financial and operational success of the Horowitz Theatre as well as

describe all roles and responsibilities in a document of this kind.

a. To develop and implement a marketing plan for the venues that

+ C: g1 p) f$ V; B. P5 \7 lThis strategy will include implementing and/or delegating the following:( v1 [7 H. x/ j- C! B8 n
· To develop and maintain promotional materials, the Horowitz
- `8 y) @8 H e# Y4 HTheatre and SU Venues home page, newspaper and other advertising; to 1 B5 w. n" P' ?# p
take advantage of other internal and external advertising # g$ ]( k- ^8 a! I) i3 v2 j
opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters." a9 h/ y Q- [, _4 [( O- S

use of the Horowitz Theatre Home Page and the SU Events Calendar.

a. To ensure, at all times, that the venues are adequately and cost- 8 J+ a7 R( P. }+ ~
effectively staffed, and that the staff utilized by or within the * o! l7 Y& h& ?1 \/ }+ t
venues meet the appropriate standards, requirements and needs, and $ K- Y2 p& D1 ]/ v. Y. v7 U# r6 `
contribute in a positive way to the smooth operation and success of
# b3 i( F# W1 S! o5 {/ v, |4 dthe renter´s events. This includes, but is not necessarily limited ! h2 L$ ^9 Q, d) }

· To be responsible, under the direction of the Manager of Venues ) Z6 Z" z3 `) b
and Programming, for all staff issues including hiring, disciplining,
: S( S- V* e6 y1 M: oevaluating and terminating, as necessary.
4 w8 W, c, Y s9 O To ensure that the Horowitz Theatre is adequately supervised at 4 G* |8 m. V7 G& N0 h6 |7 x
all times, this includes the development and implementation of such
- I: n: B1 R" G) M7 Dschedules and rosters as may be necessary to ensure the effective and 3 Q9 W( u U2 b3 L3 Y
cost-effective supervision of the venues at all times during which it
: _" M* m$ L; x8 A/ G2 o4 X% ois in operation or needs to be in operation.1 w- ~. w' K; \, h
· To work with the Technical Director, when necessary, to ensure

facilitate the smooth operation of the venues and to ensure all + e% N1 i2 R" F& {& f1 Y. t
renters needs are met.# j) i( Z% {1 o8 p( }' X3 z
· To work with the Technical Director to ensure that the skills $ R9 R g% O; K5 ?+ ]
and attitudes of all subordinate staff are appropriate in light of
( ]- @8 q# L( ]1 ?the roles they must perform. This includes providing adequate and
! x6 H( D8 G9 H$ f7 Deffective training (and re-training) in all applicable and
2 z L, V# q4 zappropriate areas, and ensuring that the Policy and Procedures manual
- B7 [, ^6 }7 `9 mis kep up-to-date at all times.
, z8 Q" s- h1 j. X& b· To ensure all staff are trained in and committed to providing
( E- S" k0 V' t6 z" l& hexcellent customer service to all renters.' h" @7 h) a' F
· To work with the Technical Director to arrange staff / T8 ?5 M6 C0 V* u& ~. @
scheduling. To handle payroll related matters, under the guidance # V' x; v% @" y+ Y4 R: \
and direction of the Manager of Venues and Programming, concerning

that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative

appropriate standards, requirements and needs, and contribute in a . ~( O( Q r& y0 E2 Q- d: n+ X" [
positive way to the smooth operation and success of the venues. This
( R) P- d S& K. b! k( E, Zincludes, but is not necessarily limited to, the following:

Manager of Programming and Venues, and Manager of Finance &
! l% k4 L |' m3 R+ H/ LAdministration prior to their submission for final approval.
* X+ |* m2 G9 j- \( Q/ {· To manage the venues in a manner which adequately and effectively
1 O m+ a3 ~3 k1 freflects the budgets approved for the venues and/or which reflects 6 P! A, b* R5 {# R6 C
the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the
) Z0 Q( D' X5 f x9 Bcompilation of monthly and annual financial statements, and such & l+ D1 _+ U$ M, `+ l* r8 y
other reports as may be necessary.
4 ~7 o) G8 c. \· To discuss those financial statements and other reports, together
% S1 ~ m9 B& s7 \' bwith all financial and administrative procedures, with the SU´s $ ~$ i `3 F. \/ y9 v4 A
Manager of Programming and Venues and Manager of Finance & ~/ g% N+ h) C* b
Administration with a view to determining and implementing action ; x( {: }/ B( G7 i4 e% b
aimed at improving the financial and/or functional effectiveness of
* r( u' C0 d* ~& ~the Horowitz Theatre.
5 N% o8 \* }/ I* D· To ensure the existence of adequate, effective and accurate job , i8 P$ j4 n) c* K3 W# Z
costing systems to be used in connection with the determination and
; o+ `# Z `/ h1 T6 jsetting of appropriate prices for rental and staffing rates for * k$ F: G3 X! {8 @
events held in the Horowitz Theatre., x7 H( a. y4 R
· To develop accurate documentation to be used in connection with 4 v. n- p0 K# D1 ?' t; e3 m4 ~
the billing clients, and to forward such documentation in a timely . [9 e/ Y d% C n
manner to the Accounting Department. }% z+ f$ _+ Q: o( Y! |
· To recognize, address and handle all matters relating to financial
5 t( N3 ]. h+ S& a, Z9 @) S, xand administrative procedures and systems in a manner which reflects

a. To ensure, at all times, that the systems and processes used in $ K, x# r4 e7 O' e: Z. X9 v
renting the venues meet the appropriate standards, requirements and

venues. This includes, but is not limited to, the following:: D, y. n* E6 ]9 W) U" K& g

· To recognize, develop and set in place such rental procedures as ) Q t* H3 f9 g0 e% {$ @& h
may be necessary to ensure the smooth operation of the venues, this , y3 M9 g' {0 W2 a, r: ]7 Q
is to include but not necessarily be limited to systems and processes
. o1 v5 L! Y- {5 p# P5 p2 Ein the areas of contracts, inventory management, contract evaluation,

together with such other systems and procedures as may be necessary
6 m3 Y* b/ S7 b( U1 F- _; xto ensure the smooth, secure, efficient, cost-effective and + w. r) q4 V1 C
functionally-effective operation of the Horowitz Theatre.
. q+ n, V( S2 b2 [* n· To recognize, develop and set in place such operational procedures 8 l2 t! T1 _# p% Q! Y2 F
as may be necessary to ensure the smooth, efficient and cost-
% k4 v. l0 w/ g- s7 G8 geffective operation of the venues.
/ r1 A: F7 o6 N" L, o· To negotiate rental lease agreements (contracts) relating to
( M6 A$ \$ x) y/ h0 a3 E- Rdates, rates, staff and miscellaneous charges.8 r! R- x; P& a2 h- @0 D1 P0 c
· To ensure that adequate inventory is available at all times and
\6 r, a j/ U P/ E* V) Z9 Fthat such inventory is stored and issued in effective and secure ways.
/ E7 L4 B- M' N· To consult with renters as to facility issues in producing their
$ [( J2 v: j9 R$ ^, tparticular event in the venues.( v5 p4 l/ W* t" S% ?! A
· To provide the venues on-site staff with such documentation and 5 _/ z7 m+ m3 R! F) x! d$ n" ~
supporting information as it may need to effectively fulfill the % S5 ]" @# Y' W) ~
roles they are to perform to ensure the success of the renter´s event.
/ ]8 ~9 Z, s8 i) N0 O· To produce quotes in respect to staffing costs for a particular
) o2 o! Y! g% P" E, V# Trental with consultation with the Technical Director.! X. G6 F# R! j3 ~3 G
· To ensure that all queries raised with the venues whether from the
+ |" X/ D, M" t# JSU or renters, are promptly and effectively handled and adequately ! }; ~ \6 ], ?5 |( |4 o/ Q$ s
answered, and to ensure that such action as may be necessary in
- D$ {# P1 }" p% ]2 C+ Pfollow-up to such queries is taken in a timely manner.3 E4 x' O7 Q" S* q* b2 R9 K
To ensure that the venues and its capabilities are adequately,
0 r A2 a- N# a* w ^# h' Oeffectively and cost-effectively advertised and promoted, and that
4 i) t5 u; y( y# Sthe cost of such endeavors does not exceed the budgetary provision
( m& t/ F$ ?; ^made for them unless prior approval is given by the Manager of
1 j) R. N8 x. K' l8 [# nProgramming and Venues.
1 H& C) P5 s; o$ Y# A7 y# C- t· To act as an informed and knowledgeable resource in the case of
O( D! L5 A0 Lsignificant challenges and/or problems surrounding the tasks of
( _4 U1 }3 d/ {( U: J/ [marketing, administration, operations, and any such other matters as 5 \. ]. |. L8 M5 j- j6 U3 c) s4 y
may provide such challenges and/or problems.2 q6 L" I- i* W9 ^& x
· To attend such meetings as may be required to support the smooth
! [) d# T* c2 G: ?operation of the venues or the Students´ Union as a whole.
% `* q) k! @ Q# ~, O# d' K- Y· To perform other job-related duties as may be required by the

operations in a manner which reflects the requirements of the SU´s
