financial and operational success of the Horowitz Theatre as well as
. N [3 H: L* I! v% {" M3 v2 ethe logistical organization and smooth rental of the additional . E: z! k; b+ t% q0 U
venues within the realm of the Students´ Union. In the light of that : U% [) m3 S, f( u# ]/ [% w% n( j
breadth and complexity, it is not possible to fully define or
* T2 Q6 l" c0 z0 W1 Tdescribe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

positive way to the smooth operation and success of the individual ' k( {/ A# F5 B8 [8 ?& Y

· To plan the capital and supply expenditures to meet the

To ensure that the maximum potential of renters is met.

2. Marketing and Promotion- A& o1 Q6 I4 q+ r4 n
7 H/ [' G5 J) Q# na. To develop and implement a marketing plan for the venues that ! V' g* q) ~- J( O# ~2 j: d& X
focuses upon advertising and promoting the venue to faculty,
: v+ k2 H5 j( astudents, and internal and external clients on an on-going basis. 4 c- P' H5 D6 m" G5 |4 L
This strategy will include implementing and/or delegating the following:% `% A3 b; J' ^# U0 ^) U( [; v
· To develop and maintain promotional materials, the Horowitz
/ c9 z9 V5 G. {0 y4 OTheatre and SU Venues home page, newspaper and other advertising; to
* j+ _; o' D$ [% L- \take advantage of other internal and external advertising
/ |* M0 J5 Q, B; Nopportunities; and to develop press releases and other promotional
% W' ?3 L, `5 @: J, Wliterature on an ongoing basis.3 a+ X8 d& l, g: C" u
· To coordinate tours of the venues for potential renters.
; y* q9 K& E% k$ [* m! `, H& z· To promote upcoming events in the Horowitz Theatre through the
! k; m% x( y1 N9 Tuse of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities

; p& d0 ~$ g& c0 r7 G3 r3 J, S+ ga. To ensure, at all times, that the venues are adequately and cost-
0 s( j; V( O3 C8 c- ^1 k2 Reffectively staffed, and that the staff utilized by or within the
9 t8 y0 f% `# m1 zvenues meet the appropriate standards, requirements and needs, and 4 s4 s$ L5 B. ^$ A
contribute in a positive way to the smooth operation and success of
+ l" h6 d& I8 K( }' kthe renter´s events. This includes, but is not necessarily limited
( W. S1 U1 G/ t- T% wto, the following:3 w5 v% y" v9 i+ X* o# m- f7 r1 L
· To be responsible, under the direction of the Manager of Venues + {% j0 i% `3 W5 T* P- i2 T
and Programming, for all staff issues including hiring, disciplining,
. |7 }. J& B" s Kevaluating and terminating, as necessary.
5 ] v! Z2 o! z9 q* ~+ v: ~ To ensure that the Horowitz Theatre is adequately supervised at J$ s2 V6 _. e6 ^
all times, this includes the development and implementation of such " K0 x, ]6 t& g: S2 |' k; H
schedules and rosters as may be necessary to ensure the effective and
4 ^* Z7 ^( o9 O lcost-effective supervision of the venues at all times during which it , N" e% V( H3 J% ?7 A( ?- ^
is in operation or needs to be in operation.
) W% [" M8 V; @· To work with the Technical Director, when necessary, to ensure 9 x* v8 ]4 {: y' l( V! C- C
that an adequate and appropriate level of part-time staff exists to # v9 [/ [9 t K
facilitate the smooth operation of the venues and to ensure all
) ?5 S0 M5 y2 e! }% f( Irenters needs are met.0 E2 i. J% D3 j3 d5 V
· To work with the Technical Director to ensure that the skills
/ ^7 K2 A, s! ?' Q- land attitudes of all subordinate staff are appropriate in light of |& g- |' A9 y! a9 H5 W# J: A
the roles they must perform. This includes providing adequate and
; i: o4 S8 B2 F& A3 Z( Oeffective training (and re-training) in all applicable and
- L& n- U& X: bappropriate areas, and ensuring that the Policy and Procedures manual 5 m! h- z/ N) A# a
is kep up-to-date at all times.8 M1 Y& E- u, S( V! n
· To ensure all staff are trained in and committed to providing
( W$ l: Q; Y, o% Z* O3 Fexcellent customer service to all renters./ H; F- S; n( X' X) O! o" P
· To work with the Technical Director to arrange staff 2 |* V9 a2 e9 J' ?* [6 ]( \4 X0 C& [
scheduling. To handle payroll related matters, under the guidance
: m/ I" N/ H# [8 l" Mand direction of the Manager of Venues and Programming, concerning 2 F/ k) k3 V0 {. `' v: F/ g

· Working with the Manager of Facilities and Operations to ensure * u) m6 ? u9 b8 k
the appropriate setup/tear down of each venue.! U- b$ J5 t; O- q3 i2 w' r
· Working with the Manager of Programming and Venues to ensure
( x* L4 r6 O7 m& E) kthat additional requests such as licensed receptions are arranged.5 d4 B h* R8 N0 O
& ]( }- D7 e7 ]" u" W0 M/ H' x# ]; r% g5 Q% F7 w( s2 O
4. Overall Financial Performance$ {+ | E0 o4 b: t. l* g3 q$ ]! g6 J6 H
2 U+ K3 Z$ m3 pa. To ensure, at all times, that the Financial and Administrative " z1 B9 L1 l8 I% J5 N# o
systems and processes utilized by or within the venues meet the . F- k) Z# ?; q3 |+ Q& i" m! G4 [
appropriate standards, requirements and needs, and contribute in a + n5 a! W) o3 M! N
positive way to the smooth operation and success of the venues. This ( B7 g4 H$ A5 B3 R/ `3 f' Z: D# x
includes, but is not necessarily limited to, the following:9 G+ g4 T; W$ O
To provide input and expertise in the formulation of appropriate : k8 D" l1 @" c8 \7 F9 k3 [
operating budgets covering the venues to the SU´s Manager of ; r2 J! {7 V/ `
Programming and Venues and to discuss and refine those budgets
$ e* v! Y6 K6 N; QManager of Programming and Venues, and Manager of Finance & ' [/ H5 F8 i, N0 ]6 \2 \2 }1 r
Administration prior to their submission for final approval.
# i" F% [$ c+ f* ^- Y7 T' \· To manage the venues in a manner which adequately and effectively
$ \1 |8 m; ~3 H8 n( areflects the budgets approved for the venues and/or which reflects # i$ B% _/ N+ _5 ^
the best interests of the venues and the Students´ Union.
* Y$ _& ] P. ~· To function as the key player in the submission of financial and l) h0 C, s, J1 d1 f
administrative documentation covering the venues to be used in the + y& a; N2 |! _7 \
compilation of monthly and annual financial statements, and such

with all financial and administrative procedures, with the SU´s

: A- J* G8 h) l, m' p/ ]& N& mAdministration with a view to determining and implementing action

· To ensure the existence of adequate, effective and accurate job

) q3 z8 z# N2 D6 B( C3 q0 H7 Ksetting of appropriate prices for rental and staffing rates for

· To develop accurate documentation to be used in connection with 1 a/ J: o: j, Y/ p7 |3 x
the billing clients, and to forward such documentation in a timely : u6 e# K! M( h+ k0 @ o' t

· To recognize, address and handle all matters relating to financial

5. Overall Roles and Responsibilities: m; u1 u* c' L# @1 s# L
a. To ensure, at all times, that the systems and processes used in
9 d6 g) V9 Q w" }, `renting the venues meet the appropriate standards, requirements and
* O. s2 D4 I& s# f1 Tneeds, and contribute to the smooth operation and success of the
, q$ _- ^2 F1 c3 X0 svenues. This includes, but is not limited to, the following:
5 ^$ ?7 e& A7 q" [, V1 y' h( t- k: I) D+ G V2 Z" Y5 E* Z8 i
· To recognize, develop and set in place such rental procedures as * ~ L {7 @ W9 @' S% z
may be necessary to ensure the smooth operation of the venues, this
% b' J/ g' o, G: {is to include but not necessarily be limited to systems and processes . T# m' u. h2 a4 k4 H6 B
in the areas of contracts, inventory management, contract evaluation,
8 a2 T( W% @4 t' }6 ~pricing, costing, equipment usage, rental/contract invoicing, # S$ ^5 K% F4 q& B; E, f* ~
together with such other systems and procedures as may be necessary
& R6 r7 F a: E9 lto ensure the smooth, secure, efficient, cost-effective and
5 v! x4 C# \3 o7 q8 Nfunctionally-effective operation of the Horowitz Theatre.4 ^' u4 b& ]& X4 @) _1 J: V
· To recognize, develop and set in place such operational procedures
% R; ^, X [9 t; O& P% G- z2 `3 u# Was may be necessary to ensure the smooth, efficient and cost- + E u) B7 S5 c8 n. E* ?4 C$ u/ T2 F

· To negotiate rental lease agreements (contracts) relating to
& a9 C( q' m' |. c0 idates, rates, staff and miscellaneous charges.
7 `/ e* T9 z4 ~" e9 I5 Z· To ensure that adequate inventory is available at all times and 0 p. b1 m L: R3 s5 n
that such inventory is stored and issued in effective and secure ways.
# S. K0 s6 k% |, n· To consult with renters as to facility issues in producing their
' P7 T7 G5 g* i" ]* \+ w9 |- Y" u. ]# Aparticular event in the venues.
/ B- n# [) {7 C/ Q/ I% X" ~% R t· To provide the venues on-site staff with such documentation and
! O& \( R0 U# p% @" dsupporting information as it may need to effectively fulfill the
, E9 I) E. r* Q; ?6 Xroles they are to perform to ensure the success of the renter´s event.
# x, Y# K9 }0 Z. o9 t5 R3 k2 `8 W5 W· To produce quotes in respect to staffing costs for a particular 8 f) E/ L1 K. ` A
rental with consultation with the Technical Director.
) V* h0 Y9 X' W! `2 r% T· To ensure that all queries raised with the venues whether from the 2 t# @! U8 J" K9 s
SU or renters, are promptly and effectively handled and adequately 5 @4 H/ N; X8 x- }+ v* \8 X1 L4 `) ^* Q
answered, and to ensure that such action as may be necessary in
& d7 W, P6 S' E3 Ofollow-up to such queries is taken in a timely manner.
" w' v5 `( E" x& s+ _0 o! I6 X To ensure that the venues and its capabilities are adequately,
; a' M5 M+ R' U/ e7 w, leffectively and cost-effectively advertised and promoted, and that
5 ^+ G2 }! M* D/ _ gthe cost of such endeavors does not exceed the budgetary provision x8 E7 |/ ]& f7 n" o
made for them unless prior approval is given by the Manager of . S+ J6 ?, Q4 A z0 v. w
Programming and Venues.
9 }1 B1 r# d- r, F) k$ s- |· To act as an informed and knowledgeable resource in the case of , l6 r$ m' Z* O* S! K _
significant challenges and/or problems surrounding the tasks of 5 b6 s& c! R$ ?8 j
marketing, administration, operations, and any such other matters as / F8 e# c% U3 G
may provide such challenges and/or problems.

1) Minimum two years related post secondary education, or
