Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.3 Y& `5 u: m! K* s- {! H
, F- w5 o6 L. `0 E! |• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Support effective internal communication by recording and distributing all meeting minutes.7 X# Z* J- Z) q* G! q3 }4 ~

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.* y/ L0 A/ c0 y3 U6 r

• Support maintenance of Human Resources records and the development of employee handbook.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

) f0 p- x7 H8 s0 ^: a• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( A2 E6 S/ s5 B# ]" T J& @: P

• Provide logistical support for key fundraising events such as silent auctions' S0 A! o( M8 u* f0 Q

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts., v% Y( ~3 l5 o1 B
& ]1 ^) t; S0 a0 |7 Z• Coordinate volunteers for some fundraising events such as Casino and annual sales events.- f4 D+ r# a! c8 F

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

* u L3 N6 E( T/ ?6 c f! Y9 T4 ASkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.. Spanish language abilities are an asset.
