ROLES AND RESPONSIBILITIES$ O2 l# c& {/ u. h
The duties of the Operations Manager - SU Venues are diverse and  2 P6 ?# _( S6 m- T
extensive, and are targeted at the all round smooth operation and  & Z0 N( x' X# W3 Z
financial and operational success of the Horowitz Theatre as well as  
7 s; e$ ?1 b# e$ lthe logistical organization and smooth rental of the additional  
* X/ r0 w- d# `, B& J# Bvenues within the realm of the Students´ Union.  In the light of that  
. |& }8 b2 Q  a: hbreadth and complexity, it is not possible to fully define or  , S; C; e$ O6 d% R; V
describe all roles and responsibilities in a document of this kind.   7 M; G6 ?& y5 Y6 i$ W: ^1 m
However, the main roles and responsibilities of the Operations  . g8 z7 E  U( N; u8 N0 j

# [1 f$ G' o9 Ua.   To ensure, at all times, that the venues listed below meet the  
2 K  F9 {% m4 t3 q2 _appropriate standards, requirements and needs, and contributes in a  
& y. G( v" k, J: Z, L) Epositive way to the smooth operation and success of the individual  
) r9 Q; R- W8 Orenter.

b.   This includes, but is not limited to, the following:- l/ Y+ s7 a: x( r" C/ j
·     To plan the capital and supply expenditures to meet the  / }& O; H- N- V! ^1 s" ?
production and facility requirements.
! W( \' A- @( o' M$ I·     To ensure the day-to-day compliance of the venues with existing  ) [& a0 j6 Q# Q. h
safety regulations and building policies.

+ q9 C5 N1 G& Y2.        Marketing and Promotion. m* @: j5 |' l: E, ~6 N2 t& ~+ o0 t

a.   To develop and implement a marketing plan for the venues that  ' z4 h  W% @# {3 t7 }- C5 l9 m
focuses upon advertising and promoting the venue to faculty,  
# }4 L: T. l9 R& Y3 ^4 J) Wstudents, and internal and external clients on an on-going basis.  
$ I: W& Z  F$ l, ~1 i; SThis strategy will include implementing and/or delegating the following:
! E! k$ j* f8 z7 V) E8 ?3 w·     To develop and maintain promotional materials, the Horowitz  5 M3 z- {! h+ y, `
Theatre and SU Venues home page, newspaper and other advertising; to  
2 `  z) Y  P3 A2 m; o; t- rtake advantage of other internal and external advertising  
; T. @' U3 F# ?opportunities; and to develop press releases and other promotional  ( [* n$ z3 a+ D
literature on an ongoing basis.
- _" X. w' w9 y" k7 R·     To coordinate tours of the venues for potential renters.3 [$ U- s) \2 E. c8 u
·     To promote upcoming events in the Horowitz Theatre through the  / j5 D' e7 w  D5 e6 O5 Q
use of the Horowitz Theatre Home Page and the SU Events Calendar.
- B1 a; |- u; {6 w·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities2 I! t# F' L6 M5 j2 @

; o+ F! h$ |9 W. La.   To ensure, at all times, that the venues are adequately and cost-
# k2 O- l$ l2 p5 |! s, {1 k  aeffectively staffed, and that the staff utilized by or within the  
) ?( E" r# f# t' O! R, ?venues meet the appropriate standards, requirements and needs, and  
& A* a3 d" Z" \3 tcontribute in a positive way to the smooth operation and success of  
+ ?0 h, f! u; Sthe renter´s events. This includes, but is not necessarily limited  4 l1 `) A: F# k: K
to, the following:0 M; {+ J: F! g) A: N& A9 t
·     To be responsible, under the direction of the Manager of Venues  5 K; H2 z' n6 F  ?% {! @, v: S
and Programming, for all staff issues including hiring, disciplining,  6 j' l' Z7 o  ]9 [0 n$ y6 `
evaluating and terminating, as necessary.
6 s* ^9 |6 e( s+ u* J To ensure that the Horowitz Theatre is adequately supervised at  ) j) o- D- {2 L) V2 z) |/ m
all times, this includes the development and implementation of such  & N- e+ K( O9 T4 j- M/ t& ]
schedules and rosters as may be necessary to ensure the effective and  
9 Y5 F7 Q4 g0 F: V* n" G/ e' v( Acost-effective supervision of the venues at all times during which it  
' u8 }( m; m8 X' {, Q+ {is in operation or needs to be in operation.5 \2 L; \2 U# f1 v
·     To work with the Technical Director, when necessary, to ensure  
5 Y# y$ i4 Y5 e6 w$ f* m: Wthat an adequate and appropriate level of part-time staff exists to  
+ ]! Q6 q, {& H. ^) Q6 s$ F& \facilitate the smooth operation of the venues and to ensure all  
5 I# `9 [* v) o' h. i* yrenters needs are met.0 V# q) k7 E3 d" I& K
·     To work with the Technical Director to ensure that the skills  
2 \' M; A- Q$ X$ W( @$ Jand attitudes of all subordinate staff are appropriate in light of  
. q7 \; R- v9 @' p! S& Xthe roles they must perform. This includes providing adequate and  : S" @, t+ I4 Z6 U4 m8 m
effective training (and re-training) in all applicable and  
) M0 z& O* G* Z; G0 O% {appropriate areas, and ensuring that the Policy and Procedures manual  
" O0 X. [! a" }$ R  \. A4 Ois kep up-to-date at all times.
& u& {' o- N( X  N7 ?) Z( E% X·     To ensure all staff are trained in and committed to providing  
) G5 e- D9 f# I: @$ P* sexcellent customer service to all renters.
" u, i, R- A5 t6 r& V' g  s' B) w·     To work with the Technical Director to arrange staff  
+ r* _: [% f$ R0 l% Tscheduling.  To handle payroll related matters, under the guidance  
1 H0 s6 \. B7 v  hand direction of the Manager of Venues and Programming, concerning  
5 K" w+ X9 y& K8 D+ M' V' p$ rthe staff of the venues.. a/ \# ~9 K' x/ E8 K
·     Working with the Manager of Facilities and Operations to ensure  ' f4 L; n/ t9 q- b
the appropriate setup/tear down of each venue.
. ~/ B6 f, F$ r2 n# l·     Working with the Manager of Programming and Venues to ensure  
5 i3 B% s* v" ^% Y, ^that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance( Z+ ?* N; U+ P* I

a. To ensure, at all times, that the Financial and Administrative  
' J6 d% C- C3 s: I# bsystems and processes utilized by or within the venues meet the  
8 E$ j+ H! Z6 X* O- s8 sappropriate standards, requirements and needs, and contribute in a  : N& M" _3 ]0 v7 [/ f5 E- z; ^
positive way to the smooth operation and success of the venues. This  ) K- g7 y6 `2 `- W
includes, but is not necessarily limited to, the following:6 n( a( r; c! G, H* E
To provide input and expertise in the formulation of appropriate  9 ]7 \" b* g& Q5 `, x# B- e7 n$ n, a$ c
operating budgets covering the venues to the SU´s Manager of  
0 a' U. B) s  {6 V& H6 a4 iProgramming and Venues and to discuss and refine those budgets  
- x' q) C  a0 z1 `! nManager of Programming and Venues, and Manager of Finance &  
7 b( h: e4 l9 k$ PAdministration prior to their submission for final approval.
- j& m! l/ C8 _( P9 d. U·  To manage the venues in a manner which adequately and effectively  + I" S2 _0 E0 b: G* \+ q
reflects the budgets approved for the venues and/or which reflects  ' C4 B% t9 K1 K0 r% b
the best interests of the venues and the Students´ Union.
; D; k7 l: _/ V+ L" I8 j8 v·  To function as the key player in the submission of financial and  , P5 T9 d( I4 z  ?- ^+ q0 F! f
administrative documentation covering the venues to be used in the  
* y: G8 m. u3 R( E# @compilation of monthly and annual financial statements, and such  
# b3 \% P3 S; y; p8 q! X" m; K8 `other reports as may be necessary.
& _% Z/ X5 Z' A2 O; @·  To discuss those financial statements and other reports, together  
: k  @9 \3 j, u! Fwith all financial and administrative procedures, with the SU´s  . c2 T- v2 P9 T* n8 z
Manager of Programming and Venues and Manager of Finance &  
8 V; e" I% D- a; {' u1 T/ B/ AAdministration with a view to determining and implementing action  . Q9 o7 D7 g( P7 ^0 ]/ l2 k
aimed at improving the financial and/or functional effectiveness of  
) [" H  o$ ?/ x) k5 U( `the Horowitz Theatre." u' O9 @1 H5 m1 ^6 |' \, N
·  To ensure the existence of adequate, effective and accurate job  + W; a. N% [" s& O. |
costing systems to be used in connection with the determination and  8 ^& m- \( R- `) i% n
setting of appropriate prices for rental and staffing rates for  ( h7 Z9 [; K( l& T9 A' s* T
events held in the Horowitz Theatre." S  Q& u3 x# p. m9 }' {5 |  V7 [
·  To develop accurate documentation to be used in connection with  6 Y4 }: h5 n4 b" v0 r
the billing clients, and to forward such documentation in a timely  9 ]" K  F% C7 V/ y2 j* I+ Y+ q
manner to the Accounting Department.) u) w$ V) z& H" g- {
·  To recognize, address and handle all matters relating to financial  ' H: F7 x! C7 y8 ~! ]) y( T2 h
and administrative procedures and systems in a manner which reflects  
% E# y/ p$ _; g7 |' f4 g+ Pthe requirements of the SU´s Manager of Programming and Venues and  
$ O7 K2 x$ P: p$ d& TManager of Finance and Administration, and in a manner which    H( D8 N4 |/ e! l* }
contributes positively to the smooth operation and success of the  
. R8 s, K6 h1 _" p9 Uvenues.3 ?/ K3 w" q' m( |. K, K

0 ?+ q. n! x/ c" U# D/ M5.          Overall Roles and Responsibilities6 q" D" ?- x8 G4 f& U5 y; K
a.   To ensure, at all times, that the systems and processes used in  
6 H- {2 }# k. Xrenting the venues meet the appropriate standards, requirements and  
! W, E- o. `  H3 yneeds, and contribute to the smooth operation and success of the  
0 b$ h1 ^$ ^% [% \* t! H& Kvenues. This includes, but is not limited to, the following:
, V* X$ w; J6 U. A! Y  U! v% ?; e' F7 Q# ~
·  To recognize, develop and set in place such rental procedures as  1 d8 l6 l) |" }: Q! t& `
may be necessary to ensure the smooth operation of the venues, this  
8 E% b: h# _8 `. d* g" O7 Z8 M; V: `# W2 wis to include but not necessarily be limited to systems and processes  
. B. j' W: A$ Y% o# e4 ^- vin the areas of contracts, inventory management, contract evaluation,  
3 S9 G2 y" V6 Z; wpricing, costing, equipment usage, rental/contract invoicing,  
- n% v+ e8 W, u' d2 d2 }- z7 C2 Dtogether with such other systems and procedures as may be necessary  
% ^9 @0 e$ `9 x# {; fto ensure the smooth, secure, efficient, cost-effective and  
7 F% b6 I" k7 mfunctionally-effective operation of the Horowitz Theatre.
' G, S% o, s7 Q- l8 e1 ~·  To recognize, develop and set in place such operational procedures  
4 U3 M/ i& w% u5 ^as may be necessary to ensure the smooth, efficient and cost- / J' O  m1 ?2 ~" k4 V0 x) L
effective operation of the venues.
& m+ r0 ~5 ]5 D/ n; z2 L' F·  To negotiate rental lease agreements (contracts) relating to  ' c! ~$ C5 |0 f
dates, rates, staff and miscellaneous charges.
* M* d, B( \& g·  To ensure that adequate inventory is available at all times and  
, q# T! G4 G4 u  Ythat such inventory is stored and issued in effective and secure ways.- A5 u. n0 d4 K1 u* E9 z! d
·  To consult with renters as to facility issues in producing their  
. S; D8 T* o, |* ]7 T: R4 Gparticular event in the venues.7 Y2 X6 d& n: |9 H6 l, c3 \
·  To provide the venues on-site staff with such documentation and  " a$ C# u; x2 L) i5 a. G7 o
supporting information as it may need to effectively fulfill the  
, D, z% Q) K2 y5 B" K+ @; f9 r. Iroles they are to perform to ensure the success of the renter´s event.9 I. @+ y2 L- {/ v
·  To produce quotes in respect to staffing costs for a particular  & B  B' i3 R! P% e$ `, }0 ]
rental with consultation with the Technical Director.
) A. N1 |. q4 j' V9 Y6 H: _: r7 ~·  To ensure that all queries raised with the venues whether from the  - f+ b0 k) d, f  J: `. j3 `' r" B
SU or renters, are promptly and effectively handled and adequately  ) m+ `. ^7 M$ T+ r# v8 R
answered, and to ensure that such action as may be necessary in  5 b$ R4 U( u" a: n! m' b
follow-up to such queries is taken in a timely manner.; o, ?( h; T4 [% ~- m
To ensure that the venues and its capabilities are adequately,  
- ^% w# B; h7 n: }4 Jeffectively and cost-effectively advertised and promoted, and that  
. F; `6 {9 B) `# A/ uthe cost of such endeavors does not exceed the budgetary provision  5 \; n/ ]4 ^3 o7 O
made for them unless prior approval is given by the Manager of  4 X4 O, Z) S' z: p0 y
Programming and Venues.
# N! _+ X8 f; A5 q4 w7 a& m·  To act as an informed and knowledgeable resource in the case of  , f6 o7 Y' Q7 \
significant challenges and/or problems surrounding the tasks of  
5 V0 x0 G+ t: E  L. w3 z: Imarketing, administration, operations, and any such other matters as  / J. P0 h% @/ h# T) B5 r( M- t/ C
may provide such challenges and/or problems.
) _3 z& |& u5 U·  To attend such meetings as may be required to support the smooth  9 l1 h# o6 a* ^( S
operation of the venues or the Students´ Union as a whole.
, S, M3 H& Z/ m1 o·  To perform other job-related duties as may be required by the  
; g0 Y$ _  ^' b  DManager of Programming and Venues in order to ensure the smooth and  6 F) n& H. h3 q( t! k9 T* ~

·  To recognize, address and handle all matters relating to overall
