
+ r( ~$ P6 ^  j$ m3 J9 l& ypositive way to the smooth operation and success of the individual  " H1 S3 l! L4 U) I
renter.( @: Z2 a3 J% U! G; p4 x/ Q5 j
·     Myer Horowitz Theatre& c6 F% ~- k) L. }
·     Dinwoodie Lounge
8 P( v+ N1 v/ D# s8 f·     SUB Stage

, ]* a, @4 I/ }  E1 M+ tb.   This includes, but is not limited to, the following:
& V: V5 |, @% F1 }- m·     To plan the capital and supply expenditures to meet the  + W% i" w" Z' S0 j0 f6 d
production and facility requirements.
0 V  x; _+ k7 A1 A  a·     To ensure the day-to-day compliance of the venues with existing  
1 Q) K' z; ]: h. N8 Z+ esafety regulations and building policies.
3 R& T( b! T' ITo ensure that the maximum potential of renters is met.5 T9 M" L6 Y! ^; e

; v9 L8 ^0 n1 e1 O/ M8 t9 k1 G% y2.        Marketing and Promotion. N- L  k! Q& Z8 \9 j" [2 W

5 I3 }6 y" K! ]2 P! Wa.   To develop and implement a marketing plan for the venues that  & ^5 S" X+ p. S- C, x
focuses upon advertising and promoting the venue to faculty,  5 K) e, D0 a* P# W
students, and internal and external clients on an on-going basis.  
4 J3 B; Q* v: N" R# ]3 ^This strategy will include implementing and/or delegating the following:
. C8 @3 N$ E0 `/ E0 @·     To develop and maintain promotional materials, the Horowitz  / ?" j% O7 q" W3 [. H+ }" ^
Theatre and SU Venues home page, newspaper and other advertising; to  - |- n$ D4 n* }; k, U. `8 X
take advantage of other internal and external advertising  * n' Z, k4 K. t% _5 p5 z* S/ |
opportunities; and to develop press releases and other promotional  $ N0 R1 h% l/ q- y& p6 G7 ~
literature on an ongoing basis.
2 D4 V0 F* _+ ~. B8 b* N1 s% n·     To coordinate tours of the venues for potential renters.# ]5 j3 e# ^# O7 W1 l* I8 I* U, c
·     To promote upcoming events in the Horowitz Theatre through the  : q% k. ]! u2 S2 f9 W1 S
use of the Horowitz Theatre Home Page and the SU Events Calendar.
1 v7 o8 r. }& i. B·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
* w) }- Q2 i: N* G5 \6 h9 r  _# I$ y
a.   To ensure, at all times, that the venues are adequately and cost-
9 g" E, y8 L1 C7 `. i2 W2 [5 y- Teffectively staffed, and that the staff utilized by or within the  % Q, E# J8 R+ D) m; n% j
venues meet the appropriate standards, requirements and needs, and  # G  f4 F7 E. S; c) t' h0 I; S
contribute in a positive way to the smooth operation and success of  
4 ^: C9 U0 X; {" @6 \2 othe renter´s events. This includes, but is not necessarily limited  
2 `6 z: p) ]' W2 |! d9 Xto, the following:( p% f' _/ v* u, s" Y: B
·     To be responsible, under the direction of the Manager of Venues  ' @9 O" x4 `6 K. v4 r0 F
and Programming, for all staff issues including hiring, disciplining,  6 e+ x% x$ U0 k- E7 M9 A6 k( W7 f$ y
evaluating and terminating, as necessary.& q! S+ s' p+ B' Y! _
To ensure that the Horowitz Theatre is adequately supervised at  " w9 q% K+ N4 n- ^1 x7 |
all times, this includes the development and implementation of such  ; A$ v# I5 B1 n8 J2 K0 J4 J( B
schedules and rosters as may be necessary to ensure the effective and  
# s" V9 d# d9 b6 ?$ D) [5 Jcost-effective supervision of the venues at all times during which it  
1 K2 I1 w- [4 L& m* u" _6 Uis in operation or needs to be in operation.
+ F7 v/ n1 p& s·     To work with the Technical Director, when necessary, to ensure  8 j4 _/ z  W' @+ e
that an adequate and appropriate level of part-time staff exists to  ) y4 A' A% `) i1 O7 E3 o! C  q- s
facilitate the smooth operation of the venues and to ensure all  
$ V) z; c  D; @) N6 _9 w3 `: drenters needs are met.+ ?7 R5 g% n# A2 m7 }
·     To work with the Technical Director to ensure that the skills  2 D4 B8 Q! C, n7 Q( o
and attitudes of all subordinate staff are appropriate in light of  5 N. i% Z* i/ W# U0 k
the roles they must perform. This includes providing adequate and  ; j" z  K7 S7 d; K' i) G
effective training (and re-training) in all applicable and  
& ^2 R9 [) z& f- X0 [appropriate areas, and ensuring that the Policy and Procedures manual  0 `# e( r& h( m; m( S" }
is kep up-to-date at all times.5 d# N- r# Y$ K
·     To ensure all staff are trained in and committed to providing  
& n" \2 K0 N5 X+ r; j, N: wexcellent customer service to all renters.
. {' y$ i5 ^) P9 z·     To work with the Technical Director to arrange staff  
; [) p& G1 M1 k- O, n& N+ k" v+ T' Rscheduling.  To handle payroll related matters, under the guidance  
8 U* Y7 @; \; k) o+ aand direction of the Manager of Venues and Programming, concerning  + `- J: ?% p" M
the staff of the venues.& V2 v) h& ^3 o8 C
·     Working with the Manager of Facilities and Operations to ensure  
0 E$ {% U* O- i( G- h! Jthe appropriate setup/tear down of each venue.0 J/ [4 ^' ^7 Z7 O9 v( d& U
·     Working with the Manager of Programming and Venues to ensure  
+ C1 B% l2 H7 M& e* C0 ythat additional requests such as licensed receptions are arranged.

0 t: P2 M8 \1 ]* E4.          Overall Financial Performance: a7 f% ^- ?6 A1 F: ?

a. To ensure, at all times, that the Financial and Administrative  " D# C8 s' f, t' d' ]1 ~# U" d
systems and processes utilized by or within the venues meet the  
0 E! c# y# Z3 x# ~appropriate standards, requirements and needs, and contribute in a  
. S4 g9 Q1 R) P% h8 gpositive way to the smooth operation and success of the venues. This  6 I0 s/ J* v; r4 j! S
includes, but is not necessarily limited to, the following:8 j) a" I7 L& q/ ~/ g
To provide input and expertise in the formulation of appropriate  
* \" @* _; {$ w$ c7 s4 Coperating budgets covering the venues to the SU´s Manager of  
7 u+ t0 B' L' k% A" c" X! M; wProgramming and Venues and to discuss and refine those budgets  , i1 |; n1 v' g8 R+ `6 G
Manager of Programming and Venues, and Manager of Finance &  
' ~  M" H$ R8 EAdministration prior to their submission for final approval.
* M1 L8 W) _) B) k·  To manage the venues in a manner which adequately and effectively  
$ G- V$ |; }5 B/ r9 creflects the budgets approved for the venues and/or which reflects  
) i+ K5 X7 P; t! T7 W# P& {! a3 Zthe best interests of the venues and the Students´ Union.
0 @- b/ v, V; u8 }2 j5 v·  To function as the key player in the submission of financial and  
! @! L& K  e& O- l% ^& N+ w4 ladministrative documentation covering the venues to be used in the    \) h" _3 X. D
compilation of monthly and annual financial statements, and such    f+ n7 Z- K; J) D
other reports as may be necessary.5 q% y- D+ C0 K. {; ]
·  To discuss those financial statements and other reports, together  
! z+ r1 ?) n$ B# ^3 H9 Xwith all financial and administrative procedures, with the SU´s  
0 ^) V: X5 J- o0 dManager of Programming and Venues and Manager of Finance &  
* y/ Q  ^3 I/ i0 D9 b6 l# C5 aAdministration with a view to determining and implementing action  
/ V. i* b' X1 B& Y" w- d* N& ^aimed at improving the financial and/or functional effectiveness of  
; e# S+ D/ l  E8 u5 V. m: [/ w7 Kthe Horowitz Theatre.
& X( Q( l6 n8 j9 J( J& W·  To ensure the existence of adequate, effective and accurate job  0 O1 a3 h: W1 q
costing systems to be used in connection with the determination and  
2 a2 g' {  Q3 i! B1 X% F& Qsetting of appropriate prices for rental and staffing rates for  
& c( W: Z) X, a0 g4 x- wevents held in the Horowitz Theatre.
) N9 u/ B' o5 m' i·  To develop accurate documentation to be used in connection with  % e2 N8 Y) L6 y& p* L: W# G
the billing clients, and to forward such documentation in a timely  
7 Z2 x4 d8 Q: V4 @0 Fmanner to the Accounting Department.9 y6 b- |5 o: C* l2 U7 N* L: d
·  To recognize, address and handle all matters relating to financial  $ [' G+ |4 j6 ^; [, |6 A
and administrative procedures and systems in a manner which reflects  ; T1 @3 v, y& |$ i
the requirements of the SU´s Manager of Programming and Venues and  
9 K+ S8 N& z0 Q5 \Manager of Finance and Administration, and in a manner which    O7 x/ C  o+ y
contributes positively to the smooth operation and success of the  
% w+ x' F) h% T6 tvenues.
& K  Q- [5 B& e$ a0 O# B. z9 x9 E3 U
5.          Overall Roles and Responsibilities7 Z; Y2 B4 M" b& q2 M
a.   To ensure, at all times, that the systems and processes used in  ! O0 E4 z* K0 i/ T9 Z2 E4 j
renting the venues meet the appropriate standards, requirements and  ( X2 [+ ], B, n' Q( S2 Z
needs, and contribute to the smooth operation and success of the  , Z/ Y  G- T. ^) @8 V$ ]1 G7 \$ u
venues. This includes, but is not limited to, the following:9 Z+ P$ |5 T4 m% t
$ g4 d3 t6 x! d
·  To recognize, develop and set in place such rental procedures as  ! D" F2 g3 n4 T3 ^4 p) D
may be necessary to ensure the smooth operation of the venues, this  
; o4 v' X, r6 a3 u; q. E9 Y# ris to include but not necessarily be limited to systems and processes  
, G0 f0 B$ k7 G) ~in the areas of contracts, inventory management, contract evaluation,  $ Q( A% z6 N0 t% S% B
pricing, costing, equipment usage, rental/contract invoicing,  
& H% z, X+ k2 ~3 p5 `" Htogether with such other systems and procedures as may be necessary  7 T: T; U4 [/ R0 B
to ensure the smooth, secure, efficient, cost-effective and  ! j' F$ _" d8 R8 Y
functionally-effective operation of the Horowitz Theatre.; ~: M$ l6 e. T0 R" \  @
·  To recognize, develop and set in place such operational procedures  % e# I; t. Y6 |1 v: G
as may be necessary to ensure the smooth, efficient and cost- 3 p$ c+ \6 f. `8 N8 Q8 @
effective operation of the venues.5 m. U- _4 H9 P% Q1 {
·  To negotiate rental lease agreements (contracts) relating to  
* {' [  r  I' fdates, rates, staff and miscellaneous charges., q8 N) a+ i: u0 |7 j* i8 e
·  To ensure that adequate inventory is available at all times and  
8 c) Y* p7 \1 j1 ]. S, Sthat such inventory is stored and issued in effective and secure ways.
# r+ M3 ~, t2 z% Z: B·  To consult with renters as to facility issues in producing their  
3 I% F& A2 ^9 ]7 H  ~' B' ?* Hparticular event in the venues.' W& h9 t# B% {5 ^. ^% |
·  To provide the venues on-site staff with such documentation and  
4 Z' |; m! M. T3 Z! @% Rsupporting information as it may need to effectively fulfill the  
3 C" ~7 C" U- U. G. q9 l. M( Xroles they are to perform to ensure the success of the renter´s event.
' N0 ]! _0 a, x- d( E* _·  To produce quotes in respect to staffing costs for a particular  7 C" U5 X( k* X1 M  C
rental with consultation with the Technical Director.
* r" h0 O! Y3 l8 N: m& i1 X·  To ensure that all queries raised with the venues whether from the  ) ]2 W! Z. r$ _6 t- y. F& y: E, [" t
SU or renters, are promptly and effectively handled and adequately  % P  v, C7 p- A7 t" S
answered, and to ensure that such action as may be necessary in  
4 T0 ]1 J  ^2 k% S$ C3 v/ `9 Bfollow-up to such queries is taken in a timely manner.4 D, @, L/ `- z) r
To ensure that the venues and its capabilities are adequately,  4 N! z1 k+ ^" y$ C
effectively and cost-effectively advertised and promoted, and that  3 k/ \! }, V8 j) P# w( A5 Z
the cost of such endeavors does not exceed the budgetary provision  7 p& \4 J2 ~  W. D* ~' e% ~
made for them unless prior approval is given by the Manager of  , J' }0 m( [" T- x
Programming and Venues.3 r; U6 ]4 g4 J  i
·  To act as an informed and knowledgeable resource in the case of  
. M8 |& w7 t' U9 @; F& ?significant challenges and/or problems surrounding the tasks of  
5 F8 x" d; ?" g, r+ e' c3 }/ bmarketing, administration, operations, and any such other matters as  
  i9 o0 L5 }1 m( t! [may provide such challenges and/or problems.. N+ @, i* N* }* R
·  To attend such meetings as may be required to support the smooth  - t1 R0 T0 d: ]4 _! n
operation of the venues or the Students´ Union as a whole.
# G# G! I6 k' ]·  To perform other job-related duties as may be required by the  7 k9 C4 D" J2 H( r: j
Manager of Programming and Venues in order to ensure the smooth and  
9 p0 n1 p( V: T& @6 X, j; k% bsecure operation of the venues.+ e' p) Q& h3 U6 t
·  To recognize, address and handle all matters relating to overall  
: Z+ V( y) s4 U2 c$ Z& ]$ z* p$ xoperations in a manner which reflects the requirements of the SU´s  
4 A0 N7 y: y1 B/ m$ [- N1 zManager of Programming and Venues, and Manager of Finance and  # O% ~+ q; [- j
Administration, and in a manner which contributes positively to the  7 p) G9 W- W0 E3 U3 F
smooth operation and success of the Horowitz Theatre.

' W' w- C( N2 T: q% |# E/ ~! J+ P1)             Minimum two years related post secondary education, or  
( |/ L$ N/ z+ \# s2 ?1 }* ?an acceptable combination of education and experience.
- b! o& {8 J) v! _: P- s2)             Supervisory experience.4 |) k6 D" L- C: ^8 e
3)             Ability to create new initiatives with little or no  0 ]/ {: I% m; Z+ q" u6 k1 ^
supervision.
