Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

; S1 l5 y% }) ?% g2 [; ?; hCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.7 R' u  a6 ~4 u# D" B* ~! z

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' t; M: A; L/ E( ~5 C7 q

! L3 v2 @+ e* c3 o( T; w• Complete data entry in various programs.1 Z  C& I. m8 m$ w$ p8 i

, G  k- u; v/ [) R5 A8 L• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

5 n6 y7 `! O3 {1 y. P# ?• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes., G0 n/ e6 A, d( l3 X1 ]' ]$ W

1 y* k! T( e0 ^9 u6 ?9 I. s• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

! F% P- t$ P) u3 p' K7 O- B• Perform financial administrative duties as required.

/ V2 Q8 F' r+ u  D5 [International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.
% j; I/ n+ H9 R4 g0 g7 r% B0 o, y4 P! U
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

4 ~: y# I/ L: u$ j• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

2 g: _; {9 m; D5 S• Support the promotion of CFCA events in Alberta through online and print publicity resources.

5 F" E. k0 C6 m1 P! d3 |• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.7 K2 n  c* |" Z

• Manage database and support distribution of print publications.6 \% u9 d0 J$ l3 O. O8 r/ R

- q; p8 u+ _* R' w' L& V• Provide administrative support for public engagement events and mail outs.- B5 x7 M' n  U2 v, p0 y0 P4 ]

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions

: P) Z& ]2 r! G5 @: ?1 f4 q! D• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.) c5 ~6 g3 J) a; p

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

: `* l) h; i# B' T• Support logistical work required for CFCA’s Annual General Meeting

, C' e4 x6 J$ ~5 h& s! o• Assist in administrative tasks related to donor recognition and event reconciliation as required.6 |" v5 ~+ D! {6 @$ F, @3 _2 _

" Z0 ~2 q/ r' B" P4 E9 t" c. LSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
