extensive, and are targeted at the all round smooth operation and 8 e$ x* j- N |( a9 M1 R% A9 M, b
financial and operational success of the Horowitz Theatre as well as
! K6 a3 s; }. z5 j) Hthe logistical organization and smooth rental of the additional ) H# n1 r* ?1 _* t& v/ F4 R
venues within the realm of the Students´ Union. In the light of that : |, S# z% f' j1 D+ f& J

However, the main roles and responsibilities of the Operations

To ensure that the maximum potential of renters is met.

2 ]% s' d' j4 X" v2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that 0 T7 }! r, {: h5 l
focuses upon advertising and promoting the venue to faculty, 5 b2 t" m: J$ \) o
students, and internal and external clients on an on-going basis.
5 }; }1 `8 K% Q7 B+ k1 lThis strategy will include implementing and/or delegating the following:
6 | i& J7 @' i0 L6 ?· To develop and maintain promotional materials, the Horowitz
1 I$ @" z! k. F7 |Theatre and SU Venues home page, newspaper and other advertising; to % X8 b3 l2 e8 s! F! a) ^
take advantage of other internal and external advertising 6 c" h; c# d% G; l' l2 U
opportunities; and to develop press releases and other promotional # {' j1 N ~8 L* N
literature on an ongoing basis.
! ]! H9 z1 F- D+ V· To coordinate tours of the venues for potential renters.. H4 K3 v c* h0 A8 q+ J
· To promote upcoming events in the Horowitz Theatre through the 2 o5 \8 o4 d* n
use of the Horowitz Theatre Home Page and the SU Events Calendar.9 H/ L, U' N* P% F* I
· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost- ' o$ |- P, o" B0 y1 V; a& O& }
effectively staffed, and that the staff utilized by or within the 2 [+ a$ P3 {) C& ~5 A: A
venues meet the appropriate standards, requirements and needs, and
& T4 ]% Q# k- z. c4 zcontribute in a positive way to the smooth operation and success of
7 \) e8 Z" K, Zthe renter´s events. This includes, but is not necessarily limited 7 ]/ m: }. M2 M& x7 X% y
to, the following:8 G' i0 G" l1 ` G) ^. J
· To be responsible, under the direction of the Manager of Venues . W, r7 |* i3 a1 |3 S1 @0 k
and Programming, for all staff issues including hiring, disciplining,

0 a( @, k3 [8 F5 P V- r9 W! u To ensure that the Horowitz Theatre is adequately supervised at
* \* n \4 T* ?9 }/ g+ v% q V' ?all times, this includes the development and implementation of such & {6 ^, C8 c3 E- q
schedules and rosters as may be necessary to ensure the effective and 1 `+ v/ @0 ~' K9 z7 ]0 s, i! n
cost-effective supervision of the venues at all times during which it " a- T& u' T6 I0 B
is in operation or needs to be in operation.9 K& m. }! O ]7 A
· To work with the Technical Director, when necessary, to ensure ' s3 S* z. z6 y$ ^1 L
that an adequate and appropriate level of part-time staff exists to ' s) M6 Y7 E" _# P. X" s/ G# S5 F
facilitate the smooth operation of the venues and to ensure all ' [* U0 e3 d: ]( d( g# i- b/ f$ q
renters needs are met.! l0 |7 d/ W! U7 b& g0 }
· To work with the Technical Director to ensure that the skills ' }9 N- M0 J% x, O0 P: l( G9 ~" W
and attitudes of all subordinate staff are appropriate in light of % H& q; y0 [6 E. R/ ]& Y+ \
the roles they must perform. This includes providing adequate and 8 q- x+ J% e+ `& j* O2 N
effective training (and re-training) in all applicable and
9 }% M. p( ~1 X4 X6 C) T uappropriate areas, and ensuring that the Policy and Procedures manual
) M) X4 b- q* C( A2 k' }( ais kep up-to-date at all times.9 q: [6 L- V3 G; Q5 |+ l, C( g* D! `; P
· To ensure all staff are trained in and committed to providing
5 ~8 u" b* z8 ?* `excellent customer service to all renters.9 b% k6 u, | P
· To work with the Technical Director to arrange staff $ |( w) P0 n. o' z6 F5 O
scheduling. To handle payroll related matters, under the guidance + J6 D" |% i! Y _% V" `; S
and direction of the Manager of Venues and Programming, concerning + B' x% o) @1 v0 E! {- b
the staff of the venues.$ j* z! M, O0 k4 }' P# K7 a
· Working with the Manager of Facilities and Operations to ensure
3 b& y9 `5 S' ?* M9 cthe appropriate setup/tear down of each venue.

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative / P4 W6 t& z, _' |
systems and processes utilized by or within the venues meet the " A# g, @0 w2 C
appropriate standards, requirements and needs, and contribute in a 9 Y' p5 @% Z' I! K, A' {
positive way to the smooth operation and success of the venues. This 7 _( }, x3 q9 T/ \) c# g, [9 b
includes, but is not necessarily limited to, the following:" o! f0 z* d5 q
To provide input and expertise in the formulation of appropriate 2 \' [9 ^$ j& B3 b8 E' v- j
operating budgets covering the venues to the SU´s Manager of , `1 Z1 h e5 u2 S. w, u# a/ y
Programming and Venues and to discuss and refine those budgets " @' Z3 i) f$ r0 t
Manager of Programming and Venues, and Manager of Finance &
& l4 {* I& o# ]8 j; R4 J) _Administration prior to their submission for final approval.
8 l/ H- L. ?' F2 O& x· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.+ Z7 a7 Y& y2 E6 g
· To function as the key player in the submission of financial and
0 E3 \* x9 p+ b" \% ]administrative documentation covering the venues to be used in the & C+ X8 y3 l/ D& F5 U$ H7 ~/ \
compilation of monthly and annual financial statements, and such ; y: [% u: n; k6 @

· To discuss those financial statements and other reports, together

costing systems to be used in connection with the determination and

events held in the Horowitz Theatre.6 y7 u3 V1 i5 s0 m
· To develop accurate documentation to be used in connection with , r' w3 z: w: `# h
the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

renting the venues meet the appropriate standards, requirements and ( J3 f( m/ m: l2 n3 ~2 K
needs, and contribute to the smooth operation and success of the # \6 [0 S2 F: F- o `
venues. This includes, but is not limited to, the following:+ A+ y% Q+ U* |. q% a4 W/ ^+ V
) `1 L9 f" D( ]% x- Z· To recognize, develop and set in place such rental procedures as & A6 P" a) w3 d6 J, w% f
may be necessary to ensure the smooth operation of the venues, this ; E7 h B: \ c/ `& i6 ^4 E: c
is to include but not necessarily be limited to systems and processes
( x; [" s7 v" K1 u6 L: cin the areas of contracts, inventory management, contract evaluation,
' }* k8 Y' z, M. o* E& K+ Tpricing, costing, equipment usage, rental/contract invoicing, : _# l$ [! {* ?0 T
together with such other systems and procedures as may be necessary 1 [ H% w+ T3 R. N* c
to ensure the smooth, secure, efficient, cost-effective and
6 z; q: S D! @' [( c5 K3 Ufunctionally-effective operation of the Horowitz Theatre./ f; Y- a6 H$ s; O' o' A# B
· To recognize, develop and set in place such operational procedures
4 z% R, e# Y1 M- o5 ias may be necessary to ensure the smooth, efficient and cost- b2 a* k! \) c3 g
effective operation of the venues. f$ A0 v' c% K& j, O) k
· To negotiate rental lease agreements (contracts) relating to 3 P+ d3 Q1 }) l# H
dates, rates, staff and miscellaneous charges.
6 Q/ O3 C& K1 O9 ]( A% P1 A· To ensure that adequate inventory is available at all times and ; `0 h, E1 a1 O- n8 x/ d. V
that such inventory is stored and issued in effective and secure ways.

particular event in the venues.

% @/ E) i$ F/ ~& H6 j$ o. Ssupporting information as it may need to effectively fulfill the
/ n$ j$ T6 b6 c, C0 t" ?roles they are to perform to ensure the success of the renter´s event.! Z) U+ B6 \0 p4 H
· To produce quotes in respect to staffing costs for a particular
* \5 D9 q$ U& l1 N* erental with consultation with the Technical Director.
" O/ X, O8 R& I2 ]' ^· To ensure that all queries raised with the venues whether from the " q7 _" U' S, l5 Y7 S, H+ `1 n
SU or renters, are promptly and effectively handled and adequately
& g6 P% _: [0 ~2 V4 c7 I! e/ u9 fanswered, and to ensure that such action as may be necessary in " E8 p5 E7 [7 r7 Q/ q# B
follow-up to such queries is taken in a timely manner.
0 [8 X3 C7 i& d Y: g4 V5 G5 n To ensure that the venues and its capabilities are adequately,
, c' c& X& O5 yeffectively and cost-effectively advertised and promoted, and that
% @7 O: [$ T' |( U V. Tthe cost of such endeavors does not exceed the budgetary provision & ]3 o4 |. v* z. }+ d U
made for them unless prior approval is given by the Manager of 0 _" ?0 N5 T5 `3 v H
Programming and Venues.
0 N% i# H: L7 `/ `% ]3 |" p, V% h. C· To act as an informed and knowledgeable resource in the case of + F3 d, k: b. w% n
significant challenges and/or problems surrounding the tasks of {- b! D' z! S( ~7 J/ a
marketing, administration, operations, and any such other matters as
' T! A7 w2 |2 Lmay provide such challenges and/or problems.
