Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

, O( @6 P% |7 hCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

8 t8 ^, \0 Q, s- g0 L• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.( P* u; k( Q/ l, @* A+ E- d

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.* e# _2 P+ x( {( u+ p% K

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.5 R( q( X" D4 `9 D, m3 q- y0 n

2 l5 h% W$ A+ S• Support effective internal communication by recording and distributing all meeting minutes.6 u( F+ G( N+ W0 Z, L, c

• Meet weekly with Program Managers to define priorities.. L: p1 c' G. l" F2 T

& `, z" @* R  @, X, K; }- \" Y• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.) Z2 m- o- ^7 i3 N

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.' ]+ t6 D* k2 U& L4 @% f' b5 X

International Projects and Public Engagement/Communications:

; f6 x& t2 N9 `• Maintain inventory of communication materials.

( Y( s. j2 B0 m  S• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

2 ~, H* K2 e6 \• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.0 A+ V$ v0 h; A/ X# c

: W2 @: f( X+ n8 u, k' Y• Support the promotion of CFCA events in Alberta through online and print publicity resources.

: y+ X( Q2 P8 a( ^  O# J- N/ }3 i# p• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.6 t/ p& ~+ Z2 K. Y5 z

& m- F3 m- z6 ^5 E' e• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( K. Y9 r. P* ^0 R: h7 Z0 ^

Fund Development4 z0 z$ ^6 H6 \% L5 [

• Provide logistical support for key fundraising events such as silent auctions& X/ m5 k* R" O3 d% I) B2 J. c. j/ `

$ e) w, U3 g( |+ G/ m* d4 L! R• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.  f  |" [* ^! G2 C$ [" D# i% c( @. s

/ K5 m7 H4 x) K2 ]• Coordinate volunteers for some fundraising events such as Casino and annual sales events.2 x" o3 h) t. a* S# {

3 U: b8 Y. J! H/ r• Support logistical work required for CFCA’s Annual General Meeting

8 P9 d! V/ ]9 v7 `/ ]9 o2 v& H• Assist in administrative tasks related to donor recognition and event reconciliation as required.

0 P+ G+ N8 X0 A4 M" X6 C) ~% l' fSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
