The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events./ V* j* u4 }0 y- E$ {3 p; r
• Assist in development and implementation of policies and procedures for volunteer services.0 u _ u6 A% C' B' p
• Maintain the volunteer files and update the database using Raisers Edge
$ _7 I1 [5 p: n! C. e, B% R9 G. Q• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.2 n3 b5 Y2 p' B1 t% I' U. h
• Develop and implement a comprehensive volunteer recognition program.- S9 ] ~$ T6 f7 n, f4 s+ Z- ?/ I
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.; i( A- C" S* Z: w8 f) C1 `* C% T
• Identify and implement best practices in regards to volunteer development.4 V/ A" h2 I: G. d3 e
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities$ g6 v3 [7 Z! W* Z2 h
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required; q; o `8 K" P

SPECIAL EVENT PLANNING
4 Z3 v. _7 q# l% e7 q1 r( @( C2 d• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO

• Develop and maintain job descriptions for each volunteer position
* ?0 I3 k1 R( S+ t" o. V+ s0 L• Maintain secure volunteers files in accordance with privacy legislation
* N! k1 G; e/ Z- X. U• Provide feedback on volunteers’ performance, as appropriate
5 O% |/ o4 u* A5 K, B: C& m• Ensure Human Resource policies and procedures are adhered to within the department
" o P% k, Y ~+ ^• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required ! h4 a# F0 f2 M0 f: B( S# r8 y
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency

• Ensure the program operates within approved budget and be familiar with potential variances1 I: A- m8 l; N4 A
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS+ C2 g* b' ? x1 W3 q& G
• Act as liaison to the Y-Knit group of volunteers2 ?- x% Q) y& e1 \, t. i
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
5 }6 {: Q: i2 H. _/ \" Z" w• Follow up with correspondence to outside agency volunteers as appropriate
0 R; ]4 R; ?$ i0 j0 }• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:

• Minimum 2 years experience in Volunteer Coordination! I6 Z1 s/ _. x5 W' }! O
• Excellent organizational skills and multi-tasking ability6 c- K. Q6 b' Q5 @
• Demonstrated superior volunteer supervision skills" C6 y9 p2 J4 B2 u. P
• Collaborative working style and excellent interpersonal skills ) J) E( M" f/ ~# B2 E8 l
• Ability to work to meet deadlines and to work under pressure
/ a0 t) ^+ e9 d& g4 Z• Ability to work in a team-based environment, with cross-functional work teams on projects
