Job Duties / Responsibilities
. m% {. j; ]( C/ Y0 M• Preparation of meeting agendas and taking minutes as required.0 U, w. r( o% `3 m) r
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
7 A; d1 z" m+ z5 S9 C• SAP match reporting and monthly management
! ?$ t0 V6 E2 _• Responsible for coordination and organization of office needs and supplies.7 C2 \. V5 C/ ^
• Organization of company functions/luncheons as required.& L1 c0 {" B* D1 B& U. Z4 y
• Coordinate network ID / requests for new hires, internal orientations.
, M( Z. i2 L' F! x! [1 X) h$ w• Train new Visa card holders ¿ Visa Administrator.- B4 o  w8 G( r+ k' o+ T& K. c
• Preparation of Monthly Visa Statements.
% P, s# H4 z& E• Order business cards as required.
( R4 p( y: B  w6 B/ K• Maintain contact list, employee files (including expenses)
( k5 C& H9 ?8 v# W" Y: F• Prepare travel approvals, books accommodations / meeting rooms / luncheons.0 a) s  \: E6 j; B
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking./ D  ~) c6 X- ]& N! `% i: I
• Vacation relief for other administrative staff.5 Z" k4 t" Q2 Q. g2 A: R6 m  K
• Preparation, organization and record keeper for Maintenance Department training) C6 B3 e  D5 v$ F* h2 N$ E. X" \9 V. l

Education / Experience3 S; A, m/ O9 I1 h9 e2 p; s+ ?% y
• Grade 12 or equivalent
) R5 H3 C' w8 R6 {$ q* N2 N' X• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)% I( D+ r6 W; ?  Y1 J" L: R' f" R: c
• 3-5 years of related administrative experience
( Y! O1 H+ b3 L' R; |8 W( p• Keyboarding Skills ¿ 50 w.p.m or greater8 K$ Y& S8 H& h3 |$ W; {. m& q
• A high level of discretion, confidentiality, and reliability is essential. * f& _9 ?* i8 T- X3 V7 m, r
• Attention to detail is required. # F* ]( b( E' H" j
• High level of customer service skills is a must.
! I+ M  o7 U& k• Good planning and co-ordination skills.
3 p/ R7 L# u: J• Shorthand/Word processing skills.
. @3 {  B! d; B6 x/ A8 l( y6 M/ ?' W• Business Administration Diploma or relevant certificate would be considered an asset.
