Position Title: Receptionist/Immigrant Services Worker

Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. # C; ~& C; I% h& r/ z7 O

• Answer incoming calls and route calls to appropriate person% D0 A# c3 P9 k/ E
• Take and deliver messages to the staff of ASSIST
6 Z* }+ y! ^6 ]0 r• Welcome clients and direct them appropriately2 x: o' T& H0 Y# m! {" R9 N2 p1 Y
• Order and maintain office supplies for the front counter$ m" n/ E# r$ j3 D3 p
• Perform general clerical functions such as photocopying and faxing documents
5 J2 b$ U% w' X6 g! W) e• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker* ?. {) X c- A# ` r
• Maintain and update the information boards with upcoming events% q$ U1 a/ k0 \) L
• Assist the ISP team in reminding clients to appointments of workshops or other events
' _. }: M" l/ R' j) \• Keep the reception area tidy and clean
( m; A# Z" c" I5 N7 u; }) {* c• Attend meeting and training to stay current on immigrant settlement matters4 ]7 g( @6 R' k0 A' b
• Maintain front counter service files/ }' }/ L! M( r. M Y8 q( x
• Perform general office duties as assigned. o j4 P9 T4 W. i5 p
• Report to ISP Program Manager

Knowledge, Skills and Abilities Required:! A/ T5 I* L+ K* K9 U
• Excellent communication (verbal and listening) on phone and in person
$ y5 o7 K3 S, [/ j+ k) x• Fluent in Mandarin and Cantonese as an asset
' {0 \' L! Z4 C: z; C• Good English writing and oral communication skills6 v, ]6 S: X0 q: L
• Ability to work with newcomers and general clients6 i1 ?8 h5 w/ T, ^
• Microsoft Office operation skills- Excel, Word, Outlook# s) A7 Z P( M: Y( v0 C
• Ability to address multi-task and set priority appropriately - n% T/ }4 U* }+ W c1 R
• Sensitive to the needs of immigrants with multicultural backgrounds+ f* y o, e5 M' ^* u8 ^& U! P
• Ability to work effectively in a fast paced office environment# @1 T7 d o! L3 U, O9 Q* R" j
• Knowledge of immigrant services% k& C( d, \) H9 o! k3 F, K) X

• 2-4 years of office and clerical experience
- U( j) l g4 C3 Z) Z• Receptionist or customer service experience in a fast paced environment
1 y; a9 F( X$ N! ?) l* K• Demonstrate workplace maturity and professionalism
6 t) k5 D( g) D+ k; x• Ability to work well under minimal supervision
