the logistical organization and smooth rental of the additional ) u+ \; {0 Z' d' H/ v" v4 I
venues within the realm of the Students´ Union. In the light of that

appropriate standards, requirements and needs, and contributes in a

a. To develop and implement a marketing plan for the venues that
& u& ]7 E3 R4 U2 _5 @focuses upon advertising and promoting the venue to faculty, 6 d8 e' @# ]+ ?9 p9 Z) Q1 J7 ~5 Z
students, and internal and external clients on an on-going basis.
" k0 B5 X8 H; a% VThis strategy will include implementing and/or delegating the following:
4 r' ~ {0 g9 X& |: [5 Z· To develop and maintain promotional materials, the Horowitz
# R ]; D' d: c" r bTheatre and SU Venues home page, newspaper and other advertising; to
0 o% e d# @& ]5 }take advantage of other internal and external advertising , V; q* ~' Y% F, _9 J' |
opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.
! T5 u, l4 W5 [8 O; n" o+ v· To promote upcoming events in the Horowitz Theatre through the 6 S5 f2 c T$ T( g2 R! P/ P
use of the Horowitz Theatre Home Page and the SU Events Calendar.6 a& ]1 s2 n5 t+ H9 i
· To develop new external clients for the venues.

/ g: X( M8 o! f- v% n+ z3. Staff and Supervisory Roles and Responsibilities: [' B& S" O4 H" q' g5 X/ U

a. To ensure, at all times, that the venues are adequately and cost- 8 p, @: M5 J" N3 T9 C$ G( `6 {
effectively staffed, and that the staff utilized by or within the
( \+ F# T( U& `5 E1 k% Cvenues meet the appropriate standards, requirements and needs, and
- @6 L5 i5 y" qcontribute in a positive way to the smooth operation and success of
' i; [% i4 v- L/ C6 _% E: tthe renter´s events. This includes, but is not necessarily limited 0 Y6 v6 d' `% H, H. B
to, the following:
( t( b* o, @7 _: l: Z· To be responsible, under the direction of the Manager of Venues 9 Y- F1 ?4 }* u* h$ t
and Programming, for all staff issues including hiring, disciplining, 6 g0 A- {1 f3 K; a# b6 L+ u
evaluating and terminating, as necessary.
, M5 @1 S& ]; a2 G0 e; f) m4 S To ensure that the Horowitz Theatre is adequately supervised at
" z! N& j/ I9 c j; ?" y$ ball times, this includes the development and implementation of such
6 y' D2 G7 O+ e% W1 R% O( eschedules and rosters as may be necessary to ensure the effective and
/ c2 Y9 ?3 i0 @3 t& ]cost-effective supervision of the venues at all times during which it 3 V) Y/ s. `4 y! R: R
is in operation or needs to be in operation.
# Q2 W' o* l1 f6 U* l0 \9 O· To work with the Technical Director, when necessary, to ensure ( D1 } h! d% }1 h1 f% {; E
that an adequate and appropriate level of part-time staff exists to

renters needs are met.

and attitudes of all subordinate staff are appropriate in light of & z7 T0 g% F% s4 Y2 P5 C
the roles they must perform. This includes providing adequate and
* h1 f+ F1 P' `, s' veffective training (and re-training) in all applicable and
; ~5 C; g# F# R% }5 D3 d* I. happropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing

4 u( m' ^0 B& }1 q9 n( \" h8 zscheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Facilities and Operations to ensure % t4 I3 o+ d, ] w; Z, {4 F
the appropriate setup/tear down of each venue.

appropriate standards, requirements and needs, and contribute in a
, q: V& t: O2 ypositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate 0 V' t; A! M( r. u( O) x/ _
operating budgets covering the venues to the SU´s Manager of 6 S* O t" `+ z8 ]/ n; z
Programming and Venues and to discuss and refine those budgets + v, r5 w0 R$ Z( z; W
Manager of Programming and Venues, and Manager of Finance & : i/ F' C+ g; U; q. {
Administration prior to their submission for final approval.4 y1 `/ O# W! D6 y* A, [
· To manage the venues in a manner which adequately and effectively
- l/ Z: H& [. M& z6 d" Y# R( dreflects the budgets approved for the venues and/or which reflects

3 M1 @% P H) H- a" B· To function as the key player in the submission of financial and
3 l# S7 U) Z$ |/ [, y$ t2 z, Fadministrative documentation covering the venues to be used in the . _3 h! E! d' I2 J; e3 q
compilation of monthly and annual financial statements, and such
* D, N5 @$ R' dother reports as may be necessary.

with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action

the Horowitz Theatre.

costing systems to be used in connection with the determination and ; ]5 |- l: V$ w* n1 Q! G
setting of appropriate prices for rental and staffing rates for 3 v7 N0 S- j/ o% j, B1 u7 Q2 |0 S
events held in the Horowitz Theatre.. i9 R# E( G- e- y
· To develop accurate documentation to be used in connection with * k/ U+ ^& n- |, h7 u
the billing clients, and to forward such documentation in a timely ) _: g5 I8 y1 Y9 `, f) F O
manner to the Accounting Department.
& h) X2 G9 P3 [: G/ v a· To recognize, address and handle all matters relating to financial
1 r1 X a, w: f2 fand administrative procedures and systems in a manner which reflects

5. Overall Roles and Responsibilities
7 b, o" O# x6 x3 Ga. To ensure, at all times, that the systems and processes used in
! L8 f, O3 ?/ D3 v. Q3 O5 krenting the venues meet the appropriate standards, requirements and

venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as

is to include but not necessarily be limited to systems and processes
* l6 J; p! N/ f8 E: Kin the areas of contracts, inventory management, contract evaluation, 2 B9 o2 b" S5 O O; C) @
pricing, costing, equipment usage, rental/contract invoicing, ! o& H3 J4 V5 \' b' C2 ?
together with such other systems and procedures as may be necessary
% x, h/ U" G: Z/ ^, P% ^( q/ Oto ensure the smooth, secure, efficient, cost-effective and 3 N) x4 K% t# V- ~, [
functionally-effective operation of the Horowitz Theatre.: t- E- a+ a0 u: l
· To recognize, develop and set in place such operational procedures
( V' @0 i& k" G1 U. Aas may be necessary to ensure the smooth, efficient and cost-
) w+ V6 h4 ~" h4 A$ Beffective operation of the venues.! a6 I3 i% j: j
· To negotiate rental lease agreements (contracts) relating to 6 A/ {" c4 q' _% k/ v
dates, rates, staff and miscellaneous charges.( [/ Z+ k6 H3 l; R6 G* N6 B
· To ensure that adequate inventory is available at all times and & i! N+ o5 L- n
that such inventory is stored and issued in effective and secure ways.
2 n. U( P! N1 j% J) e· To consult with renters as to facility issues in producing their
- s" C0 W) ]& `particular event in the venues.
4 T9 {. r! G" [0 b- r1 b· To provide the venues on-site staff with such documentation and
" r2 f, l1 F \& b* j1 i) l5 x$ Hsupporting information as it may need to effectively fulfill the ( X4 W& k3 ^+ e9 z
roles they are to perform to ensure the success of the renter´s event.
. [7 O4 E; A; n: T+ S* s7 b8 c: C· To produce quotes in respect to staffing costs for a particular 6 Z6 P( o* ^; O% f+ {7 |% a
rental with consultation with the Technical Director.! [3 D, C; H m; }
· To ensure that all queries raised with the venues whether from the , x- b( l7 u0 E
SU or renters, are promptly and effectively handled and adequately
% W- ]8 e4 a K% manswered, and to ensure that such action as may be necessary in # Q: W& Q/ f! {( V$ [; m
follow-up to such queries is taken in a timely manner.
i8 E1 U/ C$ J; I To ensure that the venues and its capabilities are adequately,
6 a, V! t2 T2 ^6 veffectively and cost-effectively advertised and promoted, and that % c8 N) K) A( \) R3 n7 R) D- C) R0 \
the cost of such endeavors does not exceed the budgetary provision 6 g. w# \. Y8 J. P5 m* M5 ?0 r
made for them unless prior approval is given by the Manager of : b) A, t/ N( `# }7 D
Programming and Venues.
3 G. P5 q: @1 Q* A/ r) W· To act as an informed and knowledgeable resource in the case of ; U) M- _+ }) u! D. E
significant challenges and/or problems surrounding the tasks of
. a0 {2 i1 X; {marketing, administration, operations, and any such other matters as
7 b* I$ d$ Z5 N$ ^1 @* ]may provide such challenges and/or problems.
) }& ]8 y- Q9 i% ]% i· To attend such meetings as may be required to support the smooth

Manager of Programming and Venues in order to ensure the smooth and
