extensive, and are targeted at the all round smooth operation and

" M. x* [3 d: Y/ Gthe logistical organization and smooth rental of the additional * @: _4 K0 x3 b# x* s" o% {* @9 Z0 b
venues within the realm of the Students´ Union. In the light of that

positive way to the smooth operation and success of the individual

focuses upon advertising and promoting the venue to faculty,
. I& r' O5 G) _1 R& Fstudents, and internal and external clients on an on-going basis.
O& j- n$ n; ?$ M% O- M" zThis strategy will include implementing and/or delegating the following:
8 M/ h6 D7 _9 ]+ e· To develop and maintain promotional materials, the Horowitz 9 A2 R7 j( I2 r7 u* R
Theatre and SU Venues home page, newspaper and other advertising; to 4 \: J0 f0 @' U2 |) _
take advantage of other internal and external advertising
+ k$ V- ]3 x N2 }" Iopportunities; and to develop press releases and other promotional 8 G$ P0 s1 q& R( z3 k2 P, l$ L6 u
literature on an ongoing basis.. G, |2 |' H( l6 W+ L
· To coordinate tours of the venues for potential renters.- ?' z% r: V9 W% s
· To promote upcoming events in the Horowitz Theatre through the
' t6 h% t& J0 ]- z0 g2 Zuse of the Horowitz Theatre Home Page and the SU Events Calendar.# H! z+ Q4 i( v( ]1 t+ d' C/ y
· To develop new external clients for the venues.3 u! D$ c6 R3 @4 @9 P2 K

0 N- M5 l+ H" z3. Staff and Supervisory Roles and Responsibilities

& t( d( A }" g E( Xa. To ensure, at all times, that the venues are adequately and cost-
5 ` t. `$ y8 K0 a5 u5 @. Geffectively staffed, and that the staff utilized by or within the : W+ i9 o: {0 _/ A
venues meet the appropriate standards, requirements and needs, and & q' L1 K& y0 v) w8 e
contribute in a positive way to the smooth operation and success of
; o! ?# W* P) l( J$ G d+ n- Xthe renter´s events. This includes, but is not necessarily limited 4 {/ ~& \) s& \3 @; p; i) D
to, the following:
' h! G6 R) {% k# R( X% j· To be responsible, under the direction of the Manager of Venues
U$ d- ^7 b1 k, Y) K+ qand Programming, for all staff issues including hiring, disciplining,
* F8 b" e3 [% P, W; d" |evaluating and terminating, as necessary.; ~! n: E9 b/ I1 {
To ensure that the Horowitz Theatre is adequately supervised at
9 Y5 z Z3 b& V e% Dall times, this includes the development and implementation of such % n0 r& w* u: M- K' R. Z
schedules and rosters as may be necessary to ensure the effective and ; }8 n* g/ R# u
cost-effective supervision of the venues at all times during which it
E7 f% u8 }* S3 t( m9 Ris in operation or needs to be in operation.
; {/ D6 B* O* S- ~) S. W· To work with the Technical Director, when necessary, to ensure 8 L7 d# O3 H _* C' Q8 m% \
that an adequate and appropriate level of part-time staff exists to
8 _* P2 y2 f. b$ R$ X; z, y/ @facilitate the smooth operation of the venues and to ensure all
: _8 }( P0 b& f$ l6 T/ }renters needs are met.
* H$ _! M6 Y' K9 a/ s8 M ^9 g4 Q· To work with the Technical Director to ensure that the skills
% ^$ Z( t, N- `- {' Mand attitudes of all subordinate staff are appropriate in light of 1 M9 j5 l* b* O" A1 w4 n/ w* Y/ @
the roles they must perform. This includes providing adequate and ' ]& J7 T# b0 U3 f
effective training (and re-training) in all applicable and 1 J, i0 @ I3 Y) P
appropriate areas, and ensuring that the Policy and Procedures manual 9 r7 ?! _% w; {( f- |( M
is kep up-to-date at all times.
; m! }) ]; f' J$ Z· To ensure all staff are trained in and committed to providing $ U* f( `: G# T1 V9 ]
excellent customer service to all renters.7 C. t+ g! b& c( T
· To work with the Technical Director to arrange staff
% s w% r$ {& u+ c, b$ Rscheduling. To handle payroll related matters, under the guidance
" Y/ Y) H6 F! tand direction of the Manager of Venues and Programming, concerning
5 ^5 r4 U! P9 x2 ^the staff of the venues.
! e. f% C, v3 c$ n. r; w· Working with the Manager of Facilities and Operations to ensure
% u5 A& l- j6 [5 Y; C1 cthe appropriate setup/tear down of each venue.- ~5 l$ ` f( W2 Q
· Working with the Manager of Programming and Venues to ensure * ^7 D2 m; Y" ~! P/ B2 J$ x" F
that additional requests such as licensed receptions are arranged.3 N7 d# H! p+ k4 Y

4. Overall Financial Performance% `; c4 m8 H6 K1 E/ p! t) ]+ c' w( S

systems and processes utilized by or within the venues meet the 8 {+ [) z$ Z$ n/ ~3 W0 z' j
appropriate standards, requirements and needs, and contribute in a 3 S- U! ?, ]! ^9 i( T
positive way to the smooth operation and success of the venues. This % X+ M6 g. ~1 I- Q
includes, but is not necessarily limited to, the following:
" a9 D: X, u$ [8 f) N To provide input and expertise in the formulation of appropriate
$ @& y2 i2 h5 n9 N$ w) F; uoperating budgets covering the venues to the SU´s Manager of
# N1 Y* ]# ~" r5 V* QProgramming and Venues and to discuss and refine those budgets ; a, \- x" A) G
Manager of Programming and Venues, and Manager of Finance &
( D% J2 U- ?# M* `; M& k4 DAdministration prior to their submission for final approval.
1 A M6 `0 A# r) Z. I: G9 G· To manage the venues in a manner which adequately and effectively 1 x \* I l: d2 l
reflects the budgets approved for the venues and/or which reflects 9 u2 @* l; D0 N
the best interests of the venues and the Students´ Union.
3 y3 o- P; v0 U2 U· To function as the key player in the submission of financial and Z7 W0 `; D- S) d& ]
administrative documentation covering the venues to be used in the
# A7 Y) f4 R& O% X$ [$ @compilation of monthly and annual financial statements, and such % E* ]+ U7 i/ Y+ H
other reports as may be necessary.
+ K( d5 k+ T: _$ i0 X. f3 k· To discuss those financial statements and other reports, together
) A' L" y D" d- b+ V) n. L" fwith all financial and administrative procedures, with the SU´s . r2 \$ Y) O+ r4 u. ^

costing systems to be used in connection with the determination and
3 p8 T) R$ L* L% c% [- N9 n2 g- X6 @setting of appropriate prices for rental and staffing rates for S# x" X2 L8 x! n
events held in the Horowitz Theatre.% c+ I& n! h1 J
· To develop accurate documentation to be used in connection with 7 e# t; G& @! X( s
the billing clients, and to forward such documentation in a timely 0 n( `) t$ ^0 `9 V. U
manner to the Accounting Department.

and administrative procedures and systems in a manner which reflects

Manager of Finance and Administration, and in a manner which , G, R; Y8 r$ L' S+ ~
contributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in

! A/ l8 @- A1 J6 G" G4 Yneeds, and contribute to the smooth operation and success of the 5 m# @6 q. J1 L7 }6 t( M6 l' L
venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as ! j- R$ o* _6 t) t1 f
may be necessary to ensure the smooth operation of the venues, this $ ]- y6 E, P- S6 Z8 x7 c: J6 _
is to include but not necessarily be limited to systems and processes
/ ]; a) f" p$ t: v0 W) Jin the areas of contracts, inventory management, contract evaluation, , v' L1 O& o; u y4 c$ ]
pricing, costing, equipment usage, rental/contract invoicing,
( R, ^. i0 Y/ c, B* ~& Ptogether with such other systems and procedures as may be necessary
g4 d' ?4 s# J0 ?+ [- j4 b- U( A) Dto ensure the smooth, secure, efficient, cost-effective and
0 m8 q2 _7 Z8 y" B9 Gfunctionally-effective operation of the Horowitz Theatre.- d9 u9 O1 {8 B" t; i
· To recognize, develop and set in place such operational procedures
0 ]; ?9 H( G: Has may be necessary to ensure the smooth, efficient and cost-
: W6 {' T" T: \( f5 Z$ \* leffective operation of the venues.5 a$ Y" @9 `$ P4 g+ |! l
· To negotiate rental lease agreements (contracts) relating to
0 i K5 P; z6 r6 n7 s( j7 d d: |, r/ |dates, rates, staff and miscellaneous charges.
; X/ y# X1 \* J$ C7 i% E+ ^: }· To ensure that adequate inventory is available at all times and ( ^) Z$ D1 W+ x+ n) t
that such inventory is stored and issued in effective and secure ways.
$ h! F$ G6 s. W( K! P: O· To consult with renters as to facility issues in producing their
6 l3 d# k+ O2 k' R; O3 m5 ~; _! u Uparticular event in the venues.
) G6 R% v: e- l+ y9 C· To provide the venues on-site staff with such documentation and
' X9 Y( S( K8 k _3 M8 Q; c" csupporting information as it may need to effectively fulfill the
/ s. m h; L/ g; j+ hroles they are to perform to ensure the success of the renter´s event.! M' n9 m$ {. R: J
· To produce quotes in respect to staffing costs for a particular
}7 ^2 |( j- S% K9 brental with consultation with the Technical Director.( M/ v9 }& z5 [, b1 c
· To ensure that all queries raised with the venues whether from the
& ]/ c6 e" S/ i' q5 G2 USU or renters, are promptly and effectively handled and adequately & b* w7 f' I! F8 Z
answered, and to ensure that such action as may be necessary in ! e! w$ i1 R" ^! u+ x
follow-up to such queries is taken in a timely manner.
: F$ I9 f/ |- i4 K To ensure that the venues and its capabilities are adequately,
8 m# X1 C% o' W# y; Deffectively and cost-effectively advertised and promoted, and that
9 K# R! h6 d* H$ u9 v) @the cost of such endeavors does not exceed the budgetary provision " E4 l: ~6 M+ {
made for them unless prior approval is given by the Manager of 6 _: c- [, M9 I) y/ {( R' x4 r
Programming and Venues.
' ^/ U! \; L0 _) Z· To act as an informed and knowledgeable resource in the case of
3 L" }% Y6 b: s5 R" x' ~' C- rsignificant challenges and/or problems surrounding the tasks of
p% [; M w& X! \- L) u4 b" xmarketing, administration, operations, and any such other matters as
