Program and Administrative Assistant

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

) E" c8 |) R/ d/ l• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.# H4 r0 C7 x% r# P0 a4 @7 ]

4 }1 S7 f$ N* M% O• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.' t6 G1 Y$ a6 E+ o

. A! G. p; L- X5 q8 x• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.  y* `, b5 P: `

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.3 s3 m4 ]; B9 g

$ E! m, K% Z7 [; R- a, k) e0 c• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.9 N1 S( f; W' L* h7 E6 ~! m

• Manage mail outs for fund development or education purposes with support of Program Managers./ ~6 b  v  m: `; U

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

% B/ Y# Q8 A. s3 f* b+ x$ G8 z& \% X• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.: M' e( X3 P3 z, H$ y  y

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

5 n- l7 D* V* _7 v' Q• Compile information packages for fundraising and promotional purposes.

: ]0 p9 c' T: s• Manage database and support distribution of print publications.! a7 h" s' \6 _- j/ N

• Provide administrative support for public engagement events and mail outs.

+ [1 b+ q; e, f+ a/ F+ V• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

. t; b! B7 |3 L2 ^• Provide logistical support for key fundraising events such as silent auctions$ l& l' ~* H& O  E$ i

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.2 q4 J" B2 u2 ]. s

+ y+ I# N: R# U# h. d8 g• Coordinate volunteers for some fundraising events such as Casino and annual sales events.1 }. H1 `$ j) X& M, A+ V/ i

) S5 e) Q" r7 }! i3 d1 p8 @" {: B6 N• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.' R1 H1 G- U/ u0 Y  N0 W

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
