Job Duties / Responsibilities
, m( Y, ?* ^( \; \1 O8 U5 @( A1 [4 E4 j• Preparation of meeting agendas and taking minutes as required./ S9 J8 v$ g' r. x% Y$ w
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
, H2 G( v+ O$ J7 q- B! `• SAP match reporting and monthly management) ?( }4 k3 @  o7 s; n% e. a3 h
• Responsible for coordination and organization of office needs and supplies.
4 `3 ]$ d$ V. f0 d) _• Organization of company functions/luncheons as required.5 U) h( o/ N0 b
• Coordinate network ID / requests for new hires, internal orientations.
3 Z- Q. |4 l3 ^3 r& L• Train new Visa card holders ¿ Visa Administrator.
( r% R; e9 W0 n% x  S& j• Preparation of Monthly Visa Statements.
2 z+ z) X* f' |, h: b. \* k, f• Order business cards as required.1 ]/ M' s$ l+ N& K. S. J+ O
• Maintain contact list, employee files (including expenses)
( c! p& e/ U; _& ]0 X: r4 u• Prepare travel approvals, books accommodations / meeting rooms / luncheons.
8 M# e! p0 D! w9 |. `* @. R# y• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.
5 N* E6 \; s1 u- _1 q• Vacation relief for other administrative staff.
+ W# o. e4 G* M1 A* n7 ^• Preparation, organization and record keeper for Maintenance Department training
5 V6 T+ J" a, Q. c

" D# p! W& e2 K6 b- _Education / Experience
! ], e3 M, g& E% B• Grade 12 or equivalent# `% m. `* e7 g+ Z$ @
• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)+ T& _) N# h6 ^  m, Z: S0 }$ U
• 3-5 years of related administrative experience% w8 ]$ |4 S- x
• Keyboarding Skills ¿ 50 w.p.m or greater
5 `$ R8 I5 {6 }! h$ C7 L• A high level of discretion, confidentiality, and reliability is essential. % R% ], ^" p3 P
• Attention to detail is required. ) z; Z9 `0 e( }4 H# [4 x. C# Q
• High level of customer service skills is a must.
2 f2 x" L( G' ?• Good planning and co-ordination skills.+ D- \1 g3 K/ L+ \* f  s* a
• Shorthand/Word processing skills.
; R! E/ h  V" n& ], X4 u• Business Administration Diploma or relevant certificate would be considered an asset.
3 v" x$ f, |' q1 k• Prior work experience with SAP is an asset.
