Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.: D! {$ R7 m% ~2 j. ) ~3 `7 F, ]% [6 WCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.+ e/ @) R% F0 W/ j9 Z, S

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.1 G) h! k# N4 `$ j$ a

  ?# C5 g: d$ f0 _4 L$ h' C6 {• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

* v8 ^! T8 z& A" o" Z• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.. y+ M/ e: @0 L& a

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.# ~: {: _2 M6 r% \( [

• Manage mail outs for fund development or education purposes with support of Program Managers.5 [9 b. ^  h- q. Q0 C( p: e

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.# P: J7 U3 \: ]' L( j1 C

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

% `* X8 ^. l3 P6 a, Q' Y• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.) W" i8 t  R3 \

  ~% K9 a  r& @* m! p" O• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.9 }$ T& f0 z3 _# L

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.0 ]& c" [! t$ i) \. n; N5 q& ?2 s+ j

Fund Development

; V0 [! d" }! Y' N$ G+ p! O. n• Provide logistical support for key fundraising events such as silent auctions: e2 X/ Z, z- k/ _

- K: V/ U1 E: L  J+ E, D3 P" R• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

. r/ w. e" W: ]1 W  o+ V• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

* x9 ~, b: v* }% V8 K8 i( q• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:
