The duties of the Operations Manager - SU Venues are diverse and  " l3 t0 b4 u' c& I- {- g' v
extensive, and are targeted at the all round smooth operation and  0 ^# u6 M6 h/ }! k; o- ]
financial and operational success of the Horowitz Theatre as well as  
2 f. J. b0 ]' s! Y3 M4 g+ jthe logistical organization and smooth rental of the additional  
  i; n" @9 m& t- \3 R0 Evenues within the realm of the Students´ Union.  In the light of that  / L" D4 l) n* r5 }2 z
breadth and complexity, it is not possible to fully define or  
; ~5 k3 S  H# Y2 Ddescribe all roles and responsibilities in a document of this kind.   % l& I, g0 G, o0 N3 f/ P
However, the main roles and responsibilities of the Operations  / n! d" ]. ]7 Z; x# ]3 r0 S

1.        Space Roles and Responsibilities

$ m" J0 X4 K) I+ Oa.   To ensure, at all times, that the venues listed below meet the  
8 }( C+ p4 Z0 {  S: h, ]' Yappropriate standards, requirements and needs, and contributes in a  
$ i4 M* O% e0 u7 \# v  c& h' Ppositive way to the smooth operation and success of the individual    b6 K- k) X& O2 l
renter.

: \& m$ }5 o/ L; S# y% I" u' Cb.   This includes, but is not limited to, the following:
8 D5 Y; e5 g! C( h+ K2 A·     To plan the capital and supply expenditures to meet the  9 q' D5 X& U( i" Z. N0 J$ t
production and facility requirements.7 Q! m1 }! E, G* n0 j! S
·     To ensure the day-to-day compliance of the venues with existing  
8 ^% V6 g2 L3 ^0 Tsafety regulations and building policies.
3 R$ O! Z2 c/ Q4 e- u0 }5 F! yTo ensure that the maximum potential of renters is met.

4 c$ O7 T; R: W! F$ {. w$ Y; v' ~; M2.        Marketing and Promotion7 v4 ^; Q4 {$ W+ |  K

a.   To develop and implement a marketing plan for the venues that  
0 S0 M% M$ W# C% B- @8 kfocuses upon advertising and promoting the venue to faculty,  & J: \& e+ |  B1 z& v
students, and internal and external clients on an on-going basis.  
/ T8 ?* K  N! v7 oThis strategy will include implementing and/or delegating the following:
5 }# c* K9 i5 u' ]$ [3 Y5 n3 ]·     To develop and maintain promotional materials, the Horowitz  
& P; c# e+ a9 f/ XTheatre and SU Venues home page, newspaper and other advertising; to  . @/ ^8 ?; h3 l
take advantage of other internal and external advertising  
% V6 T- U, _1 ^; aopportunities; and to develop press releases and other promotional  
8 V; M8 c6 M5 R! v5 Nliterature on an ongoing basis.
. R- |1 P# w7 ]! b! F6 V, R·     To coordinate tours of the venues for potential renters.7 @6 `/ E! J$ ^4 }
·     To promote upcoming events in the Horowitz Theatre through the  
% P  \% z7 v: x) _0 Q! juse of the Horowitz Theatre Home Page and the SU Events Calendar.
$ k- B& t' k  a·     To develop new external clients for the venues.4 @0 ?( Q! o; R2 h

7 {/ N, w  e  A4 @* P- Q  E' g$ ~. ]  S6 _- v
3.        Staff and Supervisory Roles and Responsibilities
/ B7 A4 z! Z  Y' Z0 f1 z7 f* K2 V, y8 Q& Q: S
a.   To ensure, at all times, that the venues are adequately and cost- & [& J# |, _9 M, r7 }+ ]" l
effectively staffed, and that the staff utilized by or within the  
, E1 O7 a3 }1 l# ^' ]4 fvenues meet the appropriate standards, requirements and needs, and  
& K, n& V: I. `8 t4 q  W# ucontribute in a positive way to the smooth operation and success of  - c+ v; @' j) M; z6 O
the renter´s events. This includes, but is not necessarily limited  / \/ O7 G# t$ q$ o
to, the following:
2 [7 X5 B" v8 C. r·     To be responsible, under the direction of the Manager of Venues  
; C% `, p! {5 p# J! C9 \5 L  X7 T0 E% @and Programming, for all staff issues including hiring, disciplining,  ' ]" q3 q% v' g: P; D, B1 I
evaluating and terminating, as necessary.
' [* G1 }1 p+ p To ensure that the Horowitz Theatre is adequately supervised at  5 n% h. q' P2 k- G
all times, this includes the development and implementation of such  
' Z9 T/ l; x5 U1 [, d0 c' k, O6 T+ |schedules and rosters as may be necessary to ensure the effective and  ) U6 u; e+ t/ B; P3 h7 P
cost-effective supervision of the venues at all times during which it  * _7 t0 `8 t% z$ x/ }
is in operation or needs to be in operation.
- A' G& K+ Y" a/ h$ \2 B% a1 R0 ^! U·     To work with the Technical Director, when necessary, to ensure  
8 o. Q8 \8 P/ W6 ^9 Gthat an adequate and appropriate level of part-time staff exists to  
7 Q8 @+ u) I8 }$ pfacilitate the smooth operation of the venues and to ensure all  
' X, m' T/ P' j0 b% b5 T9 @renters needs are met.
) x! x6 J' U  Z·     To work with the Technical Director to ensure that the skills  8 j1 j0 x6 y# |+ w/ j
and attitudes of all subordinate staff are appropriate in light of  
$ x7 m" R+ Y8 g- X8 W* L: gthe roles they must perform. This includes providing adequate and  
  l& E7 W1 V. ^' J- t/ k6 zeffective training (and re-training) in all applicable and  ( P0 }" O* M, P9 x* C
appropriate areas, and ensuring that the Policy and Procedures manual  
$ }: c; e) G) M7 bis kep up-to-date at all times.
1 e/ E5 U/ m& Q4 N3 U- C·     To ensure all staff are trained in and committed to providing  & c; {7 L6 Y9 K% d
excellent customer service to all renters.
. W- {! X7 b4 q·     To work with the Technical Director to arrange staff  / x. z, C; o; w! ?5 S- ^- n7 Q
scheduling.  To handle payroll related matters, under the guidance  + V/ ?  j% D) b7 ?/ c
and direction of the Manager of Venues and Programming, concerning  2 z- i% v, d+ d! i$ K- U  l4 o
the staff of the venues.
3 w! O# y# K) Q! ?$ ~6 a& F7 U- i+ ~·     Working with the Manager of Facilities and Operations to ensure  
4 u/ B) F& s7 r: k4 Q5 Zthe appropriate setup/tear down of each venue.
5 [  X7 s/ `- X* Z5 V7 c$ ]; `·     Working with the Manager of Programming and Venues to ensure  $ v3 [- C! N; N, @( w
that additional requests such as licensed receptions are arranged.4 X* ~# I& l! u" _- ^5 `) s

4.          Overall Financial Performance: ~- B3 W3 S; G. x: F3 X+ S, l

+ z% f  ~+ v! Ma. To ensure, at all times, that the Financial and Administrative  
# y. L" `5 J- u% [; L: X# Csystems and processes utilized by or within the venues meet the  
4 A1 P8 [* y' e5 ~$ {. a& C% N# ~; @0 kappropriate standards, requirements and needs, and contribute in a  5 |" L4 B% n# n! q3 o
positive way to the smooth operation and success of the venues. This  
  x) }) j+ v; m& i; jincludes, but is not necessarily limited to, the following:! n, z5 Y! P1 O' U" i  I
To provide input and expertise in the formulation of appropriate  
" R' C1 e3 i( ioperating budgets covering the venues to the SU´s Manager of  : K: X( t3 O+ f+ O, Q: D; @6 V
Programming and Venues and to discuss and refine those budgets  + S- T' {, B( X& F6 z, p0 ]$ ^0 V
Manager of Programming and Venues, and Manager of Finance &  
4 ~' h* v) M. e0 D9 \Administration prior to their submission for final approval.5 u  c8 M8 \- D# M4 g  [
·  To manage the venues in a manner which adequately and effectively  
* X! H; t( i* c( b& v) S  n6 wreflects the budgets approved for the venues and/or which reflects  ; j3 I1 k$ r3 p! L1 k. M
the best interests of the venues and the Students´ Union.3 a3 ?# A( q7 S& `  p4 A3 j
·  To function as the key player in the submission of financial and  ; `8 b2 X% `3 B0 ?# ]; K/ @. M
administrative documentation covering the venues to be used in the  
. J$ E1 S- K3 e' k) [+ rcompilation of monthly and annual financial statements, and such  
; |' U) Q4 N4 C- U2 B% n9 eother reports as may be necessary.. e! J  b9 |, R' P
·  To discuss those financial statements and other reports, together  
1 K! r; a, V$ j" m3 ewith all financial and administrative procedures, with the SU´s  
: F* h# F# n! w% @. AManager of Programming and Venues and Manager of Finance &  
3 Z, R0 y6 I. A0 z/ M: @Administration with a view to determining and implementing action  : ^* m0 f9 V  X' |
aimed at improving the financial and/or functional effectiveness of    o5 g# a9 N  ^' K( f( {" n
the Horowitz Theatre.
5 v( n5 c9 e$ Q/ [" j# s6 x·  To ensure the existence of adequate, effective and accurate job  
# k9 d  H5 S' Q8 x3 x1 @5 fcosting systems to be used in connection with the determination and  
( R3 e0 G+ l7 {% k& U) f" Ksetting of appropriate prices for rental and staffing rates for  
! ]5 y; j1 d4 k& ~& y! l* Mevents held in the Horowitz Theatre.
( M: N: F8 Q, L- i" K·  To develop accurate documentation to be used in connection with  
' J7 u& u8 E4 E, G- G- }the billing clients, and to forward such documentation in a timely  5 W8 P: g4 R5 w0 K- Q0 j
manner to the Accounting Department.- h0 ]* w/ Q4 r2 y" f- L) }
·  To recognize, address and handle all matters relating to financial  % s: `7 q; U3 f+ u% k
and administrative procedures and systems in a manner which reflects  ( f* Q+ ?, v' V$ v9 o# B
the requirements of the SU´s Manager of Programming and Venues and  $ i' V7 M. Z$ E& h$ J. p
Manager of Finance and Administration, and in a manner which  1 |" e% u0 Z) ?' R
contributes positively to the smooth operation and success of the  : D/ q, w& D: l
venues.

5.          Overall Roles and Responsibilities5 b) w( M) c5 \6 l
a.   To ensure, at all times, that the systems and processes used in  
4 h  R, k' Z+ S& [" N6 srenting the venues meet the appropriate standards, requirements and  
" x) r1 h+ G! n/ o0 xneeds, and contribute to the smooth operation and success of the  & K: k0 A. j. r2 c+ |0 ]
venues. This includes, but is not limited to, the following:0 b% t' \( I; ~* z* O

; \  ]2 Y" R: u·  To recognize, develop and set in place such rental procedures as  
( {4 w  N- d. p0 i% G% nmay be necessary to ensure the smooth operation of the venues, this  
& ?0 p' o: U% u" l6 l$ Y. his to include but not necessarily be limited to systems and processes  
- `6 Z* C; z2 N0 y1 a5 {) a: O( sin the areas of contracts, inventory management, contract evaluation,  
4 Y, [0 p% @6 n8 O4 K! ypricing, costing, equipment usage, rental/contract invoicing,  
$ A8 L- Y0 N2 @, Qtogether with such other systems and procedures as may be necessary  $ `! i6 c  x8 k' @# F
to ensure the smooth, secure, efficient, cost-effective and  
  l$ u0 @) a. Y5 O8 q7 Pfunctionally-effective operation of the Horowitz Theatre.
0 b  s: }% q7 B, B& y2 V8 t0 X·  To recognize, develop and set in place such operational procedures  - h+ b; q, ^( ~: n* y! i6 _: C
as may be necessary to ensure the smooth, efficient and cost- / ^0 W2 M* B) u7 @
effective operation of the venues.. n# r0 A" k+ v: p
·  To negotiate rental lease agreements (contracts) relating to    d/ h/ U4 ]# R2 A; p
dates, rates, staff and miscellaneous charges.
( `0 g8 X# T3 E3 H$ p' n1 X! \; f& m·  To ensure that adequate inventory is available at all times and  
1 t# |5 s/ o% j. r2 K, }that such inventory is stored and issued in effective and secure ways.
, F6 B# a4 [- @) a# q% e# d8 h8 r·  To consult with renters as to facility issues in producing their  ; b5 S5 E( y9 ~! h
particular event in the venues.
; d7 G1 x2 G$ R, j2 J/ h/ \·  To provide the venues on-site staff with such documentation and  
/ I$ t" }/ `4 I2 q, F6 usupporting information as it may need to effectively fulfill the  ) C; J+ V% g% J+ t
roles they are to perform to ensure the success of the renter´s event.
  T- Q! z  o0 z' y, b, y$ Y·  To produce quotes in respect to staffing costs for a particular  
% _% q0 h( R/ e9 A9 wrental with consultation with the Technical Director.
$ ?# ^: o7 l% r; [2 k·  To ensure that all queries raised with the venues whether from the  
$ z$ X7 l6 T0 h  pSU or renters, are promptly and effectively handled and adequately  
) ~4 v: x* F7 L( G" J" d* oanswered, and to ensure that such action as may be necessary in  
; }! o9 [0 }  L: Y# O7 qfollow-up to such queries is taken in a timely manner.2 x( }. h/ j) g% M# g. ?" u, |
To ensure that the venues and its capabilities are adequately,  
, U' M4 @0 @# w8 K# T6 Veffectively and cost-effectively advertised and promoted, and that  
4 V+ j+ y) ]# X0 a9 }the cost of such endeavors does not exceed the budgetary provision  
2 c& n2 f" u9 m4 U3 |% ymade for them unless prior approval is given by the Manager of  6 j0 y/ d+ U  z' o) _
Programming and Venues./ Z, V8 u7 [7 P( d% ~3 G7 {; W
·  To act as an informed and knowledgeable resource in the case of  
* ~  F+ e* U' S  wsignificant challenges and/or problems surrounding the tasks of  + ~; U. }% ?4 ~9 b  n0 I* f
marketing, administration, operations, and any such other matters as  $ M; G5 z8 L3 e2 w
may provide such challenges and/or problems.# ~* `8 l8 S5 [5 K4 m) {
·  To attend such meetings as may be required to support the smooth  
1 s# [! _" I2 [' T; x" loperation of the venues or the Students´ Union as a whole.
$ v: K$ z' n6 G5 X" L6 F0 B·  To perform other job-related duties as may be required by the  ( B; p+ ~( c4 _. K" i
Manager of Programming and Venues in order to ensure the smooth and  - F" u7 F! v4 q$ }1 o1 W+ s$ F# _
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s

Administration, and in a manner which contributes positively to the  4 S  N4 H7 a) y  S
smooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  , G/ B: s5 b7 M$ ]9 X" z: I
an acceptable combination of education and experience.: G8 [( ^9 A8 X) O/ a" F
2)             Supervisory experience.
: |) O1 ~3 d6 T5 K% V; J3)             Ability to create new initiatives with little or no
