and Venues.

ROLES AND RESPONSIBILITIES
6 J( \5 b2 K" L, dThe duties of the Operations Manager - SU Venues are diverse and  
+ E5 P' u: y0 R( o. S1 Yextensive, and are targeted at the all round smooth operation and  . k& i7 p* i) G# R
financial and operational success of the Horowitz Theatre as well as  
$ g. S# t) p5 I* B0 O7 s+ kthe logistical organization and smooth rental of the additional  
) I6 Y. O8 e) p9 H( cvenues within the realm of the Students´ Union.  In the light of that  
# m% J9 f/ b1 F9 k+ y/ }3 Hbreadth and complexity, it is not possible to fully define or  % |3 B$ o# I( u1 D+ [% q; t6 @
describe all roles and responsibilities in a document of this kind.   
0 s/ ]) o$ j" x$ [" B: THowever, the main roles and responsibilities of the Operations  ' Q9 E# ?5 e  U
Manager are as follows:% ^# X! b) m7 P# e3 |% g

1.        Space Roles and Responsibilities

. b- E9 P/ _; ia.   To ensure, at all times, that the venues listed below meet the  
) @; T9 G6 c  p# N0 N# R7 Cappropriate standards, requirements and needs, and contributes in a  % s! G; `3 F3 O" _$ U$ n  V
positive way to the smooth operation and success of the individual  
" B! q7 B4 D* n( Grenter.' H( F+ ~$ M  W* z, c- s
·     Myer Horowitz Theatre+ P0 j! c# B' p1 O( r
·     Dinwoodie Lounge% P4 c" f( l+ g+ Q+ u
·     SUB Stage
0 T; [5 e8 c5 N9 }
( x5 R( E" s6 G* hb.   This includes, but is not limited to, the following:1 l; I/ X, T/ l9 s2 V1 a
·     To plan the capital and supply expenditures to meet the  
# _' Y7 d6 P$ v2 w6 w% Zproduction and facility requirements./ D" j1 r! j0 B
·     To ensure the day-to-day compliance of the venues with existing  
* p& C5 _8 [7 usafety regulations and building policies.% b  m, m5 F9 }# Q$ `" x+ O
To ensure that the maximum potential of renters is met.

! t& g' `3 F9 T/ N1 f  j5 E* c2.        Marketing and Promotion
& u2 n$ A" b$ L
$ A& ?* W' ~; Za.   To develop and implement a marketing plan for the venues that  
4 F% |$ Y6 @, ]% k+ t( g8 Qfocuses upon advertising and promoting the venue to faculty,  
/ J* h2 [+ n5 m& nstudents, and internal and external clients on an on-going basis.  
& d2 A/ |9 c8 F- `2 P3 LThis strategy will include implementing and/or delegating the following:4 r; O+ W; J8 i& Q
·     To develop and maintain promotional materials, the Horowitz  
; {8 S7 q* @$ pTheatre and SU Venues home page, newspaper and other advertising; to  " _3 V3 w4 [2 t( A
take advantage of other internal and external advertising  
1 p6 q. k( V) J0 ~opportunities; and to develop press releases and other promotional    p4 ^: V8 Z& P
literature on an ongoing basis.* |2 r# f6 n" i' \* I
·     To coordinate tours of the venues for potential renters.
" V! w, X5 [6 A. f·     To promote upcoming events in the Horowitz Theatre through the  
( S% Y/ `" y* A* @) `3 wuse of the Horowitz Theatre Home Page and the SU Events Calendar.
) h% F. U, r  R% f+ y, i·     To develop new external clients for the venues.* E1 A* n4 P4 n& ?$ T' s; b( Q& z/ G" D
; O0 M: d1 W+ i9 ?( M- ?, f

0 U+ R8 I& c+ @' n* u* A, T" M9 t3.        Staff and Supervisory Roles and Responsibilities
- t# ^' u% p# W& u
: M1 C' j6 S$ Y2 X5 f. h3 fa.   To ensure, at all times, that the venues are adequately and cost-
- C3 T9 w6 ?) K" U8 [3 eeffectively staffed, and that the staff utilized by or within the  
! k0 B( X, A9 a" o  u; z. }) Pvenues meet the appropriate standards, requirements and needs, and  : f& O  u8 ^# P1 J. B# U* @
contribute in a positive way to the smooth operation and success of  2 @7 T7 X6 m; U( V
the renter´s events. This includes, but is not necessarily limited  
) l, a7 e% m. K- `( oto, the following:2 r  E: D  X' ~8 x/ R% a" E" B
·     To be responsible, under the direction of the Manager of Venues  
. K, ]: b% U* N7 X  p% @and Programming, for all staff issues including hiring, disciplining,  
& r, q+ {0 D) m& D  D+ Z2 Z$ J; eevaluating and terminating, as necessary.
& D* ?; f, y0 c' m1 k6 H1 h To ensure that the Horowitz Theatre is adequately supervised at  ' w. f- j( {* A) H2 L% J; s
all times, this includes the development and implementation of such  
' @) d+ {* t- V  Qschedules and rosters as may be necessary to ensure the effective and  * `0 z/ \% @% X* k
cost-effective supervision of the venues at all times during which it  
9 O' _! W7 m$ \% Y8 `8 u  S& cis in operation or needs to be in operation.
7 Y& h  T/ C5 S8 H·     To work with the Technical Director, when necessary, to ensure  - Y% p3 O# ]# y% s/ y" K
that an adequate and appropriate level of part-time staff exists to  ! L+ u2 y9 k2 {# T
facilitate the smooth operation of the venues and to ensure all  * B. M0 E3 A. u3 B
renters needs are met.8 J2 Z  N. O1 y
·     To work with the Technical Director to ensure that the skills  + M. h' E6 `' E8 s' ], e$ o
and attitudes of all subordinate staff are appropriate in light of  ) J& y; T8 a9 ?( ~3 U
the roles they must perform. This includes providing adequate and  $ r% u+ l5 k% o3 e; k
effective training (and re-training) in all applicable and  
, W: E8 x& Z  u, O6 p/ vappropriate areas, and ensuring that the Policy and Procedures manual  
3 W$ ]. R- {$ u; ?) pis kep up-to-date at all times.
4 r% i6 O' w9 O% f8 q$ y1 k8 E·     To ensure all staff are trained in and committed to providing    N* }/ V! [: w. b* a' J, B, v
excellent customer service to all renters.
. q! B6 }7 l- }0 l1 a* Y·     To work with the Technical Director to arrange staff  
. ]5 P# r" ?2 Sscheduling.  To handle payroll related matters, under the guidance  " z# l. n/ d) |
and direction of the Manager of Venues and Programming, concerning  + |7 t' |3 y: D5 k
the staff of the venues.
6 G. l# W' g1 e+ v* P6 w0 v+ L·     Working with the Manager of Facilities and Operations to ensure  
& l2 g  ?  f: k9 C# _# q& y& mthe appropriate setup/tear down of each venue.
4 ?. Q. P: z" O: s$ S, z·     Working with the Manager of Programming and Venues to ensure  # Y8 ^/ m7 W0 `1 ]: z4 I/ c; A0 B
that additional requests such as licensed receptions are arranged./ w: M* O& v) [* e

7 G) C4 e+ V6 \( z* q+ h# p% O2 K" V/ d( y8 X- U( p! H
4.          Overall Financial Performance
0 j, a1 u3 O5 y% H4 x5 {+ W6 b1 ~) b3 |4 Z+ t
a. To ensure, at all times, that the Financial and Administrative  0 i' D% v) F" Y4 c
systems and processes utilized by or within the venues meet the  ; k/ C! O7 j1 ]$ K! [
appropriate standards, requirements and needs, and contribute in a  
) h" E8 E! w+ K" u7 lpositive way to the smooth operation and success of the venues. This  , B- @4 R: G3 R0 E. R) v2 X. V$ _
includes, but is not necessarily limited to, the following:
0 C- K. v3 D" C+ n) m# V To provide input and expertise in the formulation of appropriate  , V$ j- ]6 o2 _, Q- E2 n7 a; l8 O
operating budgets covering the venues to the SU´s Manager of  
& N( B) T/ r* M1 w5 n! }Programming and Venues and to discuss and refine those budgets  
! U- J' q% @# s# L7 v7 dManager of Programming and Venues, and Manager of Finance &  
8 X; M/ B* d5 \Administration prior to their submission for final approval.7 [2 C% m7 o% a+ j5 l, I
·  To manage the venues in a manner which adequately and effectively  ) y! t, Q- ^+ q; t  |# @- R- A' F
reflects the budgets approved for the venues and/or which reflects  
5 E$ X" u  L- x' A3 Othe best interests of the venues and the Students´ Union.
" r, _. Y: _7 K* [·  To function as the key player in the submission of financial and  
# ]6 S6 ?& a2 ~2 D7 @  ]. C  |administrative documentation covering the venues to be used in the  , [( J2 j* m3 L5 ]) T- ]
compilation of monthly and annual financial statements, and such  
4 a4 ]# k' L( @$ E% U5 Uother reports as may be necessary.
% J% ?. Z& V) k1 ?4 Y·  To discuss those financial statements and other reports, together  & J" v" ?0 p7 F( O. U
with all financial and administrative procedures, with the SU´s  
! l6 w5 Y& g: o' V8 iManager of Programming and Venues and Manager of Finance &  
8 l5 m6 Y1 K- y" n0 NAdministration with a view to determining and implementing action  : c, g. Y0 k3 o7 R
aimed at improving the financial and/or functional effectiveness of  * U, R2 j2 ~2 z* @/ W$ _  I
the Horowitz Theatre.
, N6 `0 n8 [+ ^# Y" Y·  To ensure the existence of adequate, effective and accurate job  
* ?0 f, D* E9 g5 ^' Q: Gcosting systems to be used in connection with the determination and  0 a2 @* L* z0 U7 Z
setting of appropriate prices for rental and staffing rates for  % Q) q6 l0 C$ P, z5 X. J
events held in the Horowitz Theatre.
4 p/ N3 s" ^1 e3 f# b; s, J  x. }·  To develop accurate documentation to be used in connection with  
3 m/ B' m# y  gthe billing clients, and to forward such documentation in a timely  * I( C6 \$ v& q7 p+ y
manner to the Accounting Department." y7 t- Y3 ]0 u$ {$ B
·  To recognize, address and handle all matters relating to financial  ; y7 Y: Z0 S4 b* ^! J" t
and administrative procedures and systems in a manner which reflects  : k: V2 \) E# i" Z5 n1 s
the requirements of the SU´s Manager of Programming and Venues and  6 C1 Q" [9 y8 i7 l: P: e" S
Manager of Finance and Administration, and in a manner which    v) |) h/ l, F  s( \) R
contributes positively to the smooth operation and success of the

5.          Overall Roles and Responsibilities. b4 x# {* m, S, S. D* t# j' F
a.   To ensure, at all times, that the systems and processes used in  
" T: w* n% G8 v: A8 s1 Zrenting the venues meet the appropriate standards, requirements and  + E: E4 _: w+ f8 B  k6 W: R
needs, and contribute to the smooth operation and success of the  ' \: \& G# y; C, s
venues. This includes, but is not limited to, the following:
* H2 f* @5 H0 z9 r" G" i' @/ G
- h5 E4 Z/ B( |8 M: l) B·  To recognize, develop and set in place such rental procedures as  & x, o' M( i- d/ u4 W8 O
may be necessary to ensure the smooth operation of the venues, this  5 F- U  A) D0 F% I$ s6 s
is to include but not necessarily be limited to systems and processes  9 x% O! R' F& H: v1 Z
in the areas of contracts, inventory management, contract evaluation,  6 r9 A6 `8 }/ r% ?6 X8 g
pricing, costing, equipment usage, rental/contract invoicing,  
+ I3 q. A/ ^0 A4 B# @  l" ptogether with such other systems and procedures as may be necessary  
0 K9 C8 U% {" O" f  z4 Yto ensure the smooth, secure, efficient, cost-effective and  
4 U) [. g2 T- y8 p% @functionally-effective operation of the Horowitz Theatre.
: Q  r+ p$ t: h6 ]7 o·  To recognize, develop and set in place such operational procedures  
1 s$ x& t2 q7 A: ?2 Yas may be necessary to ensure the smooth, efficient and cost- 3 Z  A/ O6 [8 ]; Z9 C( Y2 ?$ ^
effective operation of the venues.: m' M1 y0 {9 d
·  To negotiate rental lease agreements (contracts) relating to  
% u1 }7 `. {8 v9 Y4 cdates, rates, staff and miscellaneous charges.
% r' @% \) R! A  I/ J·  To ensure that adequate inventory is available at all times and  8 |: j; i7 Q$ o
that such inventory is stored and issued in effective and secure ways.
: k4 [$ l- {$ @2 Q8 q·  To consult with renters as to facility issues in producing their  3 U4 r2 q, c7 ]
particular event in the venues.
* f+ h3 V! D. I7 E" [! U5 |( [·  To provide the venues on-site staff with such documentation and  
8 f" `2 C4 f0 H$ S" S8 @0 R0 s- wsupporting information as it may need to effectively fulfill the  , |9 }$ E7 f, f1 O2 D" d4 }
roles they are to perform to ensure the success of the renter´s event.7 d2 ~# {$ y0 ~
·  To produce quotes in respect to staffing costs for a particular  
# l6 E. u) X% brental with consultation with the Technical Director.
, M- e' C5 J2 n; E/ n0 x; c·  To ensure that all queries raised with the venues whether from the  
2 q' K- s- \) H3 `/ a, [- I  {SU or renters, are promptly and effectively handled and adequately  
) a3 F- ]/ G, x1 B& b; H2 f. Danswered, and to ensure that such action as may be necessary in  , v. H/ N. D' c$ ~& p3 Q% K
follow-up to such queries is taken in a timely manner./ @' x2 s8 `) l. O& L
To ensure that the venues and its capabilities are adequately,  
; d# |, F* v3 P& leffectively and cost-effectively advertised and promoted, and that  & \; D6 G1 A, L6 S4 s
the cost of such endeavors does not exceed the budgetary provision  
; S- |0 d, k* ]! O- E* Kmade for them unless prior approval is given by the Manager of  
, I3 v; p6 n) B- f( EProgramming and Venues.+ ^9 ^2 g4 ]3 O
·  To act as an informed and knowledgeable resource in the case of  $ V& r2 @( J; R
significant challenges and/or problems surrounding the tasks of  % t. L4 P" o, Y" b6 ]
marketing, administration, operations, and any such other matters as  
: v, b# y# _3 i0 @/ Nmay provide such challenges and/or problems." Q9 N$ F' y% {$ I2 Y8 s7 `
·  To attend such meetings as may be required to support the smooth  7 Z1 l4 d: d- o/ e" ~, o
operation of the venues or the Students´ Union as a whole.8 o- `2 S& i9 }7 b/ b
·  To perform other job-related duties as may be required by the  / ]/ Z/ L, G2 W) N- @
Manager of Programming and Venues in order to ensure the smooth and  
0 x% V; t, K- S% esecure operation of the venues.

2 ~2 |% ?5 b  q  I9 s! i. j# [9 G6 Qoperations in a manner which reflects the requirements of the SU´s  
3 v2 l* ?8 z. _) R6 N' cManager of Programming and Venues, and Manager of Finance and  
4 l  H% l5 _4 i; `% d- C. nAdministration, and in a manner which contributes positively to the  5 U' I7 F3 `7 E

QUALIFICATIONS:, O2 X. ?; E% E
1)             Minimum two years related post secondary education, or  
6 j3 K! t# i: Y+ L' H) ~an acceptable combination of education and experience." x6 f: q* s/ a0 X
2)             Supervisory experience.
1 N0 t5 w5 l# L4 \6 w' N3)             Ability to create new initiatives with little or no

4)             High level of creativity
