financial and operational success of the Horowitz Theatre as well as . e( G4 l8 ^/ ], a
the logistical organization and smooth rental of the additional ( }4 L# }1 e) t
venues within the realm of the Students´ Union. In the light of that M2 d- ]. \; ?- x
breadth and complexity, it is not possible to fully define or + C% ^8 p3 T7 ?3 f

a. To ensure, at all times, that the venues listed below meet the

· To ensure the day-to-day compliance of the venues with existing

a. To develop and implement a marketing plan for the venues that ! r' |9 P- k- e3 n& q
focuses upon advertising and promoting the venue to faculty, ; T9 _3 L7 b% I; u5 J. f/ S
students, and internal and external clients on an on-going basis. 6 D# g8 U& @& D9 o5 x" r6 ]
This strategy will include implementing and/or delegating the following:7 O6 Y5 s5 _# a
· To develop and maintain promotional materials, the Horowitz 0 h3 y6 \' W1 ]+ S4 f( a% \% l: ?- u3 T
Theatre and SU Venues home page, newspaper and other advertising; to # P& ^* I( E8 b& _
take advantage of other internal and external advertising
+ K( {3 r) \* o" vopportunities; and to develop press releases and other promotional
% u% w. b: A0 Q+ B- E: E( l. Mliterature on an ongoing basis.
; X7 N7 O$ w# s· To coordinate tours of the venues for potential renters.

8 H8 b% u2 J2 u7 z* x6 F3. Staff and Supervisory Roles and Responsibilities

4 ~+ d8 n9 G" `7 ?7 p. Q9 ea. To ensure, at all times, that the venues are adequately and cost-
Q- e4 t! c# }1 b8 g1 Xeffectively staffed, and that the staff utilized by or within the
) K2 }& Z, T. N( Uvenues meet the appropriate standards, requirements and needs, and ! E0 t# c& a# f/ B2 t0 {* B
contribute in a positive way to the smooth operation and success of
6 k m g. t. b! P. E" N9 d& Fthe renter´s events. This includes, but is not necessarily limited : D9 u5 v# x5 s6 J# C- R
to, the following:
& W2 P/ ], @; i) F· To be responsible, under the direction of the Manager of Venues
# e5 Y4 W2 \3 v; y/ M1 \- b, Yand Programming, for all staff issues including hiring, disciplining, & h" w6 D) X( k8 J
evaluating and terminating, as necessary.1 |' Q; Y6 P1 D& h6 U/ x# r
To ensure that the Horowitz Theatre is adequately supervised at
- b% i# F6 y* T& v% Tall times, this includes the development and implementation of such
- x& ]- H! d9 R8 K+ yschedules and rosters as may be necessary to ensure the effective and 5 J9 m4 P- r4 g, @ N# M
cost-effective supervision of the venues at all times during which it , A! O0 ^! [( L/ Q' g7 a8 o
is in operation or needs to be in operation.+ I. X! v P$ T8 L5 p+ P; m
· To work with the Technical Director, when necessary, to ensure
* O$ h- w# L5 j$ E+ j, }+ ]6 o7 Ethat an adequate and appropriate level of part-time staff exists to d6 E# Y/ v, F4 I( @0 F! F4 a
facilitate the smooth operation of the venues and to ensure all y0 b- _0 Q8 q. b u
renters needs are met.$ C+ X- [" v" e$ `1 K
· To work with the Technical Director to ensure that the skills ! g& j4 l1 w; M3 Q& M6 u
and attitudes of all subordinate staff are appropriate in light of
/ A! T1 x7 M, J3 [" I8 i; W+ Dthe roles they must perform. This includes providing adequate and 5 [5 {2 A. k# h4 p* C3 R6 e
effective training (and re-training) in all applicable and
1 O2 ? R+ P) D; Happropriate areas, and ensuring that the Policy and Procedures manual $ Q9 A+ q D7 E* Q
is kep up-to-date at all times.

excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance
) x" o2 t+ [6 Qand direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure ! L, @$ v7 N+ d/ h( x- O
the appropriate setup/tear down of each venue.3 c3 }, W* h. k
· Working with the Manager of Programming and Venues to ensure ' R4 g% D& r* _7 D
that additional requests such as licensed receptions are arranged.% g: u( F9 m" L* E8 j2 M' G

a. To ensure, at all times, that the Financial and Administrative

( c+ @0 M0 F! d7 n+ e+ m& P0 N happropriate standards, requirements and needs, and contribute in a
! n% _& U' e3 l0 V6 c0 wpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate $ J( f( h4 e! G H
operating budgets covering the venues to the SU´s Manager of
; z; v+ S' ^; p) |- o a# XProgramming and Venues and to discuss and refine those budgets 0 a7 s7 J5 J+ m/ U7 l( {
Manager of Programming and Venues, and Manager of Finance &
7 u5 w; i* e! s& S: Z( v$ ?1 C8 k# ? xAdministration prior to their submission for final approval.3 |6 K8 O I+ A+ Y
· To manage the venues in a manner which adequately and effectively # \1 f1 v% _9 d/ M8 O
reflects the budgets approved for the venues and/or which reflects
$ u' [( E' y- N8 b0 V( Jthe best interests of the venues and the Students´ Union.) d! }/ ?3 X% p1 h9 t, r' G6 M6 S4 M
· To function as the key player in the submission of financial and ( H; P" P0 d* L7 f* ]6 ?
administrative documentation covering the venues to be used in the * M1 u- N7 V8 J* l1 J8 _5 Q$ D8 ?
compilation of monthly and annual financial statements, and such

with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action

· To ensure the existence of adequate, effective and accurate job 5 D2 F+ D; T! i* X* M5 }* |
costing systems to be used in connection with the determination and
3 J! e9 r- S8 z0 ?2 i% R( U3 Gsetting of appropriate prices for rental and staffing rates for ( r$ O, C, g o% Q8 n6 ^ {1 E
events held in the Horowitz Theatre.
8 S P3 U6 i) O- ]- v7 @· To develop accurate documentation to be used in connection with ( @) O% Z! E, e9 X% L4 Z& d& x
the billing clients, and to forward such documentation in a timely
5 U: R; e' G" M9 Q3 umanner to the Accounting Department.( E$ u# _) ]& a1 ~! `
· To recognize, address and handle all matters relating to financial
/ e. _0 i0 u+ |" Z Iand administrative procedures and systems in a manner which reflects

a. To ensure, at all times, that the systems and processes used in 3 I4 e K! ?' g7 o/ Y# O @, E
renting the venues meet the appropriate standards, requirements and
) K$ |/ f& `. M. Mneeds, and contribute to the smooth operation and success of the
& r/ O# [$ Q( a9 v/ Bvenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as

in the areas of contracts, inventory management, contract evaluation, ! H0 r$ P% Z! n k. z5 |- x. y; h
pricing, costing, equipment usage, rental/contract invoicing,
# s X2 V r4 Rtogether with such other systems and procedures as may be necessary
6 G& N9 w% Q( I. i6 h7 ^. n4 [to ensure the smooth, secure, efficient, cost-effective and
9 T8 o$ I0 q; c! Ffunctionally-effective operation of the Horowitz Theatre./ t( j. E* P) A7 y
· To recognize, develop and set in place such operational procedures
8 d4 P2 v. _( p8 m y% uas may be necessary to ensure the smooth, efficient and cost-
5 V; |7 i* e. u. l" y# P' Q2 R, qeffective operation of the venues.
+ `# k( _6 y4 ?5 O8 L- ?) o· To negotiate rental lease agreements (contracts) relating to 6 @0 x* N. [+ ?3 G; L: m+ n. u
dates, rates, staff and miscellaneous charges.
8 l( L& L2 f3 i! |/ `$ @! C8 L· To ensure that adequate inventory is available at all times and

· To consult with renters as to facility issues in producing their

· To provide the venues on-site staff with such documentation and
0 v$ L8 h2 g q) g8 h1 Dsupporting information as it may need to effectively fulfill the 1 G0 m( A: n- l
roles they are to perform to ensure the success of the renter´s event." I( K( N6 X4 P3 `9 ^, b% k% s: x
· To produce quotes in respect to staffing costs for a particular
/ X- G& A/ _! c& C2 t' A8 Vrental with consultation with the Technical Director.4 ?, G, g& k0 p: {( Z: l: e4 L% f9 }
· To ensure that all queries raised with the venues whether from the
2 \$ \7 H" k1 A8 ~- @/ _SU or renters, are promptly and effectively handled and adequately 2 e. H3 r/ A' x+ p6 @/ z6 D$ {
answered, and to ensure that such action as may be necessary in
- y- w% F6 q* R7 |) v5 C) l+ R. \follow-up to such queries is taken in a timely manner.- h- b5 j4 w( F% \
To ensure that the venues and its capabilities are adequately, 4 {" w5 j _- h! T
effectively and cost-effectively advertised and promoted, and that 2 J- i. A1 a3 t. I1 F' z N+ f1 j
the cost of such endeavors does not exceed the budgetary provision
2 K0 ]4 j" a. \8 U/ o$ U9 xmade for them unless prior approval is given by the Manager of
: j$ R- A8 X3 v+ n0 E |Programming and Venues.
( y* n m5 b1 W3 }( L· To act as an informed and knowledgeable resource in the case of 2 n" d* C$ s& c0 T( ?
significant challenges and/or problems surrounding the tasks of 8 A | ?2 A0 {, u$ n* y
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth

QUALIFICATIONS:
