Job Duties / Responsibilities
+ P: z: o8 I  L• Preparation of meeting agendas and taking minutes as required.
$ z9 y  X9 Q6 v/ n+ ~) o0 b+ s; Q; s3 a• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.) d$ `8 ]) \& N- w$ u, H0 H) n
• SAP match reporting and monthly management
$ m7 X8 z7 E; u7 e• Responsible for coordination and organization of office needs and supplies.% n7 x3 l0 t3 D
• Organization of company functions/luncheons as required.
0 N0 l/ {+ q# s8 ~( h• Coordinate network ID / requests for new hires, internal orientations.& B4 L6 d, i7 p" v+ `% m
• Train new Visa card holders ¿ Visa Administrator.
9 t/ V$ Q7 Z! Q* D# M' g! L• Preparation of Monthly Visa Statements.
/ v( w* k4 z1 y2 b  r. H• Order business cards as required.
& `7 S! i. ]0 D8 i% Q% L0 y• Maintain contact list, employee files (including expenses)4 M& s7 ~9 W- t' ~) [# z5 h( e
• Prepare travel approvals, books accommodations / meeting rooms / luncheons.# V* r8 b0 m3 A! P3 M# k
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking./ y" k5 n( @5 a! e6 `$ B3 L  }* U
• Vacation relief for other administrative staff.
# N2 z& U) w7 W$ R$ L' m• Preparation, organization and record keeper for Maintenance Department training, C) w7 X# u) u9 A
( J3 u6 K+ y3 A# V9 j" n4 k

# p' @( F7 @; OEducation / Experience# }( X/ z$ t+ c5 h3 W
• Grade 12 or equivalent
# L' `" F1 P) R) E0 D• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)7 O( R9 S  d  |! w  u7 R
• 3-5 years of related administrative experience! I7 K" K* N$ N. K% A4 ~' `/ t
• Keyboarding Skills ¿ 50 w.p.m or greater$ m! w% U" B5 q
• A high level of discretion, confidentiality, and reliability is essential. / ~8 P5 E$ J  `9 y& U! ]% c
• Attention to detail is required. . |( m, X5 j1 [$ b' V
• High level of customer service skills is a must.; P! c4 s) s0 U8 B1 s& r% S2 w
• Good planning and co-ordination skills.% s/ v, I3 U* Q9 S
• Shorthand/Word processing skills.
" W8 O8 `: Q, Y• Business Administration Diploma or relevant certificate would be considered an asset.
