The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.% m2 A  ?' b* t, O0 z

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:. s- ?; E4 `6 P" x
% c/ x& @* L% B& ~4 }
OPERATIONS
, g& \8 c( K' V•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.; `2 S1 @6 e6 S9 A5 b1 C
•        Assist in development and implementation of policies and procedures for volunteer services.* G& h! O1 C$ {3 B& O& U2 }/ w
•        Maintain the volunteer files and update the database using Raisers Edge
4 G! j+ q; P( }- F, N$ x•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
3 E4 t' Y; e) i/ L" ~. U•        Develop and implement a comprehensive volunteer recognition program.
  B2 W4 Q; ]& e4 r•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
% T# X) d9 f7 K  I) B. _•        Identify and implement best practices in regards to volunteer development.
! D, w! I+ A- Y, i7 _  ]+ k•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities1 B% e$ I! g2 J, Y9 K: R6 b
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
0 @' V2 s2 w  b( r/ C9 b•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
, n+ x; J2 t8 i( H: y; @- J* p•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up4 @: u! W1 S" S4 S

4 u5 H" K. Y% i  X: X- G' rADMINISTRATION
1 K6 s- n- ]! \) @/ C) Z$ B, t•        Develop and maintain job descriptions for each volunteer position
8 a" Z- b" L0 W/ n% |* w" ^% u•        Maintain secure volunteers files in accordance with privacy legislation
# E& B/ r6 Z: H2 K7 j8 Q6 _) n•        Provide feedback on volunteers’ performance, as appropriate
% O) P% ^+ v8 }, H% Q# Q/ }•        Ensure Human Resource policies and procedures are adhered to within the department
$ F. _( {4 X' h•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 6 V7 S& @1 q) s* j+ C1 l- k. `$ _
•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
8 g5 x( E2 J. z# K•        Develop resource and orientation materials for Volunteer Services! F# Z) b" Q) `+ k$ o$ a, e
•        Maintain monthly and yearly volunteer statistics for reporting purposes/ m2 a0 Y$ T; ^
•        Prepare a regular monthly program report. y- w+ d2 a4 V2 _  L% K3 t

FINANCE
, F- v( H+ r+ Q9 U•        Ensure the program operates within approved budget and be familiar with potential variances* E2 j9 V% n, \& C
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required
2 Z+ I7 S( U( F. j. r) T$ d; U9 t3 s7 a* j+ v% q9 Z" Z; `
INTERNAL/EXTERNAL RELATIONS3 `& w  x( |+ S& n* R3 x+ z
•        Act as liaison to the Y-Knit group of volunteers
) ^9 B9 _6 e, f+ [6 c; J" d: ?•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)/ J9 d9 T7 m. w" C. I
•        Follow up with correspondence to outside agency volunteers as appropriate ; N( i* {4 n6 `) R0 l
•        Attend external functions such as volunteer fairs, trade shows, and special events as required

0 n' M# b; I9 `; _  [  ~( [Qualifications:
! I- s+ R- ^5 n4 R8 i
2 _& D7 A/ Y, j& I( \$ Y7 }2 p•        Minimum 2 years experience in Volunteer Coordination2 u! [' X% W) g* r% a. c
•        Excellent organizational skills and multi-tasking ability1 U0 ^: l' p3 E/ p
•        Demonstrated superior volunteer supervision skills+ x+ }' P% V+ g1 R/ j8 X+ m1 z
•        Collaborative working style and excellent interpersonal skills
# i* y" A% O& Y6 G1 s, a6 ~•        Ability to work to meet deadlines and to work under pressure
2 {/ V% g" i9 v1 E& ]; N" {•        Ability to work in a team-based environment, with cross-functional work teams on projects
- b; S9 ~5 F0 A' v, R•        Sound judgment and ability to maintain confidentiality
  G; T8 k6 l: ^  O% n" i•        Knowledge of Raisers Edge software would be beneficial
