and Venues.

% q2 G8 G- @8 {' @( ]; DThe duties of the Operations Manager - SU Venues are diverse and  1 p2 l3 h& ]8 P' u& F
extensive, and are targeted at the all round smooth operation and  ( H( A% |, d2 y5 W( s
financial and operational success of the Horowitz Theatre as well as  : D* I6 A2 U, k/ J! X* S
the logistical organization and smooth rental of the additional  1 }3 C" ~$ _" ~9 ?
venues within the realm of the Students´ Union.  In the light of that  3 l6 d/ k0 H2 o- a4 Y
breadth and complexity, it is not possible to fully define or  $ Z* h7 a: p. V# x6 F0 z
describe all roles and responsibilities in a document of this kind.   
6 d/ r& H# r1 GHowever, the main roles and responsibilities of the Operations

5 u( }/ _- x; Happropriate standards, requirements and needs, and contributes in a  7 W. m4 }" z' [. d: p; G  a
positive way to the smooth operation and success of the individual  ; P8 A: P' B# U. s
renter.- F, j" e3 y/ Q- e8 H
·     Myer Horowitz Theatre

b.   This includes, but is not limited to, the following:
7 _3 j$ M' b! n5 b·     To plan the capital and supply expenditures to meet the  + ]2 g( r/ @& E, N) h# A
production and facility requirements.  a, T/ H' ?1 Q; p
·     To ensure the day-to-day compliance of the venues with existing  ) c. E/ ~9 h8 T, a
safety regulations and building policies.

a.   To develop and implement a marketing plan for the venues that  % O4 K6 R. h6 z6 [& o2 I) U
focuses upon advertising and promoting the venue to faculty,  2 t$ I; U7 u$ f
students, and internal and external clients on an on-going basis.  ) |+ ~; R- ?% V6 P2 g3 \1 y
This strategy will include implementing and/or delegating the following:9 O) _9 D( A3 z+ }. U! N1 e
·     To develop and maintain promotional materials, the Horowitz  
1 w6 K9 l. E4 [+ S4 T  XTheatre and SU Venues home page, newspaper and other advertising; to  1 d- g+ I& z2 P. g+ _
take advantage of other internal and external advertising  
) K  R# W, c5 |5 w' Jopportunities; and to develop press releases and other promotional  
7 M3 G& u& i2 w; `# Nliterature on an ongoing basis.
* J7 ?% j; N$ j+ [9 P4 [6 I·     To coordinate tours of the venues for potential renters.
& D" S( a! z8 i$ L7 [/ i' o  D·     To promote upcoming events in the Horowitz Theatre through the  0 v: c" \$ j1 E" D
use of the Horowitz Theatre Home Page and the SU Events Calendar.& |; S- _/ J! C- [8 e
·     To develop new external clients for the venues.

0 C, t, M$ k8 Q, Z3.        Staff and Supervisory Roles and Responsibilities
/ y9 D) V' \+ L: P/ p  e8 t2 i0 F
' n9 C0 j( A" F/ W/ b) Ea.   To ensure, at all times, that the venues are adequately and cost-   M/ U8 Z- N  W6 T& y
effectively staffed, and that the staff utilized by or within the  - L: a1 f$ v7 N( d: s, b# S, Y2 Q2 S! _
venues meet the appropriate standards, requirements and needs, and  
" p1 L2 S/ a' ~( j8 Ncontribute in a positive way to the smooth operation and success of  3 j: E) \0 K& J1 j7 l9 j. L, X: _
the renter´s events. This includes, but is not necessarily limited  
* j) h) L* K( V" e6 Qto, the following:
) F5 e# |4 a$ A. o  I# y( u: Q! V·     To be responsible, under the direction of the Manager of Venues  
  w: `# q6 N4 L. G1 s6 Nand Programming, for all staff issues including hiring, disciplining,  
6 n5 [6 Y5 C' @: k' }5 E6 W5 ievaluating and terminating, as necessary.
6 O. p. [, j" F, v To ensure that the Horowitz Theatre is adequately supervised at  : q! V) Z8 ]/ u1 |
all times, this includes the development and implementation of such  
, ?, J( ~9 u& _2 r8 a' Y  qschedules and rosters as may be necessary to ensure the effective and  % [) C) g; ]" z' D0 S
cost-effective supervision of the venues at all times during which it  
" I  v$ |% C6 K! e6 A6 d3 b& S  m2 Fis in operation or needs to be in operation.
0 r# c$ T% V" j* H4 e$ o( \·     To work with the Technical Director, when necessary, to ensure  . U7 |5 Y- m  ?7 w/ N' d9 V  }
that an adequate and appropriate level of part-time staff exists to  : c8 @7 V' f) D2 a. y5 q
facilitate the smooth operation of the venues and to ensure all  
2 w$ U7 d, X# N: E$ J; ]renters needs are met.* z, M: g. D4 l5 e) n5 o
·     To work with the Technical Director to ensure that the skills  2 g2 y, v7 D% r7 P5 H. P4 Z3 z0 g: p
and attitudes of all subordinate staff are appropriate in light of  
7 q" n% e. c2 D" ~2 Q. xthe roles they must perform. This includes providing adequate and  
8 b0 ]" j# F( @; n# O3 Leffective training (and re-training) in all applicable and  ( g1 |4 V. m# d: s- s
appropriate areas, and ensuring that the Policy and Procedures manual  
: u6 m  |9 J8 i! gis kep up-to-date at all times.1 Y% `  |4 Y  J. N2 J
·     To ensure all staff are trained in and committed to providing  0 i; \& h/ Q% P0 z  F
excellent customer service to all renters.
+ I  a9 [9 B. j6 G- k·     To work with the Technical Director to arrange staff  5 p+ H; k1 O! W, J
scheduling.  To handle payroll related matters, under the guidance  
) t7 c, W: c$ N! mand direction of the Manager of Venues and Programming, concerning  7 b* O# t; B# F$ C7 U6 U
the staff of the venues.
" o. q  u6 G/ ]. I·     Working with the Manager of Facilities and Operations to ensure  0 }/ w0 \, k1 d! ^$ }8 Y3 l
the appropriate setup/tear down of each venue.  y" R4 a5 Q; B2 i: T7 I! A' R
·     Working with the Manager of Programming and Venues to ensure  6 I, K- J5 U# |5 L( ^5 M
that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance: z) d2 A8 L) f  s5 `

a. To ensure, at all times, that the Financial and Administrative  
" D6 p* C0 g5 m6 ^0 |5 C3 a: Ssystems and processes utilized by or within the venues meet the  , e' f, e, C# X- ^) a9 Z& M$ c
appropriate standards, requirements and needs, and contribute in a  ( Y& p. Y, ~4 I5 K! ?
positive way to the smooth operation and success of the venues. This  
1 \/ l4 d* g& v* X2 m0 g9 [includes, but is not necessarily limited to, the following:
) w. y$ K" z6 ^7 Y1 v% z2 l To provide input and expertise in the formulation of appropriate  ; f: K) Y8 s3 o! _, V" A
operating budgets covering the venues to the SU´s Manager of  
% l- B! R; V  q7 c' c/ Z( U4 g; `Programming and Venues and to discuss and refine those budgets  : Q( }4 @) T& D! M& K# _7 t
Manager of Programming and Venues, and Manager of Finance &    m( Y' C4 n& @1 f4 F
Administration prior to their submission for final approval.
9 \# N3 m! t" W" c# d& ]·  To manage the venues in a manner which adequately and effectively  " }3 ?* w. C! h0 |
reflects the budgets approved for the venues and/or which reflects  
* {* w7 z- r6 l2 H: I- }, N0 N2 Zthe best interests of the venues and the Students´ Union.5 {7 F: [+ C$ F3 Z
·  To function as the key player in the submission of financial and  % t) V- b! b( {8 N6 K$ D, _
administrative documentation covering the venues to be used in the  $ W9 l; Y; c, I9 u! n9 K; v" Z! T
compilation of monthly and annual financial statements, and such  
% ~- d) f& R( g6 u8 I) a. Eother reports as may be necessary.
" L8 H: q% c5 A  R5 p·  To discuss those financial statements and other reports, together  
' p0 [' o; Z( g5 }with all financial and administrative procedures, with the SU´s  
! T* W8 u4 [- b" w' B* OManager of Programming and Venues and Manager of Finance &  
1 I) c% e7 _+ P% u6 t' NAdministration with a view to determining and implementing action  # j1 N' A' {8 R+ O( P) G
aimed at improving the financial and/or functional effectiveness of  : X5 h4 B7 e& t" g: U- }5 j
the Horowitz Theatre.
" w* H+ k/ B6 w, U& m·  To ensure the existence of adequate, effective and accurate job  
! _1 V$ o7 m  W. Q7 n2 [costing systems to be used in connection with the determination and  
$ v: W3 e, s$ Esetting of appropriate prices for rental and staffing rates for  / P- n2 W! _- e: `; Y0 `; h/ z
events held in the Horowitz Theatre.% ^; W" e, D! c* n- G
·  To develop accurate documentation to be used in connection with  ; ?$ y3 `, s; Z/ h  d/ Q
the billing clients, and to forward such documentation in a timely  # X+ U3 K: `) M% m1 K
manner to the Accounting Department.! m5 H, G' r3 y
·  To recognize, address and handle all matters relating to financial  5 J) L& b# S4 ]: |  A" j
and administrative procedures and systems in a manner which reflects  
! e; x. [' O/ U1 q# p8 T: lthe requirements of the SU´s Manager of Programming and Venues and  
- f( o! q8 W2 N9 jManager of Finance and Administration, and in a manner which  
3 @; x( A* g5 N) m" b# L" Lcontributes positively to the smooth operation and success of the  . L+ h' K/ u1 \$ N" U
venues.3 T% M7 d& E2 u# C

& I$ Y6 R4 J/ w' R" C# t  g* R+ @% _5.          Overall Roles and Responsibilities
# n0 o$ r! B/ O, h! Sa.   To ensure, at all times, that the systems and processes used in  
- Z/ s8 [+ w$ Wrenting the venues meet the appropriate standards, requirements and  
; R' L( s- }/ r+ h2 B7 ]) V# cneeds, and contribute to the smooth operation and success of the  
# J& `5 D  @( a* a3 z; ^venues. This includes, but is not limited to, the following:
! q' l: M! u( D' X5 X
+ k4 h' ?( ?/ j- q·  To recognize, develop and set in place such rental procedures as  ' {8 N/ @! q# y  r' b- N
may be necessary to ensure the smooth operation of the venues, this  2 \5 `! ], E  ^. S& `0 i$ ?
is to include but not necessarily be limited to systems and processes  
4 }# r1 b' F9 S, a- W8 ~' D1 {in the areas of contracts, inventory management, contract evaluation,  
/ z0 T$ Z( C' R4 i, H1 X5 dpricing, costing, equipment usage, rental/contract invoicing,  
1 x. H  _1 @: C) f1 Z2 Itogether with such other systems and procedures as may be necessary  4 Q. F& I3 }6 R  o
to ensure the smooth, secure, efficient, cost-effective and  
, T% r9 D# _$ Qfunctionally-effective operation of the Horowitz Theatre.+ I5 q: y1 \& s1 E3 ]( f1 o, b" v: y
·  To recognize, develop and set in place such operational procedures  
5 ^4 l: f0 C6 Y# K  mas may be necessary to ensure the smooth, efficient and cost-   p3 i# E7 F. \! G# f$ Z( ~
effective operation of the venues.
9 F- n, H  T& v7 Z% i$ t* _0 i·  To negotiate rental lease agreements (contracts) relating to  7 t, I* {) G0 m4 I* F+ ?
dates, rates, staff and miscellaneous charges.  O' W$ G# k- E1 H' F
·  To ensure that adequate inventory is available at all times and  # t# w2 q/ w+ n1 e
that such inventory is stored and issued in effective and secure ways.1 K" |( |, G, V, r! v
·  To consult with renters as to facility issues in producing their  & V0 K2 |; a9 g2 D: _. E
particular event in the venues.* K" w" d& g: B* q
·  To provide the venues on-site staff with such documentation and  ! I$ c9 Z; f6 b4 h0 I6 z
supporting information as it may need to effectively fulfill the  8 N% a# Q7 J3 f. U0 D
roles they are to perform to ensure the success of the renter´s event.
$ e5 P) _7 |* S# n. c8 W, W·  To produce quotes in respect to staffing costs for a particular  
% p6 f3 H& L. @' w, Nrental with consultation with the Technical Director.
3 z0 o0 Q3 z, _8 g·  To ensure that all queries raised with the venues whether from the  1 q3 h. B/ j, I9 Y5 Y
SU or renters, are promptly and effectively handled and adequately  
3 M2 H( p! P0 f+ ^) K% K- s* yanswered, and to ensure that such action as may be necessary in  
& }& `, P' x: e, d4 N" z  r: H, ffollow-up to such queries is taken in a timely manner.( A5 @  B6 I( q" _, O" {9 W% d
To ensure that the venues and its capabilities are adequately,  
$ B* {- C1 {. S) B( Beffectively and cost-effectively advertised and promoted, and that  % n) l9 n- y/ j7 R" s- q  R5 y
the cost of such endeavors does not exceed the budgetary provision  ( f% n2 \% n: J. z, ^
made for them unless prior approval is given by the Manager of  2 [; y* A& f9 i2 P* Q
Programming and Venues./ `# i0 y8 d& j+ X
·  To act as an informed and knowledgeable resource in the case of  7 J3 B* w4 f& U2 u3 r. K% l5 m
significant challenges and/or problems surrounding the tasks of  
* }- A" `6 r3 Pmarketing, administration, operations, and any such other matters as  
2 I9 }9 X8 _/ r& p: p' Omay provide such challenges and/or problems.
1 j; E# l: Z( [/ i·  To attend such meetings as may be required to support the smooth  2 N& P& ]2 ?# p# z/ w" o9 t/ S
operation of the venues or the Students´ Union as a whole.
6 p9 v1 F+ ^+ @' d6 g·  To perform other job-related duties as may be required by the  2 }5 G1 e6 G# ]; m- m5 F( W
Manager of Programming and Venues in order to ensure the smooth and  
3 P- i; R0 _, @7 S* c& _  |secure operation of the venues.3 T. B2 Y: C2 p# E3 Z! o
·  To recognize, address and handle all matters relating to overall  
& _* K! h, t: Q+ }3 l$ R% R! W' s/ ~operations in a manner which reflects the requirements of the SU´s  ' k( |: G+ s4 ~8 R) Z/ A: a
Manager of Programming and Venues, and Manager of Finance and  ( l/ A0 V+ [$ e1 e- j1 G
Administration, and in a manner which contributes positively to the  " i6 ^7 F3 C- P" c: d( {# E9 q6 N

* f! s/ r3 G' K  d6 ?1 \' `1)             Minimum two years related post secondary education, or  
( w; V/ r6 W. K( K& lan acceptable combination of education and experience.
+ p% R- _- ]+ c: P* ^$ z/ C$ o$ b; |2)             Supervisory experience.
- @+ N) z+ Z6 m, r0 C9 A; ~3)             Ability to create new initiatives with little or no  
. C' T6 I) B% v  esupervision.

5)             Knowledge of budgeting and staffing procedures.
