The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
- B: ^9 S/ w" O6 P• Assist in development and implementation of policies and procedures for volunteer services.1 c# k( Q P9 Q; Y: K
• Maintain the volunteer files and update the database using Raisers Edge5 y6 q/ Y& E0 c/ z: \% j; ~( [
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.+ ]8 Q' h7 o; F3 p
• Develop and implement a comprehensive volunteer recognition program.
- G* ?0 y% i( v2 \. n' X• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
4 d% y; I+ J" r) V& C; Q• Identify and implement best practices in regards to volunteer development.
0 i+ M3 D3 J: E/ Y, ~6 _3 \% O# t5 f• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
9 k2 y. @. R6 ]* C% A3 N8 {• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required6 d- k J; [5 E# H6 l

SPECIAL EVENT PLANNING
' L3 s8 P7 Z$ p5 A. F9 T• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
( o" z) p# B L7 v$ d" o2 Z• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up. F, @! k% L1 A4 s4 m" H

ADMINISTRATION* l6 o) n5 V" i w0 r
• Develop and maintain job descriptions for each volunteer position# r( b! E6 |# S; [
• Maintain secure volunteers files in accordance with privacy legislation
3 G& }4 F" w& E; R8 o• Provide feedback on volunteers’ performance, as appropriate& H& d0 D9 O( n6 B4 E5 D6 D
• Ensure Human Resource policies and procedures are adhered to within the department
% X% N) i5 J$ A• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
; y% p1 N9 k6 j! d• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency

• Maintain monthly and yearly volunteer statistics for reporting purposes

0 _, w2 i2 q2 }• Ensure the program operates within approved budget and be familiar with potential variances
) K1 t: F. P) r8 ^6 c: r8 w4 }8 a, D• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS
* |+ e( Q( H! _* W! c• Act as liaison to the Y-Knit group of volunteers
' B9 ?9 S# K% O3 R* o• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)/ Z" N) b: n8 y- N8 D; o
• Follow up with correspondence to outside agency volunteers as appropriate $ E& e1 b' b2 o7 f* E% v8 r! U
• Attend external functions such as volunteer fairs, trade shows, and special events as required% Z X6 \7 t' n; ]. M

0 H b8 d- _. N* @• Minimum 2 years experience in Volunteer Coordination
2 C7 G( f2 v: }3 J( n# J3 e• Excellent organizational skills and multi-tasking ability
, N: T: t5 |0 P8 }• Demonstrated superior volunteer supervision skills. X5 O8 Z5 y$ f4 Y4 E" r0 t
• Collaborative working style and excellent interpersonal skills

• Ability to work in a team-based environment, with cross-functional work teams on projects
