The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.- I: }1 b% {. [3 Q3 W9 A8 l

Job Responsibilities:
8 P- r" U* b% [5 k" F9 k0 y  y8 ~% E# H% _9 e
OPERATIONS
+ s8 d6 v8 E+ x: s•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
$ c0 j* S, }2 a0 h: R•        Assist in development and implementation of policies and procedures for volunteer services.7 U& l$ u* K# o, S, E' a0 y
•        Maintain the volunteer files and update the database using Raisers Edge' H. ~7 {% o3 A0 l0 w! {! l
•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
0 ]; K& ^8 ^/ Q6 v0 w•        Develop and implement a comprehensive volunteer recognition program.0 g  e' B& R- G; B  x
•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.9 R5 v! ~4 p. D! l8 o2 B- t: y
•        Identify and implement best practices in regards to volunteer development.
" p6 v  `: ~3 l: ]. R, R•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities) {5 l3 w' u, ]
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required* L- F  }/ U# U8 G4 l0 k( M' U

SPECIAL EVENT PLANNING
  {' |$ Y" ^2 A) s1 T•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
6 t- X/ i( r2 y& R/ R/ ]•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

$ N  r: e8 N8 g3 N% z4 NADMINISTRATION: j( \; m( {( x
•        Develop and maintain job descriptions for each volunteer position
2 [  w1 }8 T* @, C% \0 s•        Maintain secure volunteers files in accordance with privacy legislation5 b' y4 F' F1 I, l) X/ O8 Z
•        Provide feedback on volunteers’ performance, as appropriate
% Z& }5 Q) D& v+ B+ [•        Ensure Human Resource policies and procedures are adhered to within the department: N6 ]/ C3 [: x% ]
•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
3 P( _: H6 W* o6 c4 i0 C1 {1 Q•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
! N! h0 _5 D- X$ }; q: R1 V2 q•        Develop resource and orientation materials for Volunteer Services
5 r+ ~  q" s$ M; E4 A•        Maintain monthly and yearly volunteer statistics for reporting purposes+ g6 d% Z8 z- U" k7 v3 \/ L1 |4 N
•        Prepare a regular monthly program report, Q. p8 v& O9 L5 R! M1 p- o! W

FINANCE
$ f/ @) J$ d5 o0 e* I•        Ensure the program operates within approved budget and be familiar with potential variances2 D! R# X% ^" G" B2 K
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS
7 n4 h1 i6 H4 L2 H8 o•        Act as liaison to the Y-Knit group of volunteers
2 a; m: M2 X5 q% I! r•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta): e3 E' E2 \( Y9 G
•        Follow up with correspondence to outside agency volunteers as appropriate $ H9 E9 R2 w' b
•        Attend external functions such as volunteer fairs, trade shows, and special events as required: p0 @2 o- v. [& l8 w- e

1 k" o7 X5 W' F0 ?8 ~Qualifications:  x; t/ o( A; e( I  H' l% q# O
9 O0 k2 q- ^& q. P' h, `
•        Minimum 2 years experience in Volunteer Coordination
  e$ S/ n; i  y& @/ _( F•        Excellent organizational skills and multi-tasking ability
% I  v; q/ p# w1 |* t•        Demonstrated superior volunteer supervision skills. H$ ?" B# \1 i/ |
•        Collaborative working style and excellent interpersonal skills
5 {. B1 ^$ t% |•        Ability to work to meet deadlines and to work under pressure
  j/ X, d2 k, x, R1 d•        Ability to work in a team-based environment, with cross-functional work teams on projects ( x7 T! D: w* [
•        Sound judgment and ability to maintain confidentiality$ W! M3 M6 }0 w8 Y8 q
•        Knowledge of Raisers Edge software would be beneficial
