direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
6 a7 j6 T; d$ Y' d4 E& Uextensive, and are targeted at the all round smooth operation and  
6 @7 N( J- G+ I2 ^3 Zfinancial and operational success of the Horowitz Theatre as well as  
) U1 g4 e2 Z0 P! z6 wthe logistical organization and smooth rental of the additional  
; L* \5 m6 k, V( Z; e9 ]8 o( Yvenues within the realm of the Students´ Union.  In the light of that  + b# @0 D3 y1 |6 R2 w' `1 y" H
breadth and complexity, it is not possible to fully define or  
  @% M% ~# b3 G+ m2 F2 N% Ydescribe all roles and responsibilities in a document of this kind.   6 c. }1 ^/ U! l1 y* z! k) x  S8 q5 S
However, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  2 ^  [% D7 q. J: L" D* L7 ~
appropriate standards, requirements and needs, and contributes in a  
) b: L4 p) U# a# Z0 Y% Ypositive way to the smooth operation and success of the individual  : s$ a' I7 g/ _
renter.7 p( J; R2 z3 T9 V
·     Myer Horowitz Theatre
: l' w, h, c/ N6 W# y4 C2 R·     Dinwoodie Lounge" A" U9 ?$ D  z/ }% U' U+ n$ x
·     SUB Stage& C2 _" }7 r; z* B
/ I7 [. E7 `% J/ E
b.   This includes, but is not limited to, the following:: u( ]( B. E2 l! {& P5 }1 k& d1 V; {8 q
·     To plan the capital and supply expenditures to meet the  " @+ m7 a# `" i# q. b6 k
production and facility requirements.1 }: G% P  S' m
·     To ensure the day-to-day compliance of the venues with existing  / {" m, D1 H( J, x" S3 l
safety regulations and building policies.
' u3 x  F  x0 u- S$ p, G' e+ OTo ensure that the maximum potential of renters is met.2 Y8 f" Z6 O9 r2 u1 U1 r$ a

2.        Marketing and Promotion
9 I$ P% f; ]) J5 m- Z6 N) }9 O7 V4 E+ X& m1 S  B" W! {: _. K) c+ {5 y5 R
a.   To develop and implement a marketing plan for the venues that  5 ], V1 ^9 K* V7 X- E& s* V
focuses upon advertising and promoting the venue to faculty,  
+ m) \  U# }: h; M7 t. y" J3 rstudents, and internal and external clients on an on-going basis.  
  H/ A7 G* H( v" `This strategy will include implementing and/or delegating the following:0 o+ Q: F8 C4 i. C) U# M
·     To develop and maintain promotional materials, the Horowitz  
# g; k4 U' ^0 W1 [& e" Q$ gTheatre and SU Venues home page, newspaper and other advertising; to  
8 J5 s8 q. D1 qtake advantage of other internal and external advertising  1 E- R3 E; Q! x& p
opportunities; and to develop press releases and other promotional  4 U. R* o" s+ P7 j: ~1 @
literature on an ongoing basis.
! n' H4 L# X( z" c·     To coordinate tours of the venues for potential renters.
6 ?. I6 ]; l7 Q: J$ w: R; W·     To promote upcoming events in the Horowitz Theatre through the  
1 }3 E* t( R$ @# |! n, Muse of the Horowitz Theatre Home Page and the SU Events Calendar.
  B2 h% ]9 e" N! h' k. \1 w·     To develop new external clients for the venues.4 Z2 N! S- G* ~* N* E+ h* j+ M8 p8 Q

3.        Staff and Supervisory Roles and Responsibilities
- r* ^6 ~8 w% r. D8 i& [
$ @% K, J1 l, R2 _a.   To ensure, at all times, that the venues are adequately and cost-
- C, R4 R: ]& v0 G: Geffectively staffed, and that the staff utilized by or within the  
3 b& c6 s% ]% }5 @6 [7 H5 r! O4 E$ Mvenues meet the appropriate standards, requirements and needs, and  3 d6 I1 U1 T- Z3 D
contribute in a positive way to the smooth operation and success of  
; P+ o; N2 |1 P0 `5 w4 Q7 K, wthe renter´s events. This includes, but is not necessarily limited  
; P% z! B4 z/ d& M  R# i8 Uto, the following:. ~, E# [; j- u9 h! ]" v
·     To be responsible, under the direction of the Manager of Venues  ; Q! V! e, I2 V( t. b
and Programming, for all staff issues including hiring, disciplining,  
5 I$ ~4 n2 f5 u) ^evaluating and terminating, as necessary.
, e( O7 k0 @0 O3 b. ? To ensure that the Horowitz Theatre is adequately supervised at  
  N' x; L6 v! t; J8 D9 X4 F% |all times, this includes the development and implementation of such  : q' d& l1 `, H( i+ A
schedules and rosters as may be necessary to ensure the effective and  , _" d- W  n7 j1 U6 {0 j0 D( p; m
cost-effective supervision of the venues at all times during which it  + Y  A% |! C0 r
is in operation or needs to be in operation.$ _$ K3 c+ u& Q, s5 ^1 C
·     To work with the Technical Director, when necessary, to ensure  1 j- N( X: N' c% V/ M$ T. x6 w+ c; W
that an adequate and appropriate level of part-time staff exists to  & a  b3 s# O# F: \0 H
facilitate the smooth operation of the venues and to ensure all  
8 H% d+ ~. c$ J7 Q3 }7 j  U! crenters needs are met.! d" W7 \. Q1 F: }4 `6 W* t# I
·     To work with the Technical Director to ensure that the skills  ; x* y/ t9 H4 L; u# s) y& D9 L
and attitudes of all subordinate staff are appropriate in light of  / j9 u: {7 }* ]# K; a$ Y- W8 y
the roles they must perform. This includes providing adequate and  
8 b5 V$ K$ \7 u9 Y* Reffective training (and re-training) in all applicable and  3 j1 V$ v9 _) H; t
appropriate areas, and ensuring that the Policy and Procedures manual  
6 |% R# P2 q* uis kep up-to-date at all times.1 ]) G4 E% }  N+ e0 P( {8 y
·     To ensure all staff are trained in and committed to providing  6 d) d1 N4 l( b: G; O
excellent customer service to all renters.
/ l  l2 T* l# Z8 ]·     To work with the Technical Director to arrange staff  $ T4 k9 J- D- s1 C. W
scheduling.  To handle payroll related matters, under the guidance  
- X# W( b, K: i8 m" ]# a0 H2 Rand direction of the Manager of Venues and Programming, concerning  
9 |* Q0 S( h" `2 S' w6 {the staff of the venues.
. O& s* r. t6 H- ]+ |9 y·     Working with the Manager of Facilities and Operations to ensure  
( ~7 c& Z' O2 j& B! Sthe appropriate setup/tear down of each venue.
7 u6 s, R# C; w, _·     Working with the Manager of Programming and Venues to ensure  9 f* V2 X& `1 S5 S0 W$ o
that additional requests such as licensed receptions are arranged.: m/ O* O9 h# ^

4.          Overall Financial Performance
! E; ?  G0 B6 ]8 {2 R! E2 V. w% C7 |( Q5 z. d
a. To ensure, at all times, that the Financial and Administrative  ! D# U/ c$ v  F
systems and processes utilized by or within the venues meet the  
% e: f5 |- M4 D" M: jappropriate standards, requirements and needs, and contribute in a  
8 s: b/ @0 T. C0 W' E' {+ a3 W3 @positive way to the smooth operation and success of the venues. This  
7 p; L6 a) F, j, D! ]; Vincludes, but is not necessarily limited to, the following:
! \# P, Z) T2 {; [" w& R To provide input and expertise in the formulation of appropriate  * Q& \; B; D! ?
operating budgets covering the venues to the SU´s Manager of  + @+ w0 t( B0 }) U
Programming and Venues and to discuss and refine those budgets  ' `  ^2 b* W  j0 {% q3 S* u7 V- x
Manager of Programming and Venues, and Manager of Finance &  
. H9 h# Z8 m0 `! ^* Z  ^# mAdministration prior to their submission for final approval.; }3 `% @5 d5 m( o) P4 R3 X
·  To manage the venues in a manner which adequately and effectively  ; M$ J9 z+ t: R6 _7 U" ~% A; `
reflects the budgets approved for the venues and/or which reflects  2 A8 \: {$ `! n+ J
the best interests of the venues and the Students´ Union.
9 c! G- u/ X6 c) K·  To function as the key player in the submission of financial and  - a0 K5 d3 i9 N) L
administrative documentation covering the venues to be used in the  , Q2 A! S& U/ u7 M$ }" V
compilation of monthly and annual financial statements, and such  
. ?# z) Q0 s1 V( |/ h* u7 c1 xother reports as may be necessary.0 q0 G; a; n9 m) e" D1 D+ X5 |
·  To discuss those financial statements and other reports, together  
- ?- D8 |- \+ P; n/ Dwith all financial and administrative procedures, with the SU´s  + X& `* ?# R' u& ^
Manager of Programming and Venues and Manager of Finance &  $ T. a& U- i6 v3 s! l; v: r/ o! V* H
Administration with a view to determining and implementing action  
! V- P/ p4 v/ ~4 uaimed at improving the financial and/or functional effectiveness of  
. k: _* b8 ?! O- ]  h' hthe Horowitz Theatre.; h4 d; F' U" H3 `2 r
·  To ensure the existence of adequate, effective and accurate job  
" O8 S- L, ]- `$ e6 ecosting systems to be used in connection with the determination and  
5 S% p9 S2 W% v! qsetting of appropriate prices for rental and staffing rates for  1 \( d( a/ y3 O! W& Y  v0 r  U+ O
events held in the Horowitz Theatre.2 G& f) E  ^9 Z$ e" H$ t; b
·  To develop accurate documentation to be used in connection with  + ^$ r* N9 ^: L% C$ H% y. Y( [
the billing clients, and to forward such documentation in a timely  2 u7 T$ Y$ V' h, F  U2 V* d
manner to the Accounting Department.
' L# H1 }8 Y3 r·  To recognize, address and handle all matters relating to financial  $ O/ d  B+ J9 m
and administrative procedures and systems in a manner which reflects  
4 m) ?- }" x4 ^. j5 bthe requirements of the SU´s Manager of Programming and Venues and  
5 z7 B" \7 a9 j6 A$ d* r. F. X7 B( }Manager of Finance and Administration, and in a manner which  
* S) `) c2 i6 |contributes positively to the smooth operation and success of the  
" L; H! A4 n0 r7 O: g; svenues.
4 V$ ?& M4 @8 W) O  ^' R. g
( @" Z1 I# t6 w) s7 k. l+ l# j5.          Overall Roles and Responsibilities
. t2 ?2 u( _8 Za.   To ensure, at all times, that the systems and processes used in  
6 d0 p& i6 e  I  P# u$ F9 B5 @renting the venues meet the appropriate standards, requirements and  
- m9 t* G9 l8 B: J- O6 h; Qneeds, and contribute to the smooth operation and success of the  
& D" E+ D& _$ W3 ^# b; ~venues. This includes, but is not limited to, the following:8 D) |" G1 A7 ^* _/ U8 E& {

* I5 q7 z+ N  `  H2 z4 W·  To recognize, develop and set in place such rental procedures as  , z5 A8 H" `# I9 Y6 v% u
may be necessary to ensure the smooth operation of the venues, this  6 W) q; }4 x* {( D
is to include but not necessarily be limited to systems and processes  * ]/ O# p! Y% O) q1 I
in the areas of contracts, inventory management, contract evaluation,  ' f9 M, r0 z  x1 I  E) l
pricing, costing, equipment usage, rental/contract invoicing,  
% M, {; r% G0 j: U- y; f/ K7 g, F  gtogether with such other systems and procedures as may be necessary  , q9 T4 ]; @; A  {- o6 t
to ensure the smooth, secure, efficient, cost-effective and  
8 k  d0 u1 _4 s' efunctionally-effective operation of the Horowitz Theatre.: s" g5 B$ j! r# W( E; h$ a, ]# N
·  To recognize, develop and set in place such operational procedures  2 W2 B" n! ^4 M% {2 `& I& p
as may be necessary to ensure the smooth, efficient and cost- ; L, u! H2 p% K* s* ]. P) U. f
effective operation of the venues.% {/ h! o, b. \/ @6 v' U
·  To negotiate rental lease agreements (contracts) relating to  * s* |  v3 p' ]! a
dates, rates, staff and miscellaneous charges." r- L* S  G+ `& `6 R5 L* H
·  To ensure that adequate inventory is available at all times and  
2 K+ r; p/ M/ K0 Z$ O- J  {) k) Othat such inventory is stored and issued in effective and secure ways.
8 X4 C( J1 o) e- T# ]5 p8 R·  To consult with renters as to facility issues in producing their  # ~* v6 \( H  S3 j; E
particular event in the venues.& N, w" I: n* i
·  To provide the venues on-site staff with such documentation and  
$ m# m- f# \$ ]5 h' ^supporting information as it may need to effectively fulfill the  ; g2 G2 X- {! a' u  C7 y1 L
roles they are to perform to ensure the success of the renter´s event.
0 j: J( T5 g0 v& m' B% C·  To produce quotes in respect to staffing costs for a particular  4 y$ ^8 D, M1 A; u% R& A# v1 n4 |
rental with consultation with the Technical Director.
6 s3 r8 N  G  i* c4 e' t·  To ensure that all queries raised with the venues whether from the  $ R1 P2 F& o2 L# _' g, s! ^
SU or renters, are promptly and effectively handled and adequately  
$ }2 F  t8 ]( E4 g! lanswered, and to ensure that such action as may be necessary in  8 V4 C, t  y2 L2 Z/ R) r! g8 q
follow-up to such queries is taken in a timely manner.
& a$ d# J3 ^: ^9 ~& x& M/ N8 j1 x To ensure that the venues and its capabilities are adequately,  
6 Q& I5 J9 Q% u; Qeffectively and cost-effectively advertised and promoted, and that  + L: ^8 f+ ]/ |/ ^
the cost of such endeavors does not exceed the budgetary provision  & H; |& {. G4 a( d9 s; k& {  ]
made for them unless prior approval is given by the Manager of  
- d. I, G  h2 R& W( ?0 }1 |Programming and Venues.. W& U. u% X% x! h: G  i: d
·  To act as an informed and knowledgeable resource in the case of  
7 T( t: o9 A* d5 ?4 j. |significant challenges and/or problems surrounding the tasks of  
! w4 J9 B' s8 g6 _marketing, administration, operations, and any such other matters as  6 t# u1 G) S8 o1 W" q8 l
may provide such challenges and/or problems.
) j: W: Q! i7 z·  To attend such meetings as may be required to support the smooth  & @0 Q% L  Q4 I
operation of the venues or the Students´ Union as a whole.
& @' l$ j8 C! k) T6 S·  To perform other job-related duties as may be required by the  / p$ A( G' o0 ]! z2 [2 f
Manager of Programming and Venues in order to ensure the smooth and  - H! D. F* ^7 M2 u" I9 v- g
secure operation of the venues.1 ?2 u' J. W% H1 r# P
·  To recognize, address and handle all matters relating to overall  ; j4 i$ B2 ]1 z& D
operations in a manner which reflects the requirements of the SU´s

1)             Minimum two years related post secondary education, or  
& w% k, t8 H* G* y0 Han acceptable combination of education and experience.: p, G9 D* c9 b
2)             Supervisory experience.
" v" V5 P; x$ J) V4 r$ y' A3)             Ability to create new initiatives with little or no  
% c  \0 o. e  v+ Y) N9 F6 x% Bsupervision.- k9 ]0 f" o  o7 R$ X
4)             High level of creativity
